1 Tel: (852) Fax: (852) FORM E1 STAND CONTRACTOR REGISTRATION & PASSES Contractor Green Card Requirement Effective 1 st January 2010, contractors entering the Centre for construction work are required to hold a Construction Industry Safety Training Certificate ( Green Card ). The Green Card system is a joint initiative of Hong Kong Convention and Exhibition Centre (HKCEC), Asia World Expo (AWE), supported by the Hong Kong Labour Department and endorsed by the HKCEIA. In addition, according to HKSAR Law, overseas workers must apply for a temporary working permit through Immigration Department prior to work in Hong Kong. Stand Contractors are required to comply with the following and return Forms E1 & E2 before deadline. All design proposals must be approved by the Organisers and should conform with all statutory requirements. Drawings to scale must be ed to Phyllis.luk@ubm.com by 27 September 2010 and must show the plan and elevation of the stand and its fittings, state materials and colours to be used, describe moving exhibits, projectors and displays and give details of measurements, weights and loading of all exhibits. Raw Space Stand*: Stand Building height is 2.5m, with a maximum 30% of total area permitted up to 4m. For structure exceeding 3m in height must be constructed under the supervision of an Authorized Person (Surveyor) / Registered Structural Engineer (AP/RES) and is subject to prior approval from the Organisers. Ready Stand with modifications: Stand Building height is 2.5m and cannot be exceeded. All stand design, decorations to be used at the stand, e.g. wording, exhibits to be displayed in the stand are subject to the Organisers approval. Please refer to page of Exhibition Hall Specifications & Regulations and notes on Appointing a Contractor & Site Operations for construction details, nevertheless, it is important that you must have insurance coverage in place and also pay a deposit for damage/and/or garbage removal costs (as below). CONTRACTOR INSURANCE COVERAGE Individual Stand Contractors are required to take out and maintain public liability insurance in respect of the Individual Stand Contractor s liability for death or injury to any person, or loss or damage to property arising out of the performance of the Services in a sum not less than HK$10 million (US$ 1.2 million) for any single claim, unlimited in aggregate. In addition, an Individual Stand Contractor shall take out and maintain valid and adequate insurance cover against theft, fire, damage to property, accidents, natural calamities, acts of God and such other risks normally insured against by a reasonable person in the position of the Individual Stand Contractor, or as Cosmoprof Asia Ltd may require, in connection with, inter alia, the Individual Stand Contractor s property (including all equipment, fittings, furniture, materials and other facilities used or provided by the Individual Stand Contractor in the performance of the Services) and the performance of the Services. The insurance shall be maintained in force at all times during the Move-in/out and Exhibition Period. (7-12 Nov 10) Each Individual Stand Contractor MUST HAVE valid and adequate insurance cover of not less than HK$10 million (US$ 1.2 million) against public liability. Individual Stand Contractors are required to present their certificate to the Organisers prior move-in. The Organisers will reject work and refuse entry to Stand Contractors that fail to do so. Fax: (852) Tel: (852) / (852) chungt@willis.com / liua@willis.com DAMAGE DEPOSIT PAYMENT (REFUNDABLE) A Damage Deposit (CHEQUE ONLY, CASH IS NOT ACCEPTED) must be issued by the contractor made payable to Cosmoprof Asia Ltd, and attention: Operations Department. This will be held against damages to the Hong Kong Convention & Exhibition Centre, and/or the disposal of extra waste left on-site after the event. It is the individual stand contractor s responsibility to remove all packing and waste materials from the HKCEC during both move-in and move-out. Garbage & waste materials from decoration work must not be discarded into the aisles & must be cleared. All material used must be removed during move-out and this must be done safely (no pushing over high pieces of stand, no smashing of glass panels etc). Failure to comply will result in the contractor deposit being totally forfeited. (The Organisers will take photos as a record). No grabber trucks will be permitted to enter the hall during move-out. The deposit will be refunded after the exhibition subject to the clearance of the site by the contractors and no damage or garbage being recorded by Exhibition Centre Management and the Organisers, otherwise all deposit will be forfeited. 2 Tel: (852) Fax: (852) FORM E1 STAND CONTRACTOR REGISTRATION & PASSES The Damage Deposit is equivalent to HK$300 per sqm of stand space. The minimum deposit is HK$10,000. Deposit ceiling for National Pavilion is HK$50,000. Please note that ONLY ON RECEIPT OF FORMS E1 and E2, THE DAMAGE DEPOSIT PAYMENT AND YOUR INSURANCE CERTIFICATE, will contractor passes and contractor vehicle passes be issued. Only holders of OFFICIAL PASSES will be allowed access to the site. Raw space stands are Space only. No stand fittings, carpeting, electricity of furniture. All electricity orders must be ordered through the Official Stand Contractor, A Worldtech Ltd. (see below for correspond Hall in charge contact details). Any order received from A Worldtech after 24 September 2010 is subject to a 20% late surcharge, while 50% surcharge will be levied after orders received after 15 Oct Contractors involved in electrical work must be licensed by the Hong Kong Government. The Exhibition Centre will collect the Certificate of Registration of Electrical Worker and Form WR1 from the electrical contractors before electricity are made available. Please note that the 13amp/220 square pin socket (SKT1-a) provided in the Ready Stand is NOT FOR any kind of lighting connections. Any additional lighting must order lighting connections (LC1) by returning Forms 1d and/or 1d1. Contractors for Ready Stand upgrades must contact the above Hall Supervisor directly to advise whether stand facilities included in the ready stand package will be removed/retained. Any relocations / removal of ready stand facilities, including carpet, panels, furniture will be charged onsite. 3 SPECIAL MOVE-OUT ARRANGEMENTS FOR COSMOPROF ASIA 2010 MOVE-OUT: FRIDAY 12 NOVEMBER 2010 ** Please note off-site vehicle marshalling area also applies to Exhibitor on Exhibitor s move-in date on 9 November Should Contractor need to enter the HKCEC loading area on 9 Nov, please follow the below move-out procedure which applies the same on 9 Nov, except that the entrance time to the HKCEC loading area will be from hrs. Please queue up your vehicle at Tseung Kwan O Zone R marshalling site accordingly. The HKCEC has introduced special out arrangements at large events to ease pressure on Wanchai roads and HKCEC loading bays. Therefore an off-site vehicle marshalling area at Tseung Kwan O Zone R marshalling site is being implemented by the venue on Friday 12 November 2010 (move-out) - (see Location Map attached) Contractor Vehicle Passes will be issued by the Organisers upon receipt of your damage deposit and copy of your insurance certificate. Please note the contractor vehicle pass allows an entrance time of hrs. However, please note upon receiving the Contractor Vehicle Pass, contractor vehicles are required to follow the Move-Out Procedure below in order to enter the HKCEC loading area. Please also be reminded that only lorries/light goods vehicles may enter the loading area. No private vehicles/cars are allowed. MOVE-OUT PROCEDURE 1. A Control point will be set-up at the HKCEC entrances for vehicles with: a) Contractor Vehicle Pass - issued by The Organisers AND b) Trip Ticket - issued at Tseung Kwan O Zone R marshalling site 2. Before proceeding to the HKCEC loading area, all vehicles must first report to Tseung Kwan O Zone R marshalling site. This vehicle marshalling site will open at 1800hrs on 12 November Upon arrival at the vehicle marshalling site, drivers must first present the Contractor Vehicle Pass, queue up and wait for further instructions. The waiting time at the marshalling area may vary and depends on the total number of vehicles, move-out speed and the prevailing traffic conditions. 4. From 2030hrs on 12 November, a Trip Ticket will be issued to drivers from the marshalling site. Drivers must then proceed to HKCEC loading area via Convention Avenue or Expo Drive within 2 hours. 5. If the vehicle marshalling area becomes congested, further measures will be implemented at the venue management s discretion. * Please present both Contractor Vehicle Pass and Trip Ticket when returning to HKCEC loading area OTHER TRANSPORTATION 1. Private vehicles are permitted to load at the HKCEC at the sole discretion of the HKCEC traffic control attendants during move-out period. No waiting or parking at the HKCEC Harbour Road and Expo Drive entrances is allowed. According to the traffic conditions, the police may implement traffic diversions in the vicinity of HKCEC. No access to the site is permitted if Form E2 is not returned to the Organisers before deadline.
