1 Medical Billing Assistant - Program Options Program Options allows you to control the behavior of MBA in situations where making a permanent change in the program wasn t possible. You may find this option under Utilities, from the MBA main screen. The following is a detailed description of this feature: GENERAL - Tab 1 Medicare Part B State This lets MBA know which Medicare fee schedule to choose when displaying the Medicare allowable on the CPT form, fee schedule tab and when updating a fee schedule to Medicare allowable fees. Suppress General Comments on Patient Registration Form - Usually when the patient registration form is printed, the general comments (Tab 9 Other Info) are included. Some practices use the general comments to keep information private from the patient or other medical practices. Checking this box tells MBA not to print these comments on the patient registration. Conversion User ID This is for historical purposes only and has no current functionality. Default Area Code When an area code is entered, the program will automatically add the provided area code to any phone number where the area code is not manually entered. Require Patient Birth Date Checking this box will require the user to enter a birth date for any patient being added through scheduling only. This option currently does not affect patients who are added through the Patient module. 1
2 Do Not Auto Add Responsible Party When a new patient is added in MBA, it automatically creates a responsible party of SELF for the patient. For a majority of all patients, the patient is his own responsible party. Checking this box will keep MBA from automatically creating this responsible party. Therefore, you have to manually enter the responsible party each time a new patient is added. It is not recommended that this option be used. Include Non-Pt Appointments On Schedule Report Checking this box will let any non-patient appointments to appear on the schedule report next to patient appointments. Allow Past Appointment Save Checking this box will allow you to modify appointments that occurred in the past. Use Zip Code Table Checking this box allows MBA to keep a table of City and State values for each zip code used. By entering the zip code of a mailing address, MBA will automatically enter the city and state in the patient module. When a new zip code is used, or a new city-state combination is used for an existing zip code, MBA automatically creates a new record in to the zip code table for future reference. Routing Slip 2 nd Page Checking this box lets MBA print an optional second page each time a superbill/routing slip is made. On this second page, MBA prints a charge and diagnosis history (it uses the next program option to determine how far back it goes), Number Of Days History On Superbill 2 nd Page This is only valid if the preceding option is checked. This option allows you to enter a number of days desired for MBA to obtain a charge and diagnosis history for the superbill 2 nd page. If this is left blank, a default of 90 days will be used. Change Superbill Type On Print If the practice has more than one superbill type, checking this option will cause MBA to prompt you each time a superbill is made for which superbill body to use upon printing. Print Patient Registration With Each Superbill Checking this option will cause MBA to generate a patient registration slip for each superbill that is printed. This can be helpful by giving the patient registration to the patient for him/her to verify the information on the account. Print Pt-Owed Balance Only On Routing Slip Normally, MBA prints the overall balance due on the patient s account, on the superbill. Checking this box will allow MBA to only calculate the patient-due balance, and ignore the insurance-due balance. Suppress Billing Comments From Superbill Normally, the billing comments (Tab 3 Billing, of the patient module) appear on the superbill. Some practices use the billing comments to keep information private from the patient. Checking this box tells MBA not to print the billing comments on the superbill. 2
3 TRANSACTIONS - Tab 2 Start At Batch Checking this box, tells MBA to start cursor at the Batch # field each time you enter a new Charge form. Otherwise, MBA will start at the Date of Service field. Show Family Charges Default Checking this box will allow MBA to check Include Family Charges by default each time you enter the Review form. This option will also cause the program to auto-check Show Family Charges on the Adjustment Form. This option is particularly helpful when the practice has many family accounts. Auto 50% Deduction For Modifier 51 Prompt Checking this option will cause MBA to prompt whether you want MBA to automatically reduce a charge where the modifier 51 is used by 50% of its original total charge. MBA will only reduce the charge when you answer yes. Include Doctor In Adj Defaults When this box is checked and you click Save With Defaults, from the Adjustment form, the next time the adjustment form is pulled up, the program will default the doctor to the one most recently used. Otherwise, the doctor linked to the patient s account is defaulted when the user enters the adjustment form. Auto Check File Next or Bill Patient Checking this box lets MBA try to automatically determine whether File Next or Bill Patient should be checked on the Adjustment form when payments are being posted. This can be done based on which insurance made the payment and whether the patient has another insurance after the one being posted. If you decide to use this program option, it is essential that you still verify that MBA has checked the correct box each time a payment has been posted. 3
4 Suppress $0 Amount Check In Charges By checking this option, it will cause MBA to not give a warning message each time a $0 charge is entered. Error For No Diagnosis In Charges This option is currently no longer used and has been kept for historical purposes only. The program currently does not give a warning when a charge with no diagnosis is entered; however, MBA does automatically place that charge on hold. Allow Credit Balances When checking this box, MBA will allow credit balances on charges. Meaning, MBA will allow you to apply more credits to a charge than the charge value itself. Some practices prefer to leave the credit balance on the credit, while others prefer to have the credit balance appear on the charge that has been overpaid. Checking this option does not keep you from being able to leave a credit on an adjustment or payment. The Unapplied Credit Report has been modified recently to show both charges and adjustments that have a balance of less than $0. Require Bill Patient Or Assigned When this option is checked, MBA will require either the Assigned box or the Bill Patient box to be checked on the Charge form. Start At Adj Date Checking this option will cause MBA to start the cursor at the Adj Date field on the Adjustment form instead of the Adjustment Code field. Use Last Place Of Service As Charge Default Checking this option will tell MBA to default to the most recent place of service used for a patient, when entering a new charge for that patient. Leaving this option unchecked will cause MBA to default to the doctor s office as the place of service. Warn For Charge During Post-Op Period With this box checked, MBA will give a warning if a charge is entered during the post-op period of a previously entered charge for a patient. This will prompt you to either $0 the charge amount or use an appropriate modifier in order to get paid for the service. Require User To Always Select Doctor Without this option checked, MBA only requires a doctor to be selected on the Adjustment form, if the credit amount has not been fully applied. Checking this option requires you to always select a doctor, regardless of whether the credit is fully applied or not. *It is important to understand that MBA will ALWAYS credit the doctor of service for the charges that the credit is applied to, regardless of what doctor is associated with the credit itself. The doctor associated with the credit is only important and only used when the credit is not fully applied, in which case, MBA will credit the remaining amount to the doctor selected on the adjustment record. Prevent Bill Responsible Party and Assigned = Yes When this option is checked, the user will not be able to check the Bill Responsible Party and Assigned boxes in the charge entry screen. 4
5 CLAIMS - Tab 3 Print Amount Paid Default For Pri Claims This box serves as the default for new insurances that are added to the system. When this option is checked on an insurance plan s settings, MBA will calculate any paid amounts and print the total on the HCFA claim form in the appropriate place for primary claims. It is important to understand that the $ amount on the insurance plan form is the one that is actually referenced at the time of printing claims. Print Amount Paid Default For Sec Claims This box serves as the default for new insurances that are added to the system. When this option is checked on an insurance plan s settings, MBA will calculate any paid amounts and print the total on the HCFA claim form in the appropriate place for secondary claims. It is important to understand that the $amount on the insurance plan form is the one that is actually referenced at the time of printing claims. Default UB92 Type Of Bill This is only used for clients who print to UB92 claims. The value entered here will default on each charge entered. You may change the Type Of Bill for a specific charge in the appropriate field on the Tab 3 Doctors and Comments of the Charge form. Incident Options These defaults are only occasionally necessary for specific UB92 instances and are used for the corresponding fields when an incident is added for a patient. 5
