Information about the Test Library Administration Test Library Hours Library hours may change each semester in accordance with class timetable requirement. Hours are posted on the test library door, K1.05. Terms of Employment In order to be employed, Test Librarians must either be enrolled in or have completed the graduate paper in Psychological Assessment. They will be expected to run the library for a period of two years. Preference will be given to students enrolled in a two-or-more-year programme of study. Holidays The Test Library is generally closed during university holidays except during short semester breaks. Library Procedures Issues Tests can only be issued by the Test Library Personnel. If a person is unable to come to the test library during the opening hours they may contact the Test Librarian via e-mail (telb@waikato.ac.nz) or by leaving a message on the phone (838 4466 ext 8954). If the Test Librarian is happy to make arrangements to meet the person out of hours to issue a test then this is fine. However, this is up to the individual, but we aim to help all borrowers in any way possible. Tests are not to be left in inappropriate or unsafe places for collection. If all parties are in favour, it may be possible to leave tests with the Secretaries in the Psychology office. This must be arranged in advance. All tests are issued for a period of two weeks. Tests must be returned within this period unless prior arrangement has been made. Individuals who do not return tests on time may lose rights to borrow tests in the future. A maximum of two tests may be borrowed at one time. The librarian must ensure that the borrower is authorised to borrow the test concerned. Issuing of tests is restricted to individuals who are psychology students, or University Staff.
First-time borrowers will be asked to: 1) ensure that their levels of qualification are sufficient to borrow the test 2) complete a borrower s card 3) read and understand the regulations and rules of the Test Library. All borrowers must be given a copy of the Test Library regulations (Appendix A). Most of the tests held in the psychological test library are protected by copyright. In keeping with University photocopying guidelines, a borrower may photocopy the test materials for teaching purposes only (e.g., to show a class what a profile looks like), or to take a test him/herself (training purposes). But borrowers may not photocopy test materials or forms to administer the test to others (e.g., in an organisational or clinical setting with clients, or with research subjects). If the borrower wishes to use the test to administer to others, test sheet/profile originals must be purchased, usually through research funding. Consultation regarding this may be done with the Clinical Director after completing a request form (Appendix B). The contents of the test must be checked by the borrower prior to removing the test from the Test Library. This ensures that the borrower has all parts required for the test. Borrowers are responsible and liable for any missing of damaged components when the test is returned. Recalling Tests All borrowers are able to have tests for 2 weeks. Tests must be returned by the end of the 2 week period. All overdue tests will be recalled. Tests may be recalled via telephone, email, or by letter. If the tests are not returned, the borrower may lose lending privileges or incur a fine. Ordering Materials Requests to purchase new tests The Test Librarians may arrange for the order of test forms for a particular individual, provided that the Departmental Administrator has provided an account code for charging the purchases to. In this case a discussion must be made with the Test Library administrator and a request form should be completed by the individual (see Appendix B). 2
Copyright requirements All the tests in the Test Library are copyright. This means that no parts of the tests may be copied without the Authors/Publishers permission. This also includes the photocopying of any test booklets or Answer booklets. The only time it is permitted for test booklets to be photocopied is for teaching/training purposes. If this is required then the Departmental staff member responsible for the Test Library must be notified, and they will discuss the procedures and policies involved with the person conducting the training. This is generally only done for classroom demonstrations and appropriate measures to comply with university guidelines for copyright procedures must be followed, and the photocopies must be destroyed in an appropriate manner. There are grave consequences for breaching copyright and any person who copies unauthorised materials may be liable. The Copyright obligations are written into the Rules and Regulations sheet (see Appendix A), so all borrowers should be aware of any breaches. However, it is always good to reiterate this policy if the Test Librarian is aware of any potential breach of copyright. 3
Appendix A: RULES & REGULATIONS OF THE TEST LIBRARY The Test Library is a resource centre. Everyone s co-operation is a very important part of its smooth running. The following has been set up to aid the efficient running of the Test Library so that we can endeavour to meet the needs of all users. If the guidelines are observed, many frustrating situations can be avoided. 1) A loan form must be completed before taking any test out of the library. Contact details must be recorded. If your contact details change please advise the Test Library Personnel. 2) Tests may only be borrowed by Staff and Students of Waikato University who have completed/or completing a 500 level psychological measurements paper. However, all Psychology major students (undergraduate included) are welcome to come and use the test library, but will be unable to borrow tests. Graduate students who would like to borrow tests are required to have their loan form signed by their supervisor if they have not completed the graduate psychological assessment course. 3) You are responsible for the tests you borrow, so please do not lend them to another student or staff member. Many tests in the Test Library are restricted and, as a matter of professional ethics, may be viewed only by qualified persons or those undertaking a relevant course 4) There is a two-week lending period for most tests, but there are times when a two-day lending period only is possible. If a test is required for a longer period please discuss this with one of the Test Librarians. There is generally no need to have a test for any period longer than this, and once returned on time, it enables another person to borrow it without any inconvenience of the test being recalled. 5) If a person requires a test that has been borrowed by another person then that test can be recalled. Tests that have been recalled are expected to be returned within one week of the recall date. 6) Tests may only be issued by the Test Librarians. If a person is unable to use the Test Library during opening hours then they may contact the Test Librarians via e-mail and a mutually convenient time may be able to be arranged. E-mail addresses of the Test Librarians are posted on the door of the Test Library in Room K1.05. If a person obtains a Test by any other means then their borrowing privileges may be evoked. 7) A maximum of two tests per student may be borrowed at any one time. 8) Do not take tests out of Hamilton unless prior arrangement with the Test Librarians has been made. This is for the convenience of everyone. 4
9) Do not leave it until the last minute to borrow a test. In many cases, there is only one copy of a test available and this may be in use by another person. 10) If there are any materials missing from a test, please let the Test Librarians know immediately. (Check that all materials are present before you take the test away). 11) Please ensure that your name is attached if you return a test when the Test Library is unattended or closed. We do have several copies of some tests and your name will remain on the records unless notification of its return is made. If a test is returned out of the hours of the test library then they must be handed to Jan Cousens, Department Secretary. 12) The books in the Test Library are for reference only and may not be borrowed. Copies of parts of resource books may be taken, but copyright regulations must be adhered to. There are duplicate copies of most of the books we hold in the main University Library. 13) The person who a test is issued to is responsible for those tests. You are liable for payment of any test or component not returned. Please note that some of these tests cost in excess of $1000. If tests are lost then an invoice for payment is issued through the University system. Any debits outstanding to the university by students may prevent you from graduating. 14) Please read the section regarding copyright of the test you have borrowed.
