5 Introduction This guide is designed for administrative staff in branch offices. It is designed to assist branch personnel in their administrative tasks and in processing mutual fund, segregated fund, fixed income product and Accumulation annuity transactions. This document contains the same tables as those in the Administrative Standards and Requirements guide. These tables have been expanded to show the information necessary for processing transactions, particularly document submission. 9 Transactions General Information Financial and Non-Financial Transaction Processing Daily Audit of Financial Transactions Entry Deposit to the Financial Institution of Cheques Payable to SFL Investments Transaction Follow-up Financial and Non-Financial Transaction Processing 1 Put the date of receipt on all documents related to the clients files using a date stamp. 2 Ensure that all mandatory documents are provided. 3 Validate that all mandatory documents are provided and compliant, including signatures. 4 Ensure that the client s personal and financial information (KYC) is up-to-date in Univeris. 5 Compare the client's information in Univeris with the one indicated on the form(s), including banking information for the transactions processed through EFT, and bring the necessary changes in Univeris. 6 Enter the transaction or the information in Univeris. 7 Carefully read any messages generated by Univeris and take the necessary steps to correct the situation. 8 Indicate the reference number generated by Univeris on the copy kept at the branch. For a third-party contribution, indicate the SFL Investments account owner s name and the Univeris client number on the front of the cheque. Daily Audit of Financial Transactions Entry 1 Generate the Daily Transaction Activity report in Univeris. 2 For each transaction, perform the following verifications: Compare the information on the documents used for the transaction with the information on the report; Ensure that the transaction status is WA, ON or PE for wire transactions. If the information does not match or if the status is incorrect, rectify the situation and print the report again. 3 Indicate the wire order number on the documents showing investments instructions, if applicable. The wire order number is generated immediately after the transaction entry. During an internal transfer, for the inbound part, the wire order number is generated within three (3) business days following the transaction entry, except in the following situations, where it is generated the next business day: Inbound part of an internal cash transfer (ICT); Inbound part of an internal transfer in a money market fund. 4 Apply the guaranteed signature stamp, if applicable. 5 Send the documents, if applicable. 10 Deposit to the Financial Institution of Cheques Payable to DFS Investments/SFL Investments 1 Process the close batch and generate the Daily Deposit Report in Univeris. 2 Stamp the back of each cheque using the financial institution s stamp. 3 Photocopy all the cheques to be deposited and date the top of each page. 4 Enclose the Daily Deposit Report with the copies of all cheques. 5 Complete the financial institution s deposit slip: Indicate the name of each client and the cheque amount; The total amount indicated on the deposit slip must correspond to the total indicated on the Daily Deposit Report ; Do not enclose more than 15 cheques in each deposit envelope otherwise the financial institution might refuse the deposit. 6 Deposit the cheques at the financial institution approved by head office. The deposit must be made at the financial institution on the same day purchases are entered in Univeris. If the deposit is not received, the transaction may be reversed. However, reversal fees, including administrative fees from another institution, if applicable, will be deducted from the advisor s commissions. 7 Keep the Daily Deposit Report, the deposit slip approved by the financial institution and the copies of the cheques in the file at the branch. If the deposit is not made at the financial institution assigned to you, you must notice head office by fax at the number or by at FIN_ADM@dsf.ca. Transaction Follow-up Conduct a follow-up of all transactions, including saved orders. Systematically ensure that all transactions are settled with a FR status according to the settlement time. To open one of these plans, a lockingin endorsement and, in certain cases as indicated below, spousal consent is required. Endorsements for each of the provinces are available on Intranet. For transactions that must be processed by head office, a copy of this form and the request for processing must be sent. Not required for a contribution in a spousal RRSP. First purchase made with a Power of attorney Purchase of a fixed income product of over $100,000 per plan from an issuer who is member of the CDIC. Purchase of a fixed income product of over 5 years from an issuer who is member of the CDIC.
