Commencement Details Q1: Where can I get detailed information about the 54 th Commencement (e.g. tickets and timetable of the graduation ceremony)? A1: You may visit for more details. B. Deposit Pay & Provide Bank Information for Subsequent Refunding Q2: Where shall I return the Request for Bank Account Information for Refund of Regalia Deposit (Appendix III) form? A2: The form (Appendix III) should be submitted to the Regalia Hiring Counter when you collect your regalia set. If you missed to submit the form while collecting the regalia set, you should submit it to the Finance Office by to fopts@hkbu.edu.hk or by fax to NO form should be handed on to the laundry. Q3: If I do not have bank account in Hong Kong, how can I pay regalia deposit? A3: If you do not have a valid saving/current bank account in Hong Kong, you might ask your friend or relative to pay the deposit on your behalf. Please note that cash or cheque is NOT accepted. Q4: If I do not have saving/current bank account in Hong Kong, how can I get my deposit back? A4: If you do not have a valid saving/current bank account in Hong Kong, you might ask your friend or relative for a valid bank account number and receiving the deposit refund on your behalf. Refund is ONLY available by autopay. C. Regalia Collection Q5. Where and when should I collect the regalia? A5. You may refer to Part I of attached Letter to Graduate for more details. Q6. What document should I bring along when collecting the regalia set? A6. Please bring along (1) your student ID card (or HKID Card) and (2) bank payment receipt and present them at the Regalia Hiring Counter for regalia collection. D. Regalia Returning Q7. Where and when should I return the regalia set? A7. You may refer to Part II of attached Letter to Graduate for more details. Q8. Will I get the refund if I return the regalia set after the designated date (i.e. 31 Dec 2013)? A8. NO deposit will be refunded if missing to return the regalia set on time.

2 E. Deposit Refund Q9. Will the regalia deposit be refunded and when will it be refunded? A9. The deposit will be refunded on 17 Feb 2014 if the borrowed items are returned on time and in good condition. No separate notice will be issued to the student upon deposit refunded. Please check your bank account after 19 Feb 2014 whether the deposit is received. Q10. What shall I do if I do not receive the refund after the designated date? A10. For payment and refund of regalia deposit enquiries, please approach the Finance Office at (press 0 after language selection) or contact us by to fopts@hkbu.edu.hk within Feb 2014 for assistance.

3 <The following arrangement on the hiring of Graduation Gown is NOT applicable to graduates of United International College> Finance Office 1 September 2013 For graduates attending the 54th Commencement, please read the information below carefully: I Academic Regalia Hiring Graduates are required to wear the academic regalia during the Graduation Ceremony. 1. To hire the regalia, you should: Step 1: pay the regalia deposit (specified in a table below) on or before 4 November 2013 (6:00 pm) (please refer to Appendix I on Payment Methods for Academic Regalia Deposit). Please note that payment received after 4 November 2013 (6:00 pm) will not be entertained. Payments Deposit of HK$700 (for cap and hood only) HK$1,100 (deposit of $1,000 and non-refundable rental charge of $100) Deposit of HK$1,000 (for gown, cap, and hood) Student Group For those graduates who were given a gown when they were first admitted to HKBU and they only need to borrow cap and hood. (Please note that the gown is not required to be returned to the University or the laundry store after Commencement.) For those graduates who were given a gown when they were first admitted to HKBU but lost the gown and wish to borrow the whole set of graduation regalia (gown, cap and hood). For those graduates who were NOT given a gown and need to borrow whole set of academic regalia (gown, cap and hood), including PgD graduates Step 2: Step 3: Step 4: collect your academic regalia on 9 or 16 November 2013 (Saturdays) from 10:00 am to 5:00 pm (no lunch break). The Regalia Hiring Counter is located at Wofoo Foundation Amelia Lee Student Centre ( 和富慈善基金李吳劍鳴學生中心 ), Level 4, Sir Run Run Shaw Building, Ho Sin Hang Campus, 224 Waterloo Road, Kowloon Tong. bring (1) your student ID card (or HKID Card), (2) bank payment receipt and present them at the Regalia Hiring Counter for the collection of academic regalia. retain the Receipt for Hiring which will be issued to you when the regalia is hired. You are required to present this receipt when you return the regalia. 2. You are reminded to bring your own bag to collect the regalia. Please take good care of the academic regalia whilst in your possession. If any damage or loss is found, a penalty will be levied.

If you wish to authorize a representative to collect the regalia for you, your representative must present a completed Authorization Form for Collection of Academic Regalia (Appendix II), a copy of your student ID card (or HKID Card), bank payment receipt, and the representative s HKID Card upon collection of academic regalia. II Academic Regalia Returning (Please retain this information for future use) 1. 5 3. The Sunshine Laundry 陽光洗衣 will issue a Return Receipt upon your return of the regalia. 4. You MUST keep the Return Receipt as an evidence of returning regalia until the deposit is refunded to you. 5. The deposit ($700/$1,000) will be refunded to you on 17 February The deposit will be paid by bank autopay to your designated bank account inputted by you in the BUniPort. If you have not inputted the bank information in the BUniPort or your bank account details has been changed, please log-in the BUniPort and update your bank account information by 4 November For SCE students who have no access to BUniPort, please complete the Request for Bank Account Information for Refund of Regalia Deposit form (Appendix III) and return to the Regalia Hiring Counter when you collect your regalia on 9 or 16 November No separate notice will be sent to you on the deposit refund. If you do not receive the deposit refund (HK$700 / HK$1,000) on 17 February 2014, please call our 24-hour Student Enquiry Hotline at (press 0 after language selection) or contact us by to fopts@hkbu.edu.hk within two weeks, latest by 28 February Any return of regalia after 31 December 2013 will not be accepted and your paid deposit will be FORFEITED IN FULL. 6 Appendix I Payment Methods for Academic Regalia Deposit Important Points to Note (a) (b) (c) To allow sufficient time for transfer of payment to the University, you must pay the regalia deposit on or before 4 November 2013 (6:00 pm). Students are required to note that payment received after the deadline of 4 November 2013 (6:00 pm) will not be entertained and not allowed to borrow the academic regalia. Cash or cheque payment WILL NOT be accepted. You can pay the regalia deposit by using one of the following payment methods: 1. Payment via Automated Teller Machine (ATM) - ATM cardholders of HSBC, Hang Seng Bank or JETCO group (e.g. Bank of China, Bank of East Asia, Standard Chartered Bank and etc.) can make the payment at any ATMs with the sign Bill Payment Service or Jet Payment and follow the following instruction steps. Please DO NOT use Fund Transfer when you pay as the payment would not be separately identified by the University s system. 1. Choose JET Payment or Bill Payment 2. Choose Education Institution 3. Choose Hong Kong Baptist University 4. Key in Bill Type 05 for Other Fees ; Key in your 11-digit Debit Note Number (your debit note number = your student ID number ). 7 Appendix II HONG KONG BAPTIST UNIVERSITY FINANCE OFFICE The 54th Commencement Authorization Form for Collection of Academic Regalia I,, Student ID No, authorize (name of graduate), holder of HKID / Passport no. (name of authorized person) to collect the academic regalia on my behalf. The following documents are ALL attached here for the purpose of verification: photocopy of my Student ID Card (or HKID card for SCE students); bank payment receipt of regalia deposit and rental (if any) of HK$700 / HK$1,000 / HK$1,100; and HKID / Passport of the authorized person. I understand that if any of the above documents is missing, the authorized person would not be allowed to collect the academic regalia on my behalf. Signature of Graduate Date

8 REQUEST FOR BANK ACCOUNT INFORMATION FOR REFUND OF REGALIA DEPOSIT (for SCE Students Only) Appendix III SCE students who have NO ACCESS to BUniPort for inputting the bank information are required to fill in your bank account information below and submit this form when you collect the academic regalia. The deposit (HK$700 / HK$1,000) will be refunded in full by bank autopay to your designated saving/current account below on 17 February 2014 if the borrowed items are returned on time and in good condition.
