The Association of Retired UPEI Employees Minutes of the Annual General Meeting, November 7, 2015 Health Sciences Building 104 Members Present Velma Affleck, David Cairns, Betty Campbell, Rosaleen Chaisson, Ron Collins, Sharon Cregier, Wayne Cutcliffe, Satadal Dasgupta, Isabel DeRoche, Cathy Dillon, Shirley Dillon, Jim Hancock, Edward Hanus, Norine Hanus, Ron Irving, Suzanne Jones, Peggy Leahey, Susan Loucks, Michael Liu, Grant MacDonald, Robert Mahen, Virginia McCarvill, David Morrison, Barb Mullaly, Georgina Mulligan, Glenn Palmer, Merrill Pineau, Terry Pratt, Gilbert Quinn, Mike Read, Gavin Richardson, Zita Roberts, Katherine Schultz, Verner Smitheram, Murray Stevenson Regrets: Marian Morrison Call to Order: The meeting was called to order at 1:00 by President Bob Mahen. He thanked everyone for attending. He noted that as he said last year it was hoped to get the AGM back to October and that we were getting close. When the Board members learned about the opportunity to bumper the event with the Sports Centre s kind offer for a reception, tour and game tickets, they thought it made good sense. Bob noted that an attendance sheet was circulating for members to sign and update their address or email. Agenda: The agenda had been circulated and some print copies were available. Minutes President Bob noted that he minutes of the 2014 AGM had been posted on the Retirees web site and he was sure everyone had read them. There also were a number of print copies at the front. Time was provided for a quick review. The question was then asked, were there any amendments required to the 2014 AGM minutes. No amendments were offered. M/S Collins/Cutcliffe that the minutes as circulated are approved. Carried Business Arising President Bob indicated that the only business arising from the minutes surrounded the Val Pak Project. There were two main areas: parking and Retirees membership at the Sports Centre. Anyone who watches CBC knows that parking continues to be a challenge at UPEI. With the building of the new Engineering Building even fewer spaces are available than last year. Bob did point out that in investigating the Sports Centre membership issue we had discovered that if a retiree joined the

Sports Centre or the walking program and got a UPEI Community ID card, anytime they came to campus to walk they could get a token at the Sports Centre front desk. The walking program costs $15 per month or $40+hst for the year, but it will give you parking in the CARI lot each time. The second part of the Val=Pak concept that has been put in place is the Membership Rates for UPEI Retirees. There has been a flyer circulated on this and at the reception after the meeting the Centre staff will be able to field questions about the opportunities available and provide a tour of the fitness area. A member asked the question about discount at the bookstore and people confirmed that they still get that discount by presenting their UPEI ID Card. President s Report President Bob Mahen indicated his report would be a short one. He expressed thanks to the Board who had worked hard on your behalf over the past year. He pointed out that our Board meets only as necessary to get the work done for the AGM, the Winter Luncheon, and the Annual BBQ and Golf. As you may have noticed from the items that get forwarded to members we are a member of CURAC (College and University Retirees Association of Canada. We do pay our membership and receive information but generally we do not attend meetings because of the cost and location. The Association has been active in developing reports and communiques on issues of concern to us such as a National Drug Policy and Health Strategies for the Aging Population. The activities this year have been well received. Our winter luncheon held at AVC was well attended and received. Stephen Champion, from the Engineering School gave a wonderful presentation about the program and the new facility that is being built. People were interested in the new approach which has student working with companies right from the beginning of their program and the development of the building in a foot print that would mirror a really work situation. A number of retirees expressed an interest in perhaps returning to school for this new program. Stephen encouraged us to, in the future, book a session in the Fab Lab working with the 3D printer. Our Annual BBQ and Golf event was held at Fox Meadow again in June. The location and the informal BBQ approach is well received. Sixty-five members and partners attended and enjoyed a great evening. Bob commented that this seems to be a good social event that allows us to stay connected with colleagues and friends from UPEI. Bob also mentioned that CURAC had circulated a Bulletin with suggestion for

how Associations could recruit members and he was happy to report that we were doing many of the things now. One of the suggestions that was discussed at the Board was perhaps having a more regular coffee get together for anyone who wanted to drop in and chat. There will be more to come on this. M/S Read/Cairns - that the President s Report be accepted Carried Treasurer s Report Betty Campbell presented the Financial Report. The report detailed that the opening balance Nov 2014 was $857.98. The total revenue for the year 2015 was $2663.68 with total expenses of $2426.14 leaving a balance of $1095.52 as of November 7, 2015. Betty commented that she had collected dues for next year at today s meeting and had 8 paid before the meeting. We appear to be in good financial shape. (See Appendix 1 attached) M/S Campbell/Mullaly acceptance of the financial statement Carried Nominating Committee Report Satadal Dasgupta presented the nomination report. The following slate is offering: President Vice President Secretary Treasurer Members-returning Past President - Bob Mahen - Peggy Leahey - Barb Mullaly - Norine Hanus - Velma Affleck - David Cairns - Betty Campbell - Wayne Cutcliffe - Vern Smitheram - Satadal Dasgupta For each of the positions, Satadal asked if there were any nominations from the floor three times. Having no additional nominations, each proposed nominee was declared elected. M/S Dasgupta/Read that the slate as presented is accepted Carried Minute of Silence President Bob asked for a minute of silence for our retired former colleagues who had passed away this past year: Barry Bartmann, faculty in Political Studies Tom MacLellan, retired faculty in Religious Studies Theresa Strain, retired staff from Facilities Management Marian Younker, retired staff from the President s Office

New Business Board Pension Advisory Committee Ron Collins wanted to report that the Board Pension Advisory Committee was now defunct. He and Andy Robb had been observers on that committee for the Retirees. He reported that the Pension had undergone its 5 year review last year and we had all been invited to the presentation in the spring. Since the committee, with our observes no longer functions he was recommending that we should have someone from the VP s Office present a state of the pension at our AGM every couple of years. UPEI Supplementary Health Care Trust Barb Mullaly reported that she sat as a retiree observe on the Supplementary Health Care Trust. She noted that this trust managed the Health Benefits for administrators and staff. She explained that the Faculty Benefits were dealt with as part of negotiations and that retirees did not have representation there. Barb noted that the Trust (composed a representatives from the Administration and various unions) have been reviewing the plan with the help of Medavie Blue Cross and Morneau Shepell. This is in process and some changes (which are cost neutral) may be suggested. A question was asked about the change in the user pay cost for drugs that has taken place in the last year. Barb explained that this had taken place as a result of changes the provincial government had made to the Seniors Provincial Drug Plan. The Supplementary Health Trust and the Faculty Group had made adjustments because of the provincial legislation. President Bob reminded people that they had all received a letter from the Vice President s Office explaining the changes. He was sure that if they checked their documents they would find it. President Bob thanked everyone for coming. He also reminded them they could keep contact with the association through our email upeiretirees@gmail.com or on the UPEI website.the UPEI website offers good information. He then invited everyone to join us at the social and information session at the Sports Centre next door. The President declared that having completed the work of the agenda the meeting be adjourned. Respectfully submitted Barb Mullaly Secretary Check our web site at www.upei.ca/staff_faculty/retiree, for minutes and up-to-date notices.
