1 Dear Civil War Reenactor, Thank you for your interest and participation in the inaugural Civil War event at the Ohio State Reformatory Historic Site. We are pleased to begin this journey with you as an important collaborator and are optimistic we can build a lasting and quality event for many years to come. In special thanks and consideration of your efforts, the Reformatory is happy to offer two complimentary events in addition to your registration amenities of firewood, water, access to restroom facilities, and a complimentary self-guided tour of the Reformatory. First, a special Ghost Walk tour of the Reformatory on Friday evening from 8:00-pm-10:00pm (ages 13 and up welcome to participate) followed by an official prison dinner on Saturday evening at 5:30pm to be served in the historic Central Guard Room. Pre-registration can be completed by downloading the available forms and sending them in no later than May 30, 2014 along with your registration payment and a signed copy of the participation waiver. Registration is just $5 per reenactor ages 18 and up. Minors will be permitted to participate with a legal guardian present and with a valid signature by the legal guardian on the participation waiver. Units are welcome to register as a group and pay together. 3 Event Instructions for Registered Reenactors & Sutlers Please review all registration and event materials thoroughly. Questions regarding the event can be directed to the Ohio State Reformatory at ext. 100 or by ing All Civil War Reenactment participants are required to register for the event. The registration fee is $5.00 per person age 18 and older. Minors must be accompanied by a legal guardian and are admitted free. No one under the age of 16 may carry a firearm on museum grounds. The DEADLINE for pre-registration is May 30, Unfortunately, registrations received after May 30, 2014 will not be guaranteed a complimentary Saturday evening dinner. Otherwise, walk-in reenactors must register the weekend of the event on-site at the Registration Tent to receive event and parking passes. 4 GUIDELINES AND REGULATIONS REGISTRATION All participants must check in at the REENACTOR REGISTRATION TABLE upon arrival. Friday, June 6, :00 pm-7:00 pm Saturday, June 7, :00 am 4:00 pm Sunday, June 8, :00 am 10:00 am PARKING Reenactor parking will be located within the gated grounds on the black top to to the East Side of the Reformatory. A parking pass will be required to park in the designted area and can be acquired with registration check-in. Special parking needs can be discussed with OSR prior to Friday, June 6, 2014 by contacting jon@mrps.org. CAMPING Camping sites are available to all reenactors and will be designated at the Registration Table upon arrival. Access to restrooms will be available throughout the weekend. No electric oulets or access to showers will be provided. CODE OF CONDUCT & SAFTEY The Reformatory is a family-friendly enviroment to which all participants must reflect the values and conduct of at all times. Minors must be accompanied by an adult at all times; those under 16 are not permitted to carry a firearm while on the grounds. No access to the NORTH SIDE OF THE BUILDING WILL BE PERMITTED OR TOLERATED due to the close proxemity to the operating correctional institute located behind the Reformatory. Photos of a working correctional institute are considered a federal offense and guests should refrain from using cameras while near a north-facing window. The Reformatory presents real hazards such as lead-based paint, dust and mold, uneven flooring, and many stairs and narrow walkways and is not recommended for children under 7 or pregnant women. Those who wish to enter the buidling should proceed with caution. Please do not attempt to access any areas that are locked or appear/are visibly roped off. These areas may be under restoration or present real dangers which do not allow access at this time. No drugs or alcohol will be permitted on the grounds or in the building during the event. Only restrooms clearly designated as public restroom sites may be used for such purporses. The Reformatory has many unusable toilets located throughout the facility. Anyone caught attempting to access these out-of-date facilities will be asked to leave. The cells do have doors that jam and/or lock on occasion and should not be shut as the guest may become stuck inside. Food and beverages are only permitted in designated areas and may not be carried throughout the building except for bottled water. Pets are permitted outside of the building so long as they are cleaned up after immediately. Those not adhering to the pet policy may be asked to leave. Pets are NOT permitted inside the

5 building or restroom facilities. Do not leave your pet unattended. All pets must be on a leash at all times and must be wearing identiying information to be returned to their owner should they become lost. Unused firewood must be returned to OSR after the event. Please use the provided trash receptacles to discard your unwanted items. Please do not wear cleats while inside the building. TEAR-DOWN Tear-down and clean up may begin on Sunday, June 8 after 3:00pm. Special arangements can be made by contacting Jon at jon@mrps.org AMENTITIES Restroom facilties have been placed throughout the grounds in addition to the permanent bathroom structure located off of the East Parking Lot and the ones located in the mini-bull pen inside the building. Please note, the building is closed after operating hours and the interior restrooms will not be available when the buildinng is closed. Firewood is available for each encampment, Union & Confederate, for those who have preregistered. Registered reenactors will receive firewood pick-up information at the Registration Tent upon arrival. Fires in camp are permitted. Please dig out sod, and replace at the end of the weekend. Active fires must be attended at all times. Friday evening Ghost Walk o Ghost Walks are 2 hour, guided tours to the hot spots where reports have been made about paranormal activity. Hear about reported ghost experiences and the stories of murder and death that cause many to believe the prison is haunted. Who knows, you might just have an experience of your own! Please bring your own flashlight. Check-in starts at 7:30pm. o This event is limited to pre-registered participants only and those who are 13 and up with a parent or guardian. Saturday Evening Dinner o Starting at 5:30 pm on Saturday evening, reenactors are invited to join in on a traditional prison style dinner in the Central Guard Room, located in the heart of the facility. Dinner is limited to pre-registered participants only. Participants should plan to have breakfast and lunch on their own.

6 PARTICIPATION WAIVER Civil War Event June 7 & 8, 2014 Please review the following agreement carefully, sign, date, and return with your registration form: I/We will abide by the rules and guidelines detailed in the Guidelines and Regulations sheet. I/We will supervise at all times, and take full responsibility for, any children under the age of 18 that I/We have brought to the Ohio State Reformatory event. I/We understand that minors under the age of 16 may not carry a firearm on museum grounds. I/We understand that no alcohol or drug use are permitted on the grounds of at any time. I/We understand that under Ohio law an equine professional is not liable for any injury or death of a participant in equine activities resulting from the inherent risk of equine activities, pursuant to Section , Ohio Revised Code. I/we understand that United States Cavalry are required to show coggins papers at the registration tent. I/We understand that OSR reserves the right to request that anyone leave the event, for any reason, at any time. Reasons include, and are not limited to, unacceptable treatment of museum staff, volunteers, visitors, interns, reenactors, poor conduct, and refusal to abide by safety rules. I/We and our guests/vendors will use the premises in a careful, safe and proper manner; neither doing nor permitting any act that may increase the fire hazard or insurance. Indemnification and Hold Harmless OSR desires protection against loss from the temporary use and occupancy of its facilities by renters. It is therefore agreed that: I/We agree to indemnify OSR, its Trustees, officers, employees, and agents from all losses, liabilities, damages, costs, and expenses (including, without limitation, attorney fees and litigation expenses) that they, or any of them, may incur by reason of the use and occupancy of the OSR facilities as set forth by event participants. OSR will provide prompt written notice of any claim, action, or preceding that could rise to a right of indemnification under this Agreement. Notwithstanding such notice, OSR may at its sole discretion defend or settle such claim, action, or proceeding. OSR may also engage, at the participant s expense, independent counsel to advise it with respect to any claim, action, or proceeding that gives rise to a right of indemnification under this Agreement. I/We must indemnify OSR within ten days after receipt from OSR of notice describing the nature and amount of any claim for loss, liability, damage, cost, or expense. I/we agree to pay all reasonable fees and expenses (including, without limitation, attorney fees and court costs) incurred by OSR in connection with its enforcement of this Agreement. I/we assume full responsibility for theft, loss or damage to any property, equipment brought to OSR property. I/We agree to reimburse OSR for any breakage or damage to museum buildings and/or grounds caused by me or my guests. All photographs or videos taken by OSR or an affiliate of said party remain the property of OSR to use for advertising, display, or any purpose thought proper by OSR.

7 I have read and understand the above information. I agree to adhere to the rules while a guest at the Ohio State Reformatory. Further, I acknowledge that as a reenactor, I interpret and portray life as it was during the 19th century and that there is inherent risk in the activities in which I will be participating. I do hereby release and hold harmless the Mansfield Reformatory Preservation Society and the Ohio State Reformatory, its agents, employees, volunteers, and interns from and against any and all claims or liabilities which may be asserted against them arising from any personal injury or property damage sustained by myself and/or any of my minor children.
