Please note: The trade show does not restrict the number of industry / business of the same nature to reserve space in this event. The trade show will, however, ensure that like businesses are not in close proximity to each other unless requested. Move In Information: Exhibitors will have access to the trade show area Friday, May 22nd from 9:00 am 9:00 pm for set up. Carts and dollies will be provided at designate locations. Large items can be moved in through the overhead doors at the rear of the Stu Barnes Arena. There will not be any move in on Saturday, May 23 th prior to the show commencing at 10:00 am. The loading doors will be locked as of Friday at 9:00 pm and will remain locked until Sunday at 5:00 pm. Carts and dollies will NOT be available after Friday, May 22 nd 9:00 pm. Exhibitors of heavy equipment (tractors, vehicles, RV s, Boats, Pools etc.) will have a choice of exhibiting on our secured and fenced outdoor lot or inside the Stu Barnes Arena. Please notify the Chamber well in advance so we can arrange the specific location and necessary assistance required with the show contractor, GES Canada. If you require forklift services, please contact GES Canada to make necessary arrangements. As per GES Canada, charges will occur for forklift services. Move Out Information: Take down and move out is Sunday, May 24 th beginning at 5:00 pm. All displays, equipment and materials must be removed from the trade centre floors by 9:00 pm that evening. Special considerations and arrangements may be made with the Chamber office. Please call before April 15 th, 2015 for special considerations. GES Canada will have a presence on site prior to and during the entire two day show. GES will provide additional services for your move in and move out at additional cost as follows: receiving, set-up and take down, crating and shipping. Please contact GES Canada at 780-469-7767 to arrange for any extra services you may require. Additionally, if you require extra power, additional tables, different size of tables etc., these will need to be pre-ordered through GES Canada. The GES package will be sent out to you upon registration as an exhibitor. All requirements outside of the contracted agreement as an exhibitor will need to be arranged and coordinated with GES Canada directly. Electrical 24 hour power will only be available for both the Trade Expo and Taste of Spruce Grove booths. Should you require 24 hour power for your booth please contact GES Canada 780-469-7767. Please note there will be an additional charge for 24 hour power for all other booths. Internet / Phone Lines Please note there are no phone lines for debit machines, internet, etc. however, there will be limited wireless internet available. A code will be provided to each exhibitor with the set-up package. Please ensure you have enough ribbons for your booth attendants and that you have made arrangements for them to access those ribbons prior to entering the trade areas. Life & Leisure Expo 2015 Exhibitor Rental Agreement TRADE CENTER (Stu Barnes Arena) hosted by The Spruce Grove & District Chamber of Commerce BETWEEN: THE SPRUCE GROVE & DISTRICT CHAMBER OF COMMERCE (hereafter referred to as the chamber ) and ( the exhibitor ) IN CONSIDERATION of the mutual covenants contained in this Agreement, the parties agree as follows: 1. The chamber shall permit the exhibitor to use the space described below (exhibitor assigned space) for the period specified, subject to the terms and conditions contained on the reverse side of this agreement. The space assigned is that space identified on the location map attached to this agreement (booth location numbers). The exhibitor acknowledges that the Chamber has the right to reassign space to the exhibitor. Upon receipt of the deposit, the exhibitor shall be entitled to indicate a preference of booth location. a. (first choice) b. (second choice) c. (third choice) 2. Booth / Space Fee: The exhibitor agrees to pay the sum of $ for rental of the assigned booth / space, according to the enclosed cost schedule. GST is additional to all prices in the cost schedule. All ribbons will be included with your final show package. 4. The exhibitor with proper identification by ribbons shall be entitled to use the assigned booth / space at the Life & Leisure Expo 2015 from 10:00 am, May 23rd to 5:00 pm, Sunday, May 24th, 2015 and for reasonable access to the assigned space before and after this period for assembly and removal of exhibit. Booths must be dismantled immediately fooling show closing on Sunday, May 24th, 2015. Other special permissions may be assessed by show management and alternate arrangements may be considered. 5. Terms and Conditions: The Exhibitor acknowledges that they have read the Terms and conditions on the reverse of this Agreement, and agree to be bound by them. 2015 CONTRACT TERMS AND CONDITIONS The Exhibitor agrees: 6. To fully comply with the terms and conditions set forth in the contract between the Exhibitor and the show management. 7. To observe and abide by all rules and directives of the show management including those for set-up, take-down, procedures and further the municipal law as it may apply to the exhibitor. 8. Not to assign or transfer the contract. 9. To use the space for the purpose assigned in the contract. 10. That the space is not to be shared, assigned, sublicenses in whole or in part except with the prior written approval of show management. 11. To have a representative in attendance at the exhibit space during all times when the show is officially open. 12. To store in the exhibit space only those goods or merchandise actually for the promotion or for sale. 13. To be responsible for the continued cleaning and removal of garbage or other refuse from their booth at all times including set-up and take-down. 14. To comply with all valid, federal, provincial and municipal legislation, regulations, by-laws, resolutions and standards including, without restricting the generality of the foregoing, maintenance of insurance in such amounts and for such coverage as is required by any federal, provincial or municipal regulators or licensors of the Exhibitor s business. 15. Food and concession spaces require local health board and fire department permits and must conform to all applicable regulations. All intended food samples or products must be approved by The Spruce Grove & District Chamber of Commerce. 16. To provide the show management with completed documentation required by the contract including confirmation of comprehensive general liability and non-owned automobile insurance coverage in the form of a Certificate of Insurance. 17. The Exhibitor is responsible for all damage caused by the Exhibitor to the facility and to all property owned or leased in connection with the show by management, howsoever such damage is caused. Management will maintain event security and take reasonable precautions to safe-guard the Exhibitor s property, however, management assumes no liability for loss or damage, through any cause, of goods, exhibits or other materials owned, rented or leased by the Exhibitor. 18. The Exhibitor shall indemnify the management, its employees, directors, officers, agents, volunteers and the City of Spruce Grove, and hold them harmless from and against all liability, claims, damages or expenses which shall include, but, not be limited to any and all costs in enforcing this agreement, including legal fees on a solicitor client basis, for or arising out of nay act or neglect by the exhibitor, its servants, employees, agents, invitees, licensees in and about the event premises. 19. In the event it becomes necessary to restrict any installation or activity or to evict an offending exhibitor, the show management is not liable for any refund of exhibit space rental or any other expenses incurred by the Exhibitor. 20. All exhibitors must limit the height of any free standing display or any display material within the front 3 feet of the exhibit space (first 3 feet from the aisle way) to 4 feet in height. Non-compliance may result in expulsion without refund. Any variance to this policy will require PRIOR APPROVAL of the event committee. 21. Move Out: GES will lift up all the aisle carpeting before you are permitted to move out. After carpets are lifted, dollies and carts will be made available for exhibitor to remove merchandise. 22. Failure to comply with regulations may result in removal from the show, forfeiture of all fees paid and or termination of the contract. *These above terms and conditions form part of the booth rental agreement.
