1 STORM UPDATE The National Hurricane Center (NHC) has announced that Hurricane Irma will possibly affect weather conditions in our area. Hurricanes have the potential to produce storm surge, gusty winds, widespread coastal and inland flooding. Condominium Associates takes pride in being your management partner and will do our utmost to provide exemplary service to your community. Our Client Services staff and your Association Manager are available to answer questions and provide any possible assistance toll free at Please keep in mind there may be interruptions in telephone and or internet service during the storm. You may experience a host of maintenance related issues both during and after the Storm, including but not limited to: blown down trees and debris, roof/window leaks, gate systems, electrical services and elevator service interruptions. Please contact your Association Manager at to report such occurrences. Also, please note that some items such as roof leaks cannot be addressed until the inclement weather has cleared. WHO TO CALL? Fire/Flood/Life Safety Emergencies in your unit/home: In the event there is a fire/life safety emergency in your unit/home please call 911 first. Contact your Association Manager by calling the management office phone number. If the event occurs after normal business hours your call will be answered by the answering service and the Property Manager will be notified. The management staff will assist in securing your community and address any damage to the common areas. Condominium Associates is also available to assist in locating contractors to address interior issues if needed. Flood in the Common Area: Contact your Association Manager by calling the management office phone number. If the event occurs after normal business hours your call will be answered by the answering service and the Property Manager will be notified. Water/Sewage Back up: Contact your Association Manager, they will direct maintenance personnel and/or contractors to assess the problem and they will either repair the problem or contact the proper authority if necessary. 2 Hurricane Terminologies Hurricane Season June 1st to November 30th Hurricane Watch Weather bulletin warning of hurricane conditions which pose a threat to the coastal or inland communities. This is the first notice; means the eye of a hurricane may threaten within 36 hours. Preparations should begin for coping with storm impacts and possible evacuation. Hurricane Warning A warning has been issued that dangerous effects of a hurricane are expected in a specified area in 24 hours or less. Category One Hurricane Winds of 73 to 95 mph. Damages to include: low-lying escape routes located inland will be cut off by rising water two to four hours before the arrival of the center of the hurricane; marinas flooded; some damage to windows, doors and roofing is expected; major damage to mobile homes; storm surge 5 to 7 feet above normal. Category Two Hurricane Winds of 96 to 110 mph. Damages to include: low-lying escape routes located inland will be cut off by rising water two to four hours before the center of the hurricane arrives; mobile homes expected to be destroyed; some structural damage to small buildings; serious coastal flooding; storm surge 8 to 10 feet above normal. Category Three Hurricane Winds of 111 to 130 mph. Damages to include: low-lying escape routes located inland will be cut off three to four hours before the center of the hurricane arrives; mobile homes destroyed; some structural damage to small buildings; serious coastal flooding; storm surge 11 to 12 feet above normal. Category Four Hurricane Winds of 131 to 150 mph. Low-lying escape routes located inland will be cut off three to four hours before the center of the hurricane arrives. Major damage to lower floors of buildings adjacent to shorelines due to wave battering and flooding. Collapse of roofs of many small residences. Storm surge 13 to 18 feet above normal. Category Five Hurricane Winds more than 156 mph. Low-lying escape routes located inland will be cut off three to four hours before the center of the hurricane arrives. Small buildings will be overturned or blown away. Extensive shattering of glass in windows and doors. Collapse of roofs of many residential and industrial buildings. Some buildings will collapse. Storm surge greater than 18 feet above normal. Storm Surge An abnormal rise in sea level accompanying a hurricane or other intense storm. A surge may be up to 20 feet high.

3 12-point Hurricane Preparedness Checklist for Condominium and Homeowner Associations * Before the Storm 1. Disaster Plan If you have a disaster plan be ready to implement it. At a minimum, designate a responsible community member as Disaster Plan Coordinator and another as Information Facilitator to field queries and respond to/from community members. These individuals should be outside the impacted areas so that they can field and disseminate information. 2. Evacuation Routes Establish clear building or community evacuation routes and be sure that all community members are provided with copies. It may be a good idea to conduct a building or community evacuation drills. 3. Emergency Generators & Supplies Verify emergency generators are in working order and have adequate fuel supplies, stock a building or community emergency supplies storeroom with flashlights, batteries, water and other necessities for residents and employees in the aftermath. 4. Backup Computer Files Be sure that computer files crucial to running the building and association, including the governing documents and original plans and specifications for the building, are backed up to CDs or Portable Storage Devices and keep a list of office computer hardware and software vendors and repairmen in case computers crash or systems fail. 5. Secure the Premises Make preparations for routine lockdown of the building or other facilities so the building is secure during the storm and safe from vandalism or looting if a hurricane strikes. 6. List of Owners & Employees Have on hand a current, hard-copy reference list complete with the names all property owners, emergency contact numbers and details of second residence addresses, as well as a list of all association employees, with full contact details. 7. Photograph or Video Premises Keep a visual record through video or photographs of premises, facilities and buildings to facilitate damage assessment and speed damage claims in a storm aftermath. 8. Building and Facilities Plans Make sure a complete set of building or community plans are readily available for consultation by first-responders, utilities workers and insurance adjusters following a storm. 9. Insurance Policies & Agent Details It is too late to obtain new windstorm or flood insurance which would cover Hurricane Isaac, but secure copies of all current insurance policies along with contact details for insurance companies and agents. 10. Bank Account Details & Signatories Keep handy a list of all bank account numbers, branch locations and authorized association signatories, and make contingency plans for back-up signatories in case evacuation or relocation becomes necessary. 11. Mitigation of Damages In the immediate aftermath of a storm, take the necessary steps to mitigate damages this includes Drying- In, which is the placement of tarps on openings in the roof and plywood over blown out doors and windows, and Drying Out, which is the removal of wet carpet and drywall to prevent the growth of mold. 12. Debris Removal Have a plan for speedy removal of debris by maintenance staff, outside contractors or civic public works employees.

4 After the Storm Within hours of any disaster, affected communities will be besieged with offers by companies and individuals offering disaster recovery assistance. Please resist the urge to contract with these initial providers until you have done the following: 1. Activate Your Disaster Plan. Once residents are safe, the community must begin surveying the property and assessing the damage. A designated information facilitator should set up system of information sharing among local homeowners and a disaster coordinator should serve as liaison to emergency services providers; Photograph or Video Premises Keep a visual record through video or photographs of premises, facilities and buildings to facilitate damage assessment and speed damage claims in a storm aftermath. Communicate o Board of Directors update the board contact with a status update o Insurance Company in the event that damage is more than minimal clean up and requires the association to submit a claim. o Appropriate vendors to schedule clean-up and repairs. o Owners update owners who have damage. Oversee all maintenance checks on building, equipment and unit. Returning the maintenance equipment to respective areas. 2. Secure your community from acts of vandalism and looting; 3. Remove storm debris to prevent accidents from occurring on the property; 4. Secure building structures to mitigate further damage; 5. Evaluate & Determine needs for immediate reconstruction and evaluate financing options including advances from insurance company for financial advances. BEWARE OF ANY INSURANCE COMPANY OFFERING MONEY IN EXCHANGE FOR RELEASES OR SETTLEMENTS. 6. Suspend or cancel on-going contracts such as lawn or pool maintenance if allowed for in your contract; 7. Review governing documents particularly anything related to "repair after casualty" provisions in the insurance section to establish process for reconstruction; 8. Initiate reconstruction planning using the five phases of reconstruction: project planning/scheduling; construction bidding; contract negotiations; construction/repair/rehabilitation; project completion/close out. 9. Review Insurance policies to determine filing requirements for proof of loss forms. 10. Meet with licensed professionals familiar with your community which may include: a) architect/engineer to assess damage and prepare plans; b) construction manager to oversee selection of general contractor and begin competitive bidding process; c) attorney to review insurance policies, governing documents, construction contracts and any vendor agreements; and d) public adjuster who is independent of your insurance company s adjuster who can be helpful with the nuances of an ambiguous insurance policy. Most independent adjusters work for a fee based upon percentage of insurance proceeds.
