DVACROA - Cnstitutin ARTICLE I: SCOPE AND STRUCTURE Sectin 1. The name f this Assciatin shall be Delaware Valley Assciatin f Cllegiate Registrars and Admissins Officers (DVACRAO). Sectin 2. The purpse f DVACRAO shall be t cntribute t the prfessinal develpment f Registrars, Admissins Officers, Enrllment Management, Student Services, Institutinal Research and ther prfessinals assciated with cllegiate level institutins. T fulfill this purpse, the Assciatin shall prvided by means f cnferences, activities and resurces, fr the disseminatin f infrmatin fr the exchange f ideas n issues f cmmn cncern. ARTICLE II: MEMBERSHIP The membership f DVACRAO shall cnsist f Registrars, Admissins Officers, Enrllment Management, Student Services, Institutinal Research and ther prfessinals wh are r have been assciated with cllegiate level institutins. ARTICLE III: OFFICERS Sectin 1. The elected fficers are: A. President B. Infrmatin Manager C. Secretary D. Treasurer These fficers shall cmprise the Executive Cmmittee. 1
Sectin 2. Electins and terms f ffice: President (ne year) Infrmatin Manager (three years) Secretary (three years) Treasurer (three years) A. President is elected yearly at the annual cnference. B. The Infrmatin Manager, Secretary and Treasurer are elected n a rtating cycle with ne elected each year at the anual cnference. C. In the event f the resignatin f the president, the mst senir fficer (Infrmatin Manager, Treasurer r Secretary) becmes acting president as designated by the Steering Cmmittee f the assciatin and that persn serves as President until the next regularly scheduled electin. D. Upn resignatin f any fficer ther than the President, the President shall appint a replacement subject t ratificatin by the Steering Cmmittee. This newly appinted fficer shall becme the least senir member f the Cmmittee. Sectin 3. Duties f the fficers: A. President (ne year) 1. Cnvene and chair the Steering Cmmittee. 2. Appint hst, cnference and prgram chairs and crdinate their activities. 3. Appint cnference evaluatin persn(s) t cnduct evaluatin f cnference and the sessins. 4. Appint replacements fr ther fficers as necessary. 5. With the Steering Cmmittee's apprval, arrange meeting sites fr the next year. 6. Act as resurce fr incming president. 2
B. Infrmatin Manager (three years) 1. Chairs the Technlgy Cmmittee and is respnsible fr verseeing the website. 2. Maintains mailing and membership lists. 3. Prduces labels fr cnference mailings. 4. Prduces membership list fr cnference (fr crrectins and updates). 5. Respnsible fr verseeing the Cnference Evaluatins C. Secretary (three years) 1. Distributes minutes f Steering Cmmittee meetings n a timely basis. 2. Maintains a histrical recrd f the rganizatin and its cnferences. 3. Updates and maintains current the Steering Cmmittee member list. 4. Is respnsible, with the President, fr general crrespndence t and frm the Assciatin. 5. Crdinates mailings. D. Treasurer (three years) 1. Crdinates bank accunts and maintains accunts in the name f the rganizatin. 2. Arranges fr the cllectin f cnference fees and prvides fficial receipts. 3. Arranges fr payment f cnference and ther Assciatin expenses. 4. Prepares fficial written reprts f incme and expenditures fr cnference and annually fr the Assciatin. These are t be 3
presented at each cnference business meeting, and t the President upn request. 5. Oversees registratin area n day f cnference. Sectin 4. Members f Steering Cmmittee A. The Steering Cmmittee cnsists f the Executive Cmmittee and the members-at-large as defined in Article II. B. The respnsibilities f the Steering Cmmittee shall include assisting in the planning f the annual meeting and cnference(s) and in ther business f the Assciatin, as well as ensuring that the brad pinins f the membership are represented. The members-at-large cnsist f vlunteers whse functin is t attend Steering Cmmittee meetings, wrk with peple n cmmittee, and insure that the brad pinins f the membership are represented. At-large membership n the Steering Cmmittee shall require attendance at least tw planning meetings prir t each cnference. Sectin 5. The archivist will be appinted by and will serve at the pleasure f the Steering Cmmittee. 4
ARTICLE IV: COMMITTEES Sectin 1. Nminatins Cmmittee A. The Nminatins Cmmittee shall cnsist f the past presidents. B. The Cmmittee presents a slate f candidates t the Steering Cmmittee fr electin by the membership at the annual cnference. Sectin 2. Audit Cmmittee (as members becme available) A. The Audit Cmmittee shall cnsist f at least tw members f the Steering Cmmittee appinted by the President, ne f whm shall be appinted as chair by President. B. The Cmmittee will audit the Treasurer's accunts and present a written audit reprt annually t the Steering Cmmittee at a meeting prir t the Spring Cnference. Sectin 3. Archival Cmmittee (as members becme available) A. The Archival Cmmittee shall cnsist f the Secretary and the Archivist wh is appinted by the Steering Cmmittee. Sectin 4. Technlgy Cmmittee (as members becme available) A. The Technlgy Cmmittee will cnsist f the Infrmatin Manager and the current and immediately previus Cnference Prgram Chairs. Additinal members may be appinted by the President. B. The Cmmittee will serve as the editrial bdy fr the Assciatin website and prvide nging review and maintenance f web site cntent. C. The Cmmittee will advise the Steering Cmmittee f technlgy issues and advances pertaining t the Assciatin's business. ARTICLE V: MEETINGS 5
Sectin 1. Frequency: There will be ne cnference a year, subject t site availability, as well as mini cnferences, as warranted. Sectin 2. Sites: Meeting sites are t be selected by criteria which include: accessibility t public transprtatin, parking, sufficient meeting and dining facilities. ARTICLE VI: AMENDMENTS An amendment t the cnstitutin may be adpted by a simple majrity vte f thse in attendance at tw cnsecutive Steering Cmmittee meetings. Any amendment t the Cnstitutin shall be submitted in writing t the Steering Cmmittee at least ne meeting prir t the meeting at which the first vte is taken.
