What is iconnectdata (icd)? iconnect Data is Comdata s Pcard admin system that allows admins to manage cards, view invoices, run reports, see and dispute transactions, and make payments online 15. Who should have access to icd? Program Administrators 16. Can a school pay individual cardholder balances? No. The entire account balance is paid at one time, when the invoice is due. 17. What is Smart Data? Smart Data is an online Expense Report Management application that allows for users to code transactions, add receipts, and run expense reports 18. Who would benefit from the use of SmartData? Schools that have lots of cards, who need to be able to code transactions online to the GL, who also need access to review and approve transactions, and also digital receipt tracking 19. How much do we charge our clients to set up Smart Data? $0 20. How does a school get a card replaced? Order through iconnect Data, Contact DM, or Contact Comdata 21. Can balances be carried over month to month? No, the full invoiced amount must be paid at the end of each billing cycle, or the client will incur late fees. 22. What are the available billing cycles? Monthly, Semi- Monthly, and Weekly
3 23. What are the available payment terms? 7 days, and 14 days 24. What are the available payment methods? Comdata ACH, Electronic Bill Pay (icd), Customer Initiated ACH, Bank Wire, Check, Western Union 25. What payment methods are available to new school clients? Comdata ACH 26. What is the difference between a punch card and a ghost card? A punch card is the physical plastic card. A ghost card is not attached to a plastic, but still has a full card number, expiration date, and a CVV code that can be found under Card Maintenance in iconnect Data 27. Does DM offer a cash rebate for the Purchase Card program? Yes 28. How is it calculated? The cash rebate is determined by the monthly transaction volume, billing cycle, and payment terms (monthly 0/20 semi- monthly 0/10 (14) or 20/40 (7) weekly: 0/20 (14) or 25/45 (7) 29. Who should the cardholder contact with questions about their card? Cardholders should contact their Company Program Administrator 30. How can a school block or cancel a card? Through iconnect Data, Comdata, or Diamond Mind 31. Why would they want to block or cancel a card? Blocking a card prevents new transactions from being authorized or posted. This is good when a cardholder no longer works at the school, or the card is suspected to be lost or stolen 32. What is a cardholder dispute?
4 The process of formally notifying the card provider that a transaction is unauthorized, and requesting a refund of the amount. 33. How long does the account holder have to dispute a transaction after it posts? 60 days (MasterCard regulation) 34. What is the average time to complete a dispute? 30 days. Can be resolved more quickly. Can take up to 120 days. 35. Can cardholders receive a statement for their transactions? Yes, the cardholder usage report is received at the end of each billing cycle and set up under the cardholder s information in iconnect Data 29. What does an account administrator need to access their account when calling Comdata? The Security Word/Phrase 30. Does DM require this when clients contact us? No. 31. Can charges post to a blocked card? Yes. Force Sale/Post 32. How do schools stop charges from posting to a blocked card? Contact the merchant and cancel the subscription 33. What is the difference between a block and a partial block? Blocked declines all transactions, partial block declines key transactions 34. Can a client request a credit limit increase? Yes. 35. What is needed to request a Pcard credit limit increase? Credit Application, Most recent company financials 38. What is a purchase card Customer ID?

This allows for cardholders to be grouped on the invoices, and in search criteria in iconnect Data 39. What state(s) require cards to be shipped as blocked? California 40. What is a card data breach? Merchant transaction data is acquired and used to steal card information in an attempt to complete fraudulent transactions 41. Does each card at a school have a different expiration date? No. All cards on an account are set to expire the same month and year. 42. When is the payment due Either 7 or 14 days after the invoice date (depends on the client contract) 43. What is Comdata s minimum late fee amount? $ What is Comdata s maximum late fee? $5,000 (as of 5/1/15) 45. Does Comdata grant late fee waivers? Only if the payment was received late due to a Comdata error
