1 Summary The Plan Advice Manager Dashboard provides advisors the ability to analyze, review, generate and archive reports and documents. Also, Plan Advice Manager allows automatic recommendations for fund status based on preselected criteria for watch and replace. Enables the advisor to make fund changes and send notification to the client and/or recordkeeper. Accessing Plan Advice Manager From the home screen select Plan Advice Manager The numbered columns represent the five step Plan Advice Manager process and the links for each plan will change as the advisor works through the Plan Advice Manager steps. Each step reflects Start and Done when that particular action has been completed. The step(s) will reflect N/A if the step is not needed. Additionally, the step will not be linkable if it s not in the next step sequence to be executed. The steps are as follows: o Analyze Plan Indicates the plan is eligible to be analyzed, or needs to be analyzed. o Review Plan Indicates the status of the Review Step of Plan Advice Manager. o Archive Report Indicates a report has been generated and stored in the archive. o Fund Change Instructions - Indicates at least one fund in the plan has a status of R (to be replaced) or A (to be added), and the mapping process has not been completed. o Report Indicates that a plan report has been archived and is available to be ed. o View Log Displays any activity performed on the plan related to analysis, reviews, archives, and distributions.
2 Setting up Watch/Replace Rules Watch/Replace Rules allow the advisor to automatically place Funds on watch or replace status. The advisor can set up watch/replace rules for both LPL RP scoring and FiRM scoring (for plans that aren t evaluated using the LPL RP 12- point score) The scoring rules are found on the Plan Advice Manager Plan list, near the top of the screen, labeled Edit Watch/Replace Rules and Criteria. Using Plan Advice Manager Analyze the plans The Plan Advice Manager Analysis process does the work for the advisor to find funds that should be classified as on watch or to be replaced. These processes are based on watch and replace criteria that were established above for Plan Advice Manager. The results of the analysis are shown in the draft portfolio for the plan. Possible recommended status indicators are R for replace or W for watch. Adding a fund or changing criteria for a plan will trigger the need to run analysis again. The analysis process can be run from the draft portfolio directly if needed. To minimize the risk of slowing down the system, the analysis process is run in the background. It may take some time to complete if there are several funds in the plan. The advisor is able to enter their address in the system to be notified when analysis is complete for the plan. To begin the analysis, the advisor will select the Plan Name and then select Analyze. A Send Notification box will appear. The advisor will confirm the address they want the notification of the analysis complete, to be sent to.
3 Review each plan that has been analyzed The Plan Advice Manager List will indicate that Analysis is complete by sending the advisor an , and also showing a clickable link that indicates, Start in the Review Column. Once analysis is complete, the Variance column on the Plan Advice Manager Plan list becomes very useful as it tells the advisor how many funds in a plan have Plan Advice Manager status recommendations that don t match the current status recommendation for a fund. The mismatches are E, W, or R. The Start link sends the advisor to the draft portfolio section of the plan, where the advisor can review the Plan Advice Manager analysis status recommendations. Here two primary activities need to be executed: 1. Review all the status mismatches and decide what status each fund should have (Plan Advice Manager recommendation is not required). Remember to Add funds that need to be replaced. Also note a fund is added, the analysis process is required again (to apply the analysis criteria on the fund that was just added). Analysis can be run directly from the draft portfolio. 2. Check the Review Status checkbox near the top of the draft portfolio (This allows the advisor to track the review status of the plans) and select Continue.
4 Generate and Archive reports Once the plan data is reviewed the option of Generating and/or Archiving the report is now available. If Generate Report is selected, once completed, the advisor is able to View Report or Archive Report. If Archive Report is selected, once the report is run, it is archived and able to be viewed. Fund Change Instructions A new LPL feature in FiRM is the ability to generate a document to instruct a recordkeeper (directly or via the plan sponsor) how to handle fund changes. Select Start under the Fund Change Instructions column. This page allows the advisor to map funds to funds that are to be replaced and generate a letter to the record keeper with instructions. Steps: 1. Select the instruction template for the recordkeeper. 2. Use the Action field to replace or close the fund. 3. Use the Map to field to replace the fund. The funds listed in the Map to field are of the same category of the fund to be replaced. 4. Generate the template or publish it to the archive. Or the advisor can click Upload to Archive to upload their instructions.
5 Report (and fund change instructions) to client The advisor is able to a report and fund change instructions to the client. Select the documents/reports to be sent and select the contact(s) to distribute to. View Log The advisor has the ability to view activity that has taken place on their plans by selecting View Log on the Plan Advice Manager Dashboard. The log captures Line Up, Activity, Description and Date.
