1 Introduction:- This BBQ is available for not or profit community organisations, charities and clubs to raise funds. As you probably appreciate these are quite popular and bookings are made over a year ahead in some cases. Whilst every weekend is booked out, there are occasional short notice cancelations BUT as there are 200 groups registered, if you need the funds within 2-3 months then your chances are going to be fairly limited. Information and general advice on the Anaconda BBQ:- Costs Cancellation Policy Who Runs the Site? What Insurance Do I Need? Do I Need a food Licence? What Do I need to Bring? How Many People Do I need for how long? What Happens on the Day? How Much Do I make? Who Do I contact more Information? COSTS Due to upkeep on BBQ's, tents, tables and supply of gas etc Anaconda have requested that all groups using this site pay a $75 fee and some groups may need to pay $25 deposit. This gives you gas bottles and helps with the upkeep of the BBQ (s) as well as all other equipment listed below under "Anaconda will provide". These fees are paid on the day and staff from Anaconda will approach you sometime during the day to collect this fee. You will get a receipt for this fee and at the end of the day after you have cleaned the BBQ you will receive the deposit back (if paid). This has been necessary due to some groups not cleaning the equipment after use. If you want to bring your own BBQ and gas then the fee is $30. ALLOCATIONS You cannot choose a BBQ until enrolled in the database thru the website. All booking are self serve thru the website. There are very occasional cancellations in which case those on the waiting list will receive an and it is up to you to follow the directions on how to be eligible for the date. Each year the dates for the following year are released. With 4 times more group registered than date available we use a priority system. Those who did NOT have a BBQ booked in the previous 12 months will get priority so you are almost guaranteed a BBQ at least every 2 years, CANCELLATIONS
2 To be fair on everyone, should you not wish to take the allocated date or not be able to make this date then a minimum 2 weeks notice is required or you may be excluded from future bookings. You may cancel a date up to 4 weeks prior this website. Inside 4 weeks or if you have a genuine emergency and need to cancel please contact the Scout coordinator using the contact us links or phone Information on the site Anaconda makes the site available, collects the fee and provides a BBQ with gas bottles and misc other gear detailed below. A Sir Leslie Wilson Scouts District volunteer (me) administer the rosters. This is not a commercial operation so neither organization is responsible for organising any supplies on the day beyond what is listed below, nor do they accept any liability for your actions. You and your team take full responsibility for the operation of the site for the day, setting up, cleaning, packing up etc. Failure to clean up, places extra load on the next group and you may be banned. Also Anaconda has commented on some groups placing excessive demand on their staff for your forgotten items. Please help us to keep this site available for all. Insurance Anaconda, Scouts or the Supercenter are not responsible for insuring this BBQ site. So to protect all parties involved and prevent you loosing your house, as a condition of holding a BBQ, you are required to have of public liability coverage to at least $10m prior to the allocated date. You do need send a certificate but you do need to update the insurance details on your profile through the login page of th website. Failure to have your current insurance details registered by the 2 week deadline may unfortunately result in cancellation of your booking and reallocation of your date due to the risks involved. Most organization HAVE public liability, you will need to check with your insurer as to coverage for fundraising activities. Health and safety Beside the obvious safe food practises, you should also take seriously any slippery fat on the tarmac and general safety both for yourself and the customers. For fat spills sand is recommended on the list of what to bring. You should also take all care possible around hot cooking surfaces. Children and hot things do not mix we do not recommend young children be inside the food prep area. Food Licences We cannot provide advice on whether your particular organization needs a food licence to operate a temporary food stall at these premises. Some do, some don't and some need one but council waives fees. You are responsible for compliance to all council regulations. Food licence details can be obtained on BCC site or phone 3403
3 8888. At a minimum check the site or search for safe food practices. You must comply with requests from Anaconda staff or the operator of the Northwest Homemaker Centre. Please be considerate and do not ruin this excellent arrangement for others. What is provided - What do I bring ******All supplied equipment must be cleaned and then packed up***** - see store manager when finished. Anaconda will supply: *3 m Covered area (gazebo - no sides) - BBQ(s) and Gas (check it is full, as lunchtime is not a good time to run out of gas) - 2 or 3 Trestle tables - 1 x Esky You should supply - Signage - organisation banner. - Signs for prices (RRP sausages $2.50, drinks $1.50, other items you wish to sell, such as bacon) - Sauces (about 5 ltrs) (In appropriate bottles, see BCC food licence requirements) - Sausages (Typical 40kg Sunday, 50kg Saturday but varies +/- 15kg depends on your selling skills and other factors) - Ice to keep drinks and sausages at appropriate and safe temperature - Extra Eskies large one will do the trick - Drinks (between 150 and 300 depend on weather) - Bread (enough for the sausages usually 18 slices per loaf but check your supplier) - Sliced Onions (about 10-15kg) - Cooking oil -Detergent & Hand wash (see BCC license) - Garbage Bags or Bin liners as you are responsible for disposing of customers rubbish - Cooking utensils / Plates / Warming trays / Alfoil etc - Paper towels / Serviettes - Disposable gloves - Fire extinguisher and /or fire blanket - Sand or similar for sausage fat spills & splashes - Start up money (float) and change for the day - Matches or Gas lighter - Any other items as appropriate How Many people and for How Long? You should plan to have 3-4 people on site at all times as it can get very busy, especially from 12-1:30. Suggest at 11:30 you cook as much as possible as long queues and delays at 12:15 seem to be typical. Plan to be there no more than 1/2 hour before the store opens which varies, so check the Anaconda website. You are expected to be there most of the day but you can decide the actual finish times on the day, most groups stop cooking at around 2:30. Anaconda may request you to give away VIP memberships, this is voluntary and you
4 could negotiate with them for rewards and targets. They also request the site be left tidy, so be aware of overflowing bins or people leaving discarded tins or napkins around. What to do when we get there On arrival at Anaconda please phone the store (doors will probably be closed) to ask for the BBQ and table to be brought out if not already out. When finished pack up and see the store manager on duty. As Anaconda have kindly provide the location, tents and provide a BBQ with free gas, it is suggested as a goodwill gesture that you provide the Anaconda staff with sausages at $1 each. (Please also remember to write a letter or certificate of thanks to the store manager ) How much do we expect make? As a average assume 40kg Sunday 50Kg Saturday which depending upon supplier is about Sausages. If you check the paper for specials (Sausages $2.99kg, Drinks 30-60c) and use our recommended prices, you should clear about $ for the day. Even more if you can get some things donated. Actual numbers do vary greatly due to weather, Anaconda sales, elections, your teams ability to serve the customer and not gossip and a whole bunch of other issues. Can I sell raffle ticket or other products? Short answer is yes. BUT - Please refrain from selling cakes or coffee as there are other retailers nearby that might ask you to stop. You are free to sell raffle tickets etc according to Qld Laws but I recommend those as an upsell post sale only (e.g. do you want a raffle ticket with that?). If you push those by actively selling then people will buy those instead of sausages. How do I set up the site
