3 DAY CONFERENCE RATES VALIDITY: 01 JANUARY DECEMBER 2017 FULL DAY CONFERENCE PACKAGE Optenhorst Conference hall On Arrival Mid-Morning Refreshment Break Lunch Afternoon Refreshment Break From R per delegate This rate is for 8 hours Venue hire and equipment, excluding breakout spaces and exhibitions Standard AV equipment (i.e. Data Projector, White Screen, Wi-Fi & Sound System, PA System with Microphones) Filtered Water and Sweets d Olyfboom Conference booklet (i.e. Note paper, Post-it note pads & pen) charged at R Coffee, variety of teas and local legendary rusks Coffee, variety of teas. 4 HALF DAY CONFERENCE PACKAGE INCLUDING LUNCH From R per delegate (4 hours) Same as the full day conference package, except afternoon refreshment break. HALF DAY CONFERENCE PACKAGE EXCLUDING LUNCH From R per delegate (4 hours) Same as the full day conference package, except a two course lunch and afternoon refreshment break.
5 TERMS & CONDITIONS Maximum 80 delegates cinema style Maximum 60 delegates schoolroom Maximum 40 delegates boardroom style APPOINTMENT & PAYMENT REQUIREMENT Bookings are secured by us receiving a 50% deposit and a signed agreement. Please send the proof of payment and signed agreement to info@dolyfboom.co.za Provisional reservations will be reserved for a period of 14 days only, after which the booking will be considered cancelled. Additional charges could occur should the client utilize the venue longer than booked Please note that a 10% service fee of your final food and beverage bill will be charged for conferences larger than 10 delegates 14 Days prior to the function, the balance of the account is payable. Overtime costs and breakages or damages are payable within one week after the function. 14 Days prior to the function at the final appointment, the following is confirmed: o Procedures of the day o Final number of guests o Layout of the function area Please find agreement attached
6 FURNITURE AND EQUIPMENT The use of our standard furniture and equipment is at no extra charge. Any additional items should be supplied or hired at the client s cost. Candles may not be placed directly on linen. Candleholders should be wide enough to ensure no wax cause damage to the linen. No permanent alterations are allowed, (such as nails or hooks in the wall, roof or frames). Any damage to d Olyfboom property including linen, beyond reasonable wear and tear will be charged for accordingly. RISK, LOSS AND DAMAGES d Olyfboom shall not be held liable for interruptions of services beyond our control (i.e. Eskom power cuts) All precaution will be taken to ensure safeguarding of your belongings. We will not be liable for loss or damage to any property whatsoever (valuables, wedding gifts etc.) All personal and valuable property must be removed during or directly after the function. Should d Olyfboom venue facility, surrounding gardens, décor, crockery or napery be damaged by the client or clients suppliers during the set-up or break down operations at the function, the client shall be held responsible and will be billed accordingly. D Olyfboom, its employees or any person employed at any function will not be held liable for any loss or injury to persons, due to negligence or any other cause whatsoever. The venue is a NON SMOKING venue. We kindly request our clients to please smoke outside.
7 CANCELLATIONS In the event of non-payment in full of the pro forma invoice within fourteen days before the function, d Olyfboom shall be entitled to cancel the entire event and booking without any refunds of amounts paid. d Olyfboom reserves the right to cancel any booking forthwith and without liability on its part in event of any damage to, or destruction of the venue by fire, or any other cause beyond the control of d Olyfboom, which every effort will be made to find an alternative venue i.e. Marquee tent on the lawns.
