1 Terms and Conditions Article 1 Definitions 1. EuroMUN refers to the European Model United Nations conference to be held in Maastricht hosted by UNSA Maastricht. 2. The Participants are those who have successfully enrolled to the conference through the MyMUN portal. 3. The Parties refer to EuroMUN and the participant. 4. The terms refer to this accord, concluded between the parties. 5. Allocation of participant, shall be understood as the assignment of a role to the participant within the conference. Article 2 Scope of Terms The parties understand that it is of utmost importance that the following rules and procedures are applied and adhered to by everyone in order to create a professional atmosphere and a successful conference. Article 3 General remarks The Terms and Conditions apply to all affairs between the EuroMUN organizing Committee (hereinafter EuroMUN ) and the participants of the EuroMUN 2018 conference. Enrollment to the conference implies these Terms and Conditions have been accepted. The participant shall not be admitted to the conference should these Terms and Conditions not be accepted. Other documents may be required to be accepted in order to participate in the conference upon request by EuroMUN. Article 4 Contractual relationship EuroMUN will, from the 10th of May 2018 to the 13th of May 2018, act as organizing committee of a Model United Nations conference in Maastricht hosted by UNSA Maastricht. It will provide a structure for the conference allowing the participants to simulate certain committees and procedures of the United Nations, the European Union and other international bodies. The precise scope of the conference as offered by EuroMUN is to be found on the website: In exchange for the price specified in the Article11, participants will be able to take part in the simulation, within the framework of the conference, at debates and in roles as assigned to them by EuroMUN. For further details on the allocation procedure, please refer to Article 7. EuroMUN further offers social events, this, however, at an additional price specified in the Article 11. Conference attendees will only be able to participate upon payment of this additional price. In accordance with Dutch law, only conditionally available for participants under the age of 18. Wristbands for access to Social Events will not be issued without proper identification. 1

2 Article 5 Liability a. EuroMUN will not be held responsible for the behavior of its participants. Participants are accountable for their own individual actions and behavior. EuroMUN is not liable for the consequences that arise from participants misconduct. b. Participants are liable for all actions that might cause nuisance or inconvenience to the MECC Maastricht (location of the event). c. EuroMUN can only be held liable for claims for damages caused by gross negligence or intent irrespective of legal basis, so far as it concerns EuroMUN s sphere of responsibility. EuroMUN shall be held liable for actions of or damage caused by auxiliary staff. Participants further indemnify and keep indemnified EuroMUN from and against - law permitting- all liability for consequential damages. d. EuroMUN assumes no responsibility for errors occurring outside of their direct area of accountability, including but not limited to operators of lodging or transport services and providers of facilities or technical services in connection with the conference or social events. In particular, the organizational committee does guarantee all activities and events will take place without delay or error. e. Participants indemnify and keep indemnified - law permitting - the organizational committee, auxiliary staff and other conference aides from and against any claims of responsibility for theft, loss or damages to participant s private property. Any and all responsibility for the security of both the participants and their belongings lie with the participants themselves. f. All participants hereby acknowledge they have been reminded to treat any facilities they might use during their stay, including rooms and equipment provided to them by any party associated with the conference, with adequate care and respect and to follow instructions of supporters and staff of the conference as well as associated organizations in so far as it relates to the safety and civility of the conference, events or accommodation. Article 6 Registration Registrations are only possible through Registrations open on the 1st of November 2017 and will close on 31st of March Registration after this date will not be possible. Upon registration, participants will be divided into one of four classes, Delegate, Head Delegate, Observer, or Faculty Advisor. Each of these classes of registration derive different rights at the conference: a. Delegates and Head Delegates have the right to participate in the affairs and debates of the committee of their allocation. For more information see 5. Allocation b. Observers and Faculty Advisors do not have the right to actively participate in the affairs and debates of the committees, yet maintain the right to observe these processes. The prices for each class are specified in Art. 11 EuroMUN is a university-level conference. Therefore, only students are eligible to apply for the conference. However, a small number of high school students is conditionally accepted; 2

3 minimum age is 16 at conference start. High school students will go through a different registration procedure as stated in the rules for high school students. Article 7 Allocation Allocation of participant, shall not take place before the participant has been accepted on EuroMUN s part and all payment obligations have been fulfilled. EuroMUN will allocate delegates on the basis of merit, assessed with a content based test (integrated in the registration process), and on the grounds of a first comes first policy. EuroMUN does not provide any guarantee that participants will get one of their preferred choices. Article 8 Conduct EuroMUN is an international conference and welcomes participants from all over the world. To create a productive, energetic and friendly atmosphere, certain rules of conduct have to be followed. a. The lingua franca of the conference is English. Exceptions for this exist for MERCOSUR and Conseil Européen, which, solely for the conduct of the committees during debate hours, are allowed to use Spanish and French respectively. b. Respect towards other participants is an essential element of participants behavior. Disrespect, racism, sexism, homophobia, anti-semitism or discrimination based on other religions, misogyny or other offending remarks will not be tolerated and will lead to the offender being automatically exonerated from all academic and social activities of the conference. c. Should these rules of conduct be violated, EuroMUN reserves the right to sanction the participants in accordance with Article 10. Participants are strictly forbidden to bring flammable or explosive substances, gasses or other hazardous substances (including chemical pesticides and insecticides) or foul-smelling substances or radioactive sources, to the conference venues. Article 9 Decorum To ensure the proper functioning and maintain the standard of EuroMUN, the following rules of decorum must at all times be followed during working sessions of the conference. a. Participants must at all times adhere to the dress code of EuroMUN of a formal attire; b. Participants must at all times maintain a calm disposition; c. Participants must at all times treat fellow participants, chairs, and staff with respect, even at times of disagreement; d. Participants must at all times uphold the rules of procedure (RoP) of their respective committee as found on our website; e. During formal committee session, participants must refrain from speaking out unless given permission by the chair of the respective committee; Should these rules of Decorum not be adhered to, EuroMUN reserves the right to Sanction the participants in accordance with Art

4 Article 10 Sanctions EuroMUN reserves the right to reject applications, revoke certificates, and expulse participants from the conference or social events for any reason. Should any sanction be imposed, the offender will not be entitled to any refund, despite of Article 12. Should participants fail to meet an attendance of 70% at the conference, EuroMUN reserves the right to revoke the certificate. Article 11 Conference Fees The fee for participants classified as Delegates and Head Delegates in EuroMUN 2018 amounts to an early bird fee of 100,- for the first 100 paying applicants. Afterwards, the fee shall amounts to 100,-. The fee for participants classified as Observants shall amount to 100, with no possibility to classify as an Early-Bird. The fee for participants classified as Faculty Advisor shall amount to 85. All these are exclusive of MyMUN Processing fee of 6%. Fees for the Social Events are not included in the abovementioned fees and shall amount to 33.00, for all events, plus a MyMUN Processing fee of 6% (totaling 35). Social Events packages bough at the conference itself amount to 38. All payments done prior to the conference must be processed through MyMUN. Article 12 Withdrawal and Refunds Both participants and EuroMUN reserve the right to withdraw from this contract. This withdrawal may occur in case of cancellation on behalf of the participant or expulsion in accordance with Article 10 on behalf of the conference. Should the participant be expelled for breach of these terms, he/she shall lose the right to any refund. Should conference fees already have been paid, in case of cancellation on behalf of the participant, the following refund policy applies. The following conditions apply in regard to the moment of application to the conference, therefore, the moment the payment has reached our account. The MyMUN processing fee of 6% is not refundable. A 5, processing fee will be levied in case of cancellation. a. Withdrawal within two weeks from application grants a reimbursement of the full amount of the conference fee and/or social events, as of the sum paid. b. Withdrawal within one month grants a reimbursement of 50% of the conference fee ( 42,50/ 50, respectively) c. Withdrawal within two month grants a reimbursement of 25% of the conference fee ( 21,25 / 25, respectively) d. No refunds can be claimed after two months after application e. No refunds will be issued for social events after two weeks from purchase. f. No refunds will be issued in case of a revoked certificate. g. No refunds will be issued in case of cancellation after the 20th of April, despite of the eligibility under the above (a to f) conditions. No refunds will be guaranteed in case of the highly unlikely event of the cancellation of EuroMUN

5 Article 13 Consent to digital recordings Participants hereby express their consent to EuroMUN for making audio-visual recordings or taking photographs of them and publishing them on their website or social media for the express purpose of marketing and advertising. Participants waive and keep waived any present or future claims for compensation or disgorgement of profits from this media or its publication and usage. Digital recordings will not be used in a detrimental way to any participant s image or person. Article 14 Treatment of personal information The participant hereby expresses the consent to the usage of his/her personal information on the part of EuroMUN. The personal information shall be provided by the participant through the MyMUN registration platform of via an official and written exchange of communication between the parties. The personal information of the participant shall only be used to the extent that it is technically required for the proper registration to the conference and information exchange among partners. Article 15 Expulsion The participant acknowledges that the expulsion from the conference, under any of the above conditions, implies the enlistment of the offender in a Black List that will forbid his/her participation to the future editions of the conference and other activities hosted by UNSA of the same nature. The expulsion per se is sufficient to enroll someone to the Black List, no further explanation is required. The Black List is shared with partners, although not binding on them. Article 16 No liability This agreement does not entail liability of any kind, for both parties. No damages can be claimed on the basis of this agreement. Article 10 Duration This agreement will come into force the moment it is signed by both parties. It shall end on July 31, Article 17 Escape clause EuroMUN retains the right to change the Terms and Conditions at any time. These changes will promptly be communicated to participants via . 6 All obligations set out in this agreement must be performed in good faith, by both parties. Article 19 Last remarks By accepting these terms and conditions, delegates commit themselves to behave appropriately and contribute to a successful conference. Article 20 Interpretation of the agreement These terms shall be binding upon the respective heirs, executors, trustees, administrators and representatives of the parties. The parties provide that this agreement shall be understood as undertaken on behalf of the respective title for the Secretary-general, and privately for the participant.
