2 IMPORTANT INFORMATION DELIVERY OF EXHIBITS Tuesday 22 August, 9.00 am to 12 noon. Exhibits must be forwarded or delivered to Adelaide Showground, Goyder Forecourt, Wayville by the above date and time. Late exhibits will not be accepted. All exhibits will remain the custody of the Society from delivery until removal. The Society does not accept liability for any loss or damage suffered to an exhibit during this time. EXHIBITION HOURS The Exhibition will be open for public viewing at the 2017 Royal Adelaide Show from Friday 1 to Sunday 10 September, in the Goyder Pavilion. COLLECTION OF EXHIBITS Tuesday 12 September, 9.00 am to noon All exhibits will be available for collection by Exhibitors and Purchasers on the above date and time from the Goyder Forecourt, Adelaide Showground, Wayville. Any exhibits not collected will have up until Friday 15 September to collect, after this date exhibits will be destroyed. ATTENTION EXHIBITORS - SELECTION OF ARTWORK Due to the limited hanging space available, all entries may not be hung. All entries will be viewed by a Selection Committee, who will advise the RA & HS as to which entries will be excluded. Entry fees for those works not displayed will not be returned. 3 ROYAL ADELAIDE ART PRIZE CLOSING DATE OF ENTRIES The following conditions will strictly apply: All entries, whether posted, lodged in person or completed online (if applicable) must be in the Society s possession at its Administration Office by 5.00 pm (CST) on Friday 30 June When sending entry forms and fees by post, the onus is on the exhibitor to ensure adequate delivery time. Entry forms by facsimile or will not be accepted. A late entry option is available under the following conditions: Late entries may only be submitted online and will be accepted for 7 days after the official closing date (by 5.00 pm CST) An additional fee equivalent to three times the standard entry fee is paid. Absolutely no exception to the above conditions will be made to any exhibitor under any circumstance. ACKNOWLEDGEMENT OF ENTRIES Entries submitted online will be acknowledged via . For postal entries, if you require formal acknowledgement that your entry has been received please include a stamped, selfaddressed envelope with your entry form. Please note: by ticking the box to suppress your details, your name will appear in the Catalogue (if applicable) but your address will not.
4 2 ROYAL ADELAIDE ART PRIZE SPECIAL REGULATIONS Exhibitors are reminded that the Society s General Regulations apply to all sections of the Show and that the Special Regulations hereunder set out, which apply to this section only, are merely supplementary to these General Regulations. A copy of the General Regulations may be obtained from: a) the Society s website at au or b) upon request from the Society s Administration Office. SUBMISSION OF ENTRIES Exhibitors are limited to a maximum of four entries overall. Please print full name, address, telephone number, class number, exhibit number and name of exhibit on back of each piece of work. TRANSFERS Exhibitors are requested to ensure paintings are entered in the correct class. Incorrect entries will not be transferred and will automatically be rejected. EXHIBIT CARDS A List of Entries will be posted to all exhibitors with their exhibit cards prior to the delivery date listing the classes entered by them and exhibit numbers. This form must be produced on delivery and collection of all exhibits. WITHDRAWALS All withdrawals must be made in writing and can be sent via to entries@ adelaideshowground.com.au or faxed to (08) ed withdrawals must include Withdrawal in the subject line and the section (eg Art Prize section, exhibitor name, class number/s, exhibit number (if known) and exhibit name (if applicable). Withdrawals must be made at least 1 day prior to delivery or art work. AWARDS RA&HS sashes will be awarded to all major award winners. Ribbons will be awarded for 1st, 2nd and 3rd place; Classes with exhibits, 1 Commended Ribbon and over 16 exhibits, 2 Commended Ribbons. PAYMENT OF PRIZE MONEY It is the preference of the RA&HS that any prize money won during the Royal Adelaide Show is paid by Electronic Funds Transfer (EFT). The Exhibitor should provide the BSB, Account Number and Account Name on the space provided on the entry form. Amounts of $15 or under will only be paid by this method. Exhibitors not requesting payment by EFT for amounts greater than $15 will be paid by cheque. PLEASE NOTE THAT CHEQUES WILL BE MADE OUT IN THE NAME OF THE EXHIBITOR. IF YOU DO NOT HAVE AN ACCOUNT IN THE NAME YOU HAVE ENTERED UNDER, YOU WILL NEED TO BE PAID VIA EFT. PRIZE MONEY WILL BE PAID AT THE END OF OCTOBER. To assist the Society, would you please ensure any cheques issued are deposited promptly into a bank account. Replacement prize cheques will be issued up to 11 December in the year the prize was awarded, however a fee of $10 may be charged. If the cheque to be replaced is not returned, then an additional fee will be charged to cover the cost of cancellation. Any concerns regarding prize money must be raised with the Society by 11 December of the current year. It is a term and condition of the payment of any prize by RA&HS that any cheque issued and provided in payment of a prize must be presented by the payee for payment within fifteen (15) months of the date upon which the cheque is issued otherwise the cheque shall become stale and of no value and the prize shall be deemed to have been forfeited by the payee and RA&HS shall no longer be liable to pay the prize. Any trophy, prize or prize money not claimed by 11 December of the current year. shall be deemed forfeited by the exhibitor and the RA&HS shall no longer be liable to pay or provide the prize.
5 ROYAL ADELAIDE ART PRIZE 3 PRIZE MONEY AND GST Prize money as stated in the Prize Schedule does not include GST. The prize money which we pay to successful exhibitors depends on information provided to us. If you confirm that you are GST registered and provide your Australian Business Number (ABN), we will pay the appropriate prize money plus 10% GST. We will provide you with a Recipient Created Tax Invoice which you will need to submit to the Australian Taxation Office. If you confirm you are registered for GST, in entering the competition, you acknowledge your agreement to the following: You will not issue a tax invoice to the RA&HS in respect to prize money received; You will notify the RA&HS if you cease to be registered for GST. If you provide your Australian Business Number but are not registered for GST, we will pay the prize money as detailed in the Prize Schedule without reference to the GST. If you confirm you are entering as part of a private recreational pursuit or hobby, we will pay the prize money as detailed in the Prize Schedule without reference to GST. IMPORTANT It is important that you either: Confirm you are entering as part of a private recreational pursuit or hobby, or Confirm you are entering as a GST registered business and supply your ABN Failure to do either of the above will cause the RA&HS to withhold 48.5% of your prize money in accordance with Australian tax legislation. The Society makes every endeavour to ensure all prizes listed are accurate at the time of printing. Should a prize (cash, voucher, product, trophy) be withdrawn by a sponsor subsequent to printing, the Society will pay prize money as stated above. It is the responsibility of the prize winner to follow-up with the Society any sponsored prize (cash, voucher, product, trophy) they believe they are entitled to prior to 11 December in the year of the prize being awarded. The Society will not follow-up prize sponsors after this date or review any prizes that may have been incorrectly awarded. EXHIBITS FOR SALE All hung exhibits will be for sale. Exhibitors may request any sale money for art work sold during the Royal Adelaide Show be paid by EFT (Electronic Funds Transfer). Exhibitors not requesting payment by EFT will be paid by cheque at the end of October. SOCIETY S LIABILITY The Society shall be under no liability for any loss or damage suffered by an Exhibitor in respect of any property exhibited, whether caused by or attributable to the negligence of the Society or any of its servants or agents or otherwise howsoever. INSURANCE In view of the foregoing, Exhibitors are advised to insure their own exhibits against theft, fire, loss and damage for the period they are on the Showground. The RA&HS is not a tax consultant and therefore assumes no liability for actions taken as a result of these guidelines. In any instances where an entrant or sponsor is uncertain of the tax implications of their involvement, they should consult their own accountant or tax advisor.
6 4 ROYAL ADELAIDE ART PRIZE GENERAL CONDITIONS 1. All work must be the bona fide work of the Exhibitor. All exhibits must be the original work of the person and must have been completed within two years prior to September of the current year. Copies of photographs from periodicals, magazines, Art Instruction Books or other Artist s work, prints and paper tole will not be accepted. 2. All paintings and drawings must have secure wire across the back for hanging purposes. (We suggest that artists do not use kit frames. If they do it is recommended that hard board backing be used). Paintings that are of excessive weight will not be accepted. Plastic Frames will not be accepted. Poorly framed work will not be hung. 3. All exhibitors must have D rings attached to the back of their frames. D rings must be placed at a maximum of 30 cm from the top of the frame. (See below diagram) 4. Artwork must not exceed an area of 100 cm x 100 cm (3 ft 3 x 3 ft 3 ) including the frame and weighing no more that 5 kgs. 5. Diptych and triptych paintings must not be priced individually and must be entered in the same class. A separate entry fee must be paid for each piece. 6. The Society will provide exhibit cards which will be forwarded prior to the delivery of your art work. Exhibit Cards must be securely attached to the bottom right hand corner of the frame when looking at front of painting. 7. The Society may allow reproduction images of selected works to the media during and prior to the period of the Exhibition. 8. The Society will encourage sales of work while the Exhibition is in progress. A commission of 25% of price plus GST will be charged by the Society for works sold during the Exhibition. 9. The exhibition is open to artists 16 years and over as at 1 January of the current year. 10. Works that have been entered in the Royal Adelaide Show exhibition previously, are not eligible. 10. 10 COMPETITIVE EXHIBITOR ROYAL ADELAIDE SHOW Conditions of Entry HAZARD REPORTING Competitors must notify the Area/Pavilion Supervisor or the Venue Management Office immediately of any hazards detected. Hazards are any situation which has the potential to cause: 1. Injury, illness or death to people or animals either immediately or in the future 2. Damage or destruction to property INCIDENT REPORTING Competitors must notify the Area/Pavilion Supervisor or the Venue Management Office immediately an incident occurs which has resulted in: 1. The injury, illness or death of any person or animal 2. The damage, destruction or loss of property 3. A near miss incident that could have resulted in the consequences listed in 1 and 2 WASTE DISPOSAL All waste including liquids must be disposed of responsibly and placed in the appropriate bin or receptacle. Storm drains must not be used for the disposal of any waste. HAZARD MINIMISATION All areas must be kept in a clean and tidy order with clearly defined and available access and exit routes at all times. Build-up of combustible waste must be avoided. Care must be taken to minimise trip hazards and obstacles that people may walk into. Avoid laying unprotected cables or pipes on or above paths, walkways or roads. HAZARDOUS MATERIALS The RA&HS are to be advised of all hazardous materials that are brought onto the Showground. Appropriate warning signs and Safety Data Sheets (SDS) will need to be provided before allowing these materials on site. SDS are to be available onsite and provided immediately upon request by a RA&HS Representative. MEDIA COMMENTS Any public comment on emergencies, incidents or other venue matters should only come from the RA&HS. The key media spokesperson for the RA&HS is the Marketing Manager. DUTY OF CARE It is important to ensure your own safety and that of all other site personnel, visitors and general public at the Adelaide Showground. All competitors have a Duty of Care to avoid exposing themselves or other people to situations which could lead to injury. This Duty of Care extends to the prevention of damage to property. LIABILITY AND INDEMNITY 1. Release Entry to and remaining on the Showground is entirely at the risk of the Exhibitor and to the maximum extent permitted by law, the Exhibitor releases the Society (which term includes in this clause the Society s officers, employees, members and agents), from all claims and demands of every kind resulting from any accident, damage or injury occurring at the Showground, and without limitation, the Exhibitor acknowledges: a) the Society has no responsibility or liability for any loss, damage or injury to or caused by any Exhibit; b) the Society has no responsibility or liability for any loss, damage or injury to or caused by any Exhibitor, his or her family, invitees and Agents; c) the Society has no responsibility or liability for any loss, damage or injury to a Motor Vehicle or any of its contents whilst it is located on the Showground; and d) without limiting Regulations 1 (a) and 1 (b) above, the Society has no responsibility or liability for any loss, damage or injury resulting from the sale, treatment, failure to treat, destruction, disposal or other dealing with any Exhibit, or for loss, damage or injury to any personal belongings, equipment or property brought onto the Showground. 2. Indemnity To the maximum extent permitted by law, the Exhibitor must indemnify and keep indemnified the Society and its officers, employees, members and agents from and against all actions, claims, demands, losses, damages, costs, expenses and liabilities including without limitation, consequential loss and loss of profits for which the Society is or may be or become liable in respect of or arising from:
11 COMPETITIVE EXHIBITOR ROYAL ADELAIDE SHOW Conditions of Entry a) loss, damage or injury to any person in connection with the Exhibit or the relevant Event; b) without limiting Regulation 2(a), loss, damage or injury to any other Exhibit or Exhibitor, his or her family, invitees, Agents, or to the property of the Society, or its members, or to the general public, caused or contributed to or by any act or omission of an Exhibit of the Exhibitor or by the Exhibitor, his or her family, invitees or Agents; and c) without limiting Regulation 2(a), loss, damage or injury to the Exhibit, or the Exhibitor, his or her family, invitees, or Agents caused or contributed by an act or omission of an Exhibit of the Exhibitor or by the transportation, feeding or housing of an Exhibit of the Exhibitor. 3. Removal from Showground Without prejudice to any other provision in these Regulations, where the Society, its officers, employees, members or agents removes an Exhibit, or causes an Exhibit to be removed from the Showground, the Exhibit is removed or caused to be removed entirely at the risk of the Exhibitor. The person or persons removing the Exhibit will be deemed to be the agent of the Exhibitor, and his or her acts and omissions will be deemed to be the acts and omissions of the Exhibitor. 4. Insurance The Society will arrange Animal Exhibitors Public Liability insurance cover for all Exhibitors of Exhibits being animals. The Exhibitor is bound by the terms and conditions of this insurance and by Statutory Duties as defined under the Insurance Contracts Act (1984). Details of the Animal Exhibitors Public Liability insurance are set out in the Relevant Schedule. The Society does not insure first party loss, damage or injury to Exhibits, and Exhibitors should consider purchasing insurance if required. 5. Personal effects The Society has no responsibility or liability for any loss or damage caused to personal belongings, equipment or property which is brought onto the Showground by an Exhibitor, his or her family, invitees or Agents. EMERGENCY INFORMATION Emergency information and Emergency Assembly Points for the various animal pavilions and stables will be included with Exhibitor Entry Detail Returns and Notice to Exhibitor mail outs. Competitors should be familiar with these plans. FIRST AID During the Royal Adelaide Show, St John provides First Aid Services but it is suggested that competitors have a basic First Aid kit for minor injuries. St John is not in attendance after public hours. For emergency contact details, check Notice Boards, theshow.com. au website or dial 000. RA&HS EMERGENCY FACILITIES Firefighting and other emergency equipment must not be removed or used for any other purpose. Missing or unserviceable equipment should be reported to the Venue Management Office immediately. SMOKING Smoking is only permitted in designated locations. The Royal Adelaide Show is a smoke free event. TRAFFIC CONTROL The RA&HS Traffic Control Policy imposes speed restrictions within the Showground. For the duration of the Royal Adelaide Show the speed limit is 10 kph on the grounds and 8 kph inside buildings The use of vehicles inside the Showground is closely managed during the Royal Adelaide Show. Conditions of entry will be provided with the issue of Vehicle Entry Permits. ELECTRICAL EQUIPMENT 1. All extension cords and electrical appliances must be tested and tagged in accordance with current legislation as per Australian Standards Power boards with overload protection can only be used at the discretion of the Venue Manager. 3. The use of double adaptors is strictly prohibited. 4. Appliances and power cables must not be used or laid through any area that may become wet. 5. Power cables must not be laid across walkways, paths, roads or any area where damage could occur to the cable. 6. Bar (resistance) heaters are strictly prohibited. 7. Light sockets must not be used for any other purpose 8. In external areas only extension leads that are Heavy Duty Rated must be used.
