2 1. EVENT DETAILS Event place and time Name of event: Smokin Hot Stanley Address of event: 60 Lower Nine Mile Rd, Stanley, VIC Details of event: Where there s smoke there s flavour. A feast of lip smacking local fare, basted, smoked, slow cooked and flame grilled over four open fires. The abundant feast will conclude with a bonfire-side Wassail, a hearty middle English toast to the incoming season. Date and time event starts: Sunday 7 th May, 11:30am Date and time event finishes: Sunday 7 th May, 4:30pm Estimated number of people expected to attend: Maximum attendance is 40 people Contact during event Event manager/ contact on day of event: Jade Miles Mobile: jade@blackbarnfarm.com.au Contact during event is via mobile phone: How will communication be conducted on the day? TRAFFIC, PARKING AND PEDESTRIAN MANAGEMENT Road closures Will there be any road/street closures required for the event? Refer to Site Plan.
3 3. ADJOINING PROPERTIES Have adjoining property occupants been contacted regarding the proposal of this event? All residents on Lower Nine Mile Road will be notified prior to Sunday 30 th April in writing. If the event is likely to impact in any way on these adjoining properties? Not in any major way. The event is during daylight hours only with no increased noise levels. There will be some extra traffic on Lower Nine Mile Road however all parking is on our property. 4. FIRE DANGER Will portable fire protection equipment be strategically located throughout the venue for initial attack of the fire? Yes, 3 x fire extinguishers in the Packing Shed and a 1000 litre fire unit at the Wassail site. Please refer to the Site Plan for details. Has a day of total fire ban or fire danger period been considered? Yes. This event is being held outside of the declared fire danger period and a total fire ban is extremely unlikely. The bonfire at the Wassail ceremony will be registered with VicFire and conform with all requirements of burnoff. Has your Site Plan been submitted to your local fire service? No 5. PUBLIC HEALTH Food Vendors: Business: Garden State Contact: Lou Friend Phone during event: Type of food: Cooked meat, fresh fruit and vegetables, wine and cider. Council Registration Number and event permit number: details TBA, Garden State have a Statement of Trade and Registration of Food premises. Alcohol: Will there be alcohol at the event? Yes Liquor License permit details: Garden State has received the appropriate licenses from Liquor Licencing Victoria for this event. License number TBA. Toilets: How many toilets will be provided at the event? 2 x unisex toilets will be available, one portable toilet bought in for the event and one located on the property. Refer to Site Map for details.
4 Who will be responsible for the cleaning of toilets? Will be cleaned at the start of the day and monitored throughout the day/ Water What is the source of water: Tank water Shelter Describe where shelter will be provided at the event: The majority of the event will take place in the Packing Shed refer to Site Plan. Waste management What arrangements do you have in place for the management of garbage and recycling at your event? This is a zero waste event. All food waste will be binned and then composted on site post the event. How will garbage and recycling be contained at the event site? Existing street recycle bins for glass bottles. Noise Are there activities/mechanisms likely to create higher noise levels (than is typically present) at your event? No Emergency Power and Lighting Do you have emergency power & lighting? As this a daylight event emergency lighting isn t necessary. Emergency power will be supplied via a petrol generator however there are minimal electrical requirements. 6. TEMPORARY STRUCTURES Will there be temporary structures at the event? No 7. GAS CYLINDERS All gas cylinders used at this event will be test date stamped within the last ten years.
5 8. BLACK BARN FARM EVENT RISK ASSESMENT Black Barn Farm takes safety very seriously. Protecting the health and safety of ourselves and those visiting our farm is paramount and bound up in the very ethics of our overall business. This risk assessments is designed to do two things: 1. Identify potential hazards at our event site and associated potential hazards created by staging the actual event 2. To articulate the appropriate steps/measures to minimise or remove the risk prior to our event taking place THE NEED FOR A RISK ASSESSMENT The management of risks associated to participants and the public for our event is one area of our event s planning and preparation that is critical in not only gaining approval for our event to proceed, but also in ensuring our event occurs safely, without incident. The development of risk assessment control measures ensure that all events staged by Black Barn Farm are as safe as possible for staff, contractors, volunteers and the public. This risk assessment document is heavily based on a template provided by the Indigo Shire Council. THE RISK ASSESSMENT PROCESS 1. Identify the event / understand the risk assessment process. 2. Identify all activities associated with the event. 3. Identify all the hazards associated with the event 4. Assess the risk associated with each identified hazard. Use the Risk Ranking Table and the Risk Rating Table. 5. Determine the best control. Refer to the Hierarchy of Control for guidance. 6. Assess residual (remaining) risk for each control. If the hazard can be eliminated, the residual risk score is 0 and the residual risk rating is nil. 7. The responsible person for the event must sign off acceptance of the risk assessment. The responsible person is to ensure the corrective actions are actionable. The responsible person must sign off that each corrective action is completed. 8. A copy of the risk assessment must be kept on site at the event.
