3 1. IN-STORE TASTING PROGRAM OBJECTIVES OF IN-STORE TASTINGS 1. To provide customers with an opportunity to taste products and encourage purchase, whilst creating an exciting environment 2. To provide suppliers or their agent with an opportunity to provide taste samples to potential customers 3. To provide an increased opportunity for potential customers to sample products that align with current in-store promotional programs, product launches and celebratory, seasonal activities, such as Mother s Day, Father s Day, Halloween, etc. THE NEW IN-STORE WEEKEND THEMATIC TASTING PROGRAM Suppliers and agents may book In-Store Weekend Thematic Tastings through the Merchandising Department for Fridays & Saturdays in all stores (The choice of 1/2/3/4 day tastings are no longer accepted all tastings will be scheduled for the required Friday/Saturday commitment) please reference the updated Weekend Thematic Tasting Calendar resource online for chosen themes/dates In order to make the shopping experience the best for our customers, we are looking for products that support our chosen Weekend Thematic calendar Suppliers/agents must ensure that a minimum of 2 out of the 3 SKUs submitted to taste align with the selected weekend theme any applications that do not satisfy this request will not be considered Ad Hoc Tastings will continue to be available to suppliers or their agents where space permits on Thursdays and Sundays - please continue to book through the store directly proof of insurance will be required Stores that offer two tasting locations and have historically booked Ad Hoc tastings on Fridays/ Saturdays will now have to align store manager approved tastings with the Second Tasting Location Fri/Sat Theme please reference the updated Weekend Thematic Tasting Calendar resource online for chosen themes/dates Supplementary programs such as gift with purchase items, non-perishable food samples, product information or recipes, third party coupons, mailin coupons or entry to contests are encouraged to increase excitement in stores Suppliers and agents are encouraged to sample new/ seasonal offerings in store (i.e. SKUs that are listed and have been available in stores for less than 4 months) Tasters are required to have product specific information sheets available for consumer take-away tasting notes, drink recipes and food pairings may be highlighted PAYMENT FOR TASTING PRODUCT The product used for tastings must be purchased by the supplier/agent from the store at which the tasting will take place at full retail price. Opened product that is remaining at the end of a tasting that has been paid for may be removed from the store by the taster or sales representative. Opened product left over from previous tasting events may not be used at any BC Liquor Store 3

IN-STORE WEEKEND THEMATIC TASTINGS QUANTITIES OF PRODUCT OFFERED The following quantities are the allowable maximum to be offered to customers at each tasting: PRODUCT TYPE SINGLE PRODUCT QUANTITY MULTIPLE PRODUCTS (maximum of 3 products at any tasting) Spirits/Liqueurs 10 ml (⅓ oz) Total of 20 ml (⅔ oz) Wines 20 ml (⅔ oz) Total of 45 ml (1½ oz) Beer/Cider/Cooler 30 ml (1 oz) Total of 60 ml (2 oz) Strict adherence to the quantities listed above is required. The store manager or designate must ensure that the quantities poured comply with these regulations. If not, the manager must stop the tasting and ask the taster to pay for the opened product sampled to that point and request that they leave the store. PLEASE NOTE: all tasters MUST have their Serving It Right certificate in their possession and be able to show it to store management if asked. APPLICATION PROCESS Applications for In-Store Weekend Thematic Tastings are due on the first of the month, two months prior to the tasting month being applied for i.e. August applications are due on June 1st please reference the updated Weekend Thematic Tasting Calendar resource online for chosen themes/dates Application forms are sales period specific, and will be uploaded two months in advance to submission date on the vendor website There are two types of applications GROUPED STORES - Tasting Application Form and NON- GROUPED STORES - Tasting Application Form see further explanation on the next page Suppliers/agents will apply for tastings via submission of the corresponding sales periods excel form(s) posted on the vendor website All applications will be submitted in excel form (not PDF) to tastings@bcliquorstores.com Suppliers/agents will complete a separate version of the tasting application form for each week of interest within the sales period and then submit a single with multiple attachments ex if applying for 3 out of 4 Weekend Thematics, the supplier/agent will submit a single with 3 attachments - each representing a different set of SKUs that corresponds with the Weekend Thematic selected from the drop-down menu ex if applying for a single Weekend Thematic, the supplier/agent will submit a single with 1 attachment with the Weekend Thematic selected from the drop-down menu subject line should read Fiscal year Sales period Tasting Application Your agent name ex FY19P5 Tasting Application Bob s Beer 4

5 Excel form names should read- Fiscal year Sales period Week# Grouped or Non-Grouped Tasting Application Your agent name ex FY19P5 W1 Grouped Tasting Application Bob s Beer ex FY19P5 W3 Non-Grouped Tasting Application Bob s Beer PRODUCT SELECTION PROCESS Products for the In-Store Weekend Thematic Tasting Program in BC Liquor Stores are chosen/ prioritized based on the following: Suppliers/agents must ensure that a minimum of 2 out of the maximum 3 SKUs submitted to taste align with the selected Weekend Thematic Products supporting an approved super thematic program or In-Store Display Program Products that maximize revenue potential and trade up opportunities Products offering gift with purchase or token items that are given away to customers are encouraged to create even more excitement in store (please indicate item to be given away with or without purchase on your application form and attach photo) Suppliers and agents that are sampling new/seasonal offerings in store (i.e. SKUs that are listed and have been available in stores for less than 4 months) GROUPED STORE TASTING APPLICATION The top requested stores in all regions have now been grouped to pre-assigned store groups including Signature/A/B stores 1 - see stores included/ sample groups listed Appendix A Agents will complete the corresponding sales period GROUPED Store Tasting Application Form 1 Groups are subject to change without notice excel form available through the vendor site Agents will now request a MAX number of store groupings (approx. 3-4 stores per grouping) and will be assigned store groupings based on the product selection process listed above and store product availability/clustering Note: Any suppliers/agents that no show to any store(s) assigned to them will be penalized for future In-Store Weekend Thematic Tastings Suppliers/agents will complete a separate version of the tasting application form for each week of interest within the period and then submit a single with multiple attachments Excel form names should read- Fiscal year Sales period Week# Grouped Tasting Application Your agent name ex FY19P5 W1 Grouped Tasting Application Bob s Beer NON-GROUPED STORE TASTING APPLICATION Stores that are located in outlying areas or offer seasonal tasting availability will still be able to be applied for on an individual basis 2 see stores included in this list in Appendix B Agents will complete the corresponding sales period NON GROUPED Store Tasting Application Form excel form available through the vendor site vendor.bcldb.com Agents will select each store of interest from the drop down menu imbedded in the form Note: Any suppliers/agents that no show to any store(s) assigned to them will be penalized for future In-Store Weekend Thematic Tastings 2 The outlying store list and stores offering seasonal availability are subject to change without notice. 5

6 IN-STORE TASTING Agents will complete a separate version of the tasting application form for each week of interest within the period and then submit a single with multiple attachments Excel form names should read- Fiscal year Sales period Week# Non-Grouped Tasting Application Your agent name ex FY19P5 W3 Non-Grouped Tasting Application Bob s Beer AVAILABILITY OF PRODUCT Any product that is listed in BC Liquor Stores is eligible for In-Store Weekend Thematic Tastings, however, suppliers or their agents wishing to hold tastings for seasonal or specialty products must ensure that the product is listed prior to application and have sufficient inventory projected for the month requested. CENTRAL BOOKINGS The Merchandising Department must receive applications for the BC Liquor Stores In-Store Weekend Thematic Tasting Program by the 1 st of each month, two months prior to the desired tasting month, i.e. applications for any weekends in April must be applied for by February 1 st. Application forms are now sales period specific, and will be uploaded two months in advance to submission date on the vendor website The vendor website requires a secure login; if you have not yet applied for a secure login and password, please contact Vendor Help at ldbvendorhelp@bcldb.com. Application must be made electronically to tastings@bcliquorstores.com by the deadline date. Please direct any questions/concerns to tastingquestions@bcliquorstores.com. NOTIFICATION Suppliers or agents will be notified a month prior to the tasting month which stores and dates they have been allocated. Store managers will be notified of scheduled tastings no later than the 10th of the month prior to the tasting month, i.e. September 10 for October tastings. AD HOC BOOKINGS Suppliers or their agents may contact stores directly to book Ad Hoc Tastings on after the 10 th of the month prior to the month in which they would like to schedule a tasting. In the unfortunate event that there is a double booking at a store, the tasting event that was booked through head office will take precedence. Store Managers are responsible to send an Ad Hoc Tasting report by to tastings@bcliquorstores.com prior to the event taking place to ensure that the appropriate insurance documents are on file. Thursdays/Sundays Ad Hoc Bookings booked directly through store manager no required thematic alignment sampling of new product already listed in store is strongly encouraged ( new is defined as being listed less than 4 months). NUMBER OF TASTINGS The following list of 44 stores may have two weekend tastings occur at the same time. One will be booked through head office and the other will be approved individually by the store manager but must align with the second tasting location theme outlined in the corresponding sales period s Weekend Thematic Tasting Calendar for that weekend. Every effort will be made by managers to ensure the products approved for Ad Hoc Tastings are not in direct competition with the products approved by head office. Hours of tastings for a specific store will be determined between the supplier or their agent and the store manager. All tasting sessions must be completed one half hour before store closing. PLACEMENT OF TASTINGS IN STORES Tasting tables cannot be set up in direct or partial obstruction of any category or promotional display (including end displays). SUPPLEMENTARY PROGRAMS Supplementary items such as the following are permitted. For example: food items complementary to the product being sampled; giveaways such as brochures, pamphlets, recipes, buttons, pins, calendars, coasters, key chains, bottle openers, or anything of a similar nature that is liquor-related or branded, and of minimal value (20 percent of the retail value of the product being sampled). All contests, coupons, giveaways, gift with purchase items, etc. must be submitted to and have prior approval of the Marketing Manager. THIRD PARTY PRODUCTS Third party products such as coffee or ginger ale may be used as mixers and may be identified on signage, but may not be sold in any BC Liquor Store. NO-SHOWS Once a tasting is confirmed with a supplier or their agent, either through the Merchandising Department or Ad Hoc through the store manager, there is an expectation that the supplier or their agent s representative or designated tasting company attend at the appropriate time and conduct the tasting. If a supplier or their agent or designate does not show up to conduct the tasting, it will be reported to the Merchandising Department as a no-show. In cases where a supplier or their agent (including tasting company) does not attend on two occasions, the supplier or their agent will be excluded from participation in the In-Store Tasting Program for six months. Stores are reminded to tastingquestions@bcliquorstores.com with any problems or concerns about tastings or tasters and particularly with no-shows. 7

8 IN-STORE TASTING METHOD OF PAYMENT Credit card not-present transactions or credit card payment by phone are not acceptable methods of payment for tasting product. Method of Payment for Tastings The product used for tastings must be purchased by the supplier/agent from the store at which the tasting will take place at the full retail price. OPTIONS FOR PAYMENT The agent or taster that is conducting the Tasting MUST pay for the product that is being tasted as it is removed from store inventory for a tasting (cash, debit, BC Liquor Stores Gift Card or personal credit card - with the credit card holder present to sign for it). Acceptable Methods of Payment for Tasting Products Visa, American Express, MasterCard credit card holder must be present to sign for the transaction Debit card or cash BC Liquor Stores gift cards are acceptable tender for payment of tasting Cheques cannot be used as a method of payment CONDUCT AND RESPONSIBILITIES In-Store Tastings will be conducted by sales representatives of the brand being sampled or professional tasting company personnel hired by the supplier or their agent who is approved for the tasting. BC Liquor Stores staff will not conduct tastings on behalf of the supplier or their agent. Personnel conducting the tasting must be reminded that minors and inebriated persons are not to be served. If anyone appears to be under 30 years of age, the taster must ask for 2 pieces of identification. Opened liquor or pre-poured samples may not be left unattended at any time. Anyone serving liquor in BC Liquor Stores must have a server s Serving It Right certificate, to help ensure that alcohol is served both professionally and responsibly. The person conducting the tasting must have their Serving It Right certificate on their person at all times when serving liquor in any BC Liquor Store. Store managers will ask tasting staff to present their certificate before conducting a tasting. If the certificate is not available, the taster will not conduct the tasting in BC Liquor Stores. Opened product that has been paid for may be removed from the store by the taster at the end of a tasting session. Personnel hired by the supplier or agent, sales reps or store staff may not sample any of the products being served while on duty (this includes lunch and coffee breaks). The supplier or their agent is responsible to ensure that all tasters, either representatives or contractors, know the rules and responsibilities regarding the In-Store Tasting program in BC Liquor Stores. Failure to ensure that a taster knows his or her responsibilities and the conduct expected of them will result in cancellation of the tasting. The store manager has the authority to ensure that a tasting event in the store is conducted in a professional and responsible manner. If a representative or contractor is not behaving in a business like or responsible manner, the store manager or designate may close down the tasting booth IMMEDIATELY and ask that the representative or contractor leave the store (after paying for any product sampled or opened). The supplier or their agent must provide the required tasting equipment, such as: a table (if needed), paper napkins, disposable tasting glasses, spittoon, etc. The supplier or their agent s representative is responsible for contacting the Merchandising Department and the store manager in the event of a cancellation giving enough notice so that the store does 8

9 not incur costs related to excess inventory. The supplier or their agent s representative is responsible for contacting store managers to confirm one week in advance of the tasting. CONDUCT AND DRESS CODE FOR TASTERS The supplier or their agent applying for the tasting is instructed to ensure that the tasters hired to present their products in BC Liquor Stores are dressed in a professional and businesslike manner. Tasters should be knowledgeable about the product they are sampling and exhibit a professional and customer focused attitude. All personnel conducting a tasting must wear a company/brand name badge. Tasters are required to have product specific information sheets available for consumer take-away tasting notes, drink recipes and food pairings may be highlighted. The person conducting the tasting must ensure that no one who is apparently under the influence of alcohol is served a sample and must also ensure that samples are not provided to minors. The taster must ensure that strict adherence is maintained regarding the quantities of product poured. BC Liquor Store managers may close a tasting booth and ask the taster to pay for product opened and leave the store if there are any issues or concerns with the conduct or appearance of tasters. INSURANCE REQUIREMENTS FOR SUPPLIERS OR THEIR AGENTS The participant in the Tasting Program in BC Liquor Stores must take out and pay for General Liability insurance. Before conducting any tastings in BC Liquor Stores, the company must ensure that a copy of the Liability Insurance Certificate and the In-Store Marketing Program Agreement, signed for the calendar year, are on file in the Marketing Department. Such insurance must be against claims for bodily injury (including death) and property loss or damage arising from premises, operations, products and completed operations, contractual liability, personal or advertising injury, independent contractors and non-owned automobile liability in an amount no less than $5,000,000 (or such other amounts as may be reasonably required by the province from time to time) for occurrences that may arise from the tasting. Her Majesty the Queen in Right of the Province of British Columbia, as represented by the General Manager of the Liquor Distribution Branch of the Ministry of Attorney General, shall be an additional insured, to the extent of her vicarious interest arising from this event, and the policy extended to include a severability of interests (cross liability) provision so that the province will be treated as if a separate policy were in existence, without increasing the policy limits of liability. The policy of insurance will not be affected or invalidated by any act, omission or negligence of any third party that is not within the knowledge or control of the insured. The required insurance limit of liability may be provided in part by an umbrella policy, provided such coverage is not more restrictive than the underlying General Liability policy. The participant must furnish satisfactory evidence of compliance with the required insurance specifications in an approved Certificate of Insurance format prior to any scheduled event. Please see Appendix C for a sample of the approved format. Certificates of Insurance are renewable annually. 9
