1 YWCA Residence Terms and Conditions 2017/2018 Applications Applications for accommodation must be received on the official accommodation Application Form. The accommodation is allocated on a first-come, first-served basis. However, YWCA Baggot Street Residence reserves the right to refuse accommodation. All enquiries should be made via info@ywcadublin.ie at the residence. YWCA Baggot Street Residence reserves the right to cancel accommodation bookings for non-payment of fees. All applications received are accepted subject to availability of dates and booking confirmation. Booking Fee A 20 non-refundable booking fee applies to all booking applications. Security Deposit 200 security deposit is required for each booking. This deposit ensures that your booking is confirmed with us. You will receive a booking confirmation once the deposit has reached our account. This deposit will be returned, less the cost of any damages and/or other relevant charges, as set out more fully below (together with any exceptions). The deposit will be returned either one day prior to departure or after departure. If the latter, we need bank details or postal address when posting cheque. Any costs incurred from bank charges are the Resident s responsibility. Rent Rent is charged at 245 euro (twin room) or 280 euro (single room) per week per person. Payment for the full duration of your stay is required 2 weeks in advance of your arrival. If you are booking less than 2 weeks before your intended arrival, payment will be required as soon as you have received by your booking confirmation and note of the total rent due. Late arrival fee A late arrival fee of 60 per person applies for arrivals between 10pm and 8am. For academic year students only Option 1: Full semester payment in advance. Rent for 1 st semester (Sept Dec) due by 14 th August; rent for 2 nd semester (Jan June) due by 14 th December. A discount of 100 euro is applicable for this option. Option 2: Payments by instalments, with a maximum number of 3 instalments per semester. The first instalment must be paid 4 weeks in advance of arrival (or, if you are booking less than 4 weeks in advance, as soon as you have received your booking confirmation). Request for this option must be submitted in writing to the Residence Manager. Dates of your stay: The dates of your stay must be confirmed when booking for invoicing purposes. 2 Accommodation Extension/Return If you wish to extend your stay with us please check first for availability. Accommodation extensions cannot always be guaranteed and therefore we recommend that you speak with the Residence Manager as early as possible. The booking fee of 20 applies to each application extension. Booking extensions or return bookings are regarded as separate bookings for administrative purposes and require a fresh application form to be submitted. Should there be any outstanding charges on a resident s account, these must be cleared in full before an extension (or return) can be approved. If no charges remain outstanding, the original security deposit can be carried forward. (For further details on extensions, see below). How to make payment: International Bank Transfer Please ensure that the Resident s name appears on the bank transfer payment details. IBAN bank transfers within the EU do not incur bank charges. If you are making a bank transfer outside of the EU then please add EUR to the payment to cover the bank charges. All foreign exchange banking and 3 rd party charges resulting will be the responsibility of the resident. If payment is made by Bank transfer, all foreign exchange banking and 3 rd party charges (normally % of fees) resulting will be the responsibility of the resident and not YWCA Baggot Street Residence. Each application must be approved. Any submitted application and booking deposit is an intention to reside until it has been reviewed and approved. The applicant will receive an confirmation if the application has been successful. Utilities Electricity, heating, water, bin charge are included in the rent. Internet There are two internet options of the internet at YWCA Baggot Street Residence. There is FREE Wi-Fi available throughout the Residence. 3 A premium internet service with fast download/upload speed is available for 5/week/person. If the resident wishes to avail of the premium internet service, a Premium Internet Licence form needs to be signed by the resident, and the charge will be deducted from the deposit or will have to be paid in full before departure. If the resident is staying for the full academic year, the charges need to be paid by the end of each semester. For more information please see internet usage policy below. Information is available and can be requested by the residents at any stage regarding up-to-date utility usage. Internet usage You must abide by our internet usage policy; By accessing the internet you agree that you will not view, download, host, share or intentionally receive material from web pages that (1) is illegal; racist; sexually explicit, pornographic or immoral; or (2) infringes copyright or any other intellectual property rights. Any use of the internet for illegal purposes (eg. downloading movies/music illegally) is not allowed and will result in internet rights being removed. Internet data is being retained by our system provider. The YWCA Residence has a safety firewall system, which monitors the internet usage including individual user downloads. Cancellation and refund policy Non-refundable security deposit Please note that, once a booking is confirmed, the security deposit paid is non-refundable in cases of cancellation of all or part of the original booking. This applies should a resident cancel prior to checking in or to making an advance rent payment. Cancellation and rent refund policy Notice of cancellation must be given in writing to the Manager of the YWCA Baggot Street Residence (info@ywcadublin.ie) Cancellations received 14 days or more prior to arrival: Full rent will be refunded. Cancellations received days prior to arrival: 100 euro will be retained from the rent payment. Cancellations received 10 4 days prior to arrival: A minimum of weekly rent and up to 30% of rent will be retained. Cancellations received 1 3 days prior to arrival: A minimum of weekly rent and up to 80% of rent will be retained. Cancellations received on day of arrival / after arrival date: A minimum of weekly rent and up to 100% of rent will be retained. In all cases listed above, the security deposit will (also) be retained. The precise percentage of the rent retained in any individual case will be at the discretion of the Residence Manager. Any resident who takes up an offer of residence and subsequently leaves in advance of their agreed date of departure will not be refunded the deposit. The balance of their rent minus any fees for early departure/part cancellation of their original booking (similar to fees for cancellation prior to arrival as set out above) will be refunded as soon as the room is re-let to another resident. However, Baggot Street Residence cannot guarantee that rooms vacated mid-term will be filled. YWCA Baggot Street Residence T&C 64 Lower Baggot Street, Dublin DO2 XC62 April 2017 Page 3
4 Exceptions 1: Visa Refusals Students from outside the European Area may be required to obtain a visa to enter Ireland. At least 6 weeks are needed to process visa applications. Residents who fail to obtain their visas will be refunded all fees paid, less a processing fee of 100 euro. Written proof of the visa refusal must be supplied to the Residence. 2: Illness and Emergency Residents must give advance notice to Baggot Street Residence of any special dietary requirements, medical conditions or disorders. Baggot Street Residence reserves the right to terminate services where (in the opinion of the Management of the Residence) the continued provision of that service would be unsafe or unsuitable. All Residents should have their own appropriate Accident, Medical and Personal Insurance to cover living costs, medical bills & repatriation expenses. These costs are the sole responsibility of the resident. Accommodation fees refunds are at the discretion of the Directors of the Residence and may not always be possible. Rights Baggot Street Residence Baggot Street Residence has the right to access the bedrooms on reasonable notice to carry out inspections, maintenance and repairs. Baggot Street Residence will maintain the premises to a reasonable standard and carry out repairs as necessary. However, if any items in the said bedrooms have been physically damaged through misuse or abuse, the resident will be responsible for the costs of repair or replacement. Baggot Street Residence has the right to transfer resident(s) to different room(s) during their stay for any operational or disciplinary reasons. Please note that this is not a normal occurrence and will only be done if the Management feel it is absolutely necessary. Any resident who is in a twin room must be aware that Baggot Street Residence can refill a space should it become vacated. Baggot Street Residence reserves the right to vary the services provided under this Agreement at Baggot Street Residence discretion. Baggot Street Residence operates a normal usage policy on utilities, including internet usage, and if any resident(s) exceed this fair usage, a utility bill will be issued to the resident(s) for the excess. Any non-payments may result in further fines or review of the resident s licence. Baggot Street Residence reserves the right to terminate the licence/rent agreement on reasonable notice in circumstances where the resident is in breach of the Terms and Conditions. Baggot Street Residence reserves the right to terminate the licence/rent agreement without notice in any emergency situation which requires the bedroom to be cleared of resident(s). Insurance cover for personal belongings is not covered in the rental agreement. Bedrooms Your room may only be used for your own personal use. All residents must keep their own bedrooms and bathrooms in a clean and tidy condition. Spot checks will be carried out and failure to keep your room clean may result in you being asked to vacate the premises. Cleaning equipment is provided for this purpose. The cleaning equipment is located in the cupboards on the half landings in the main house. In the Annexe they can be found in the cupboard at the bottom of the stairs in the basement. Please return all this once you are finished. One set of bed linen is also provided. Residents are required to wash it regularly and make up their own beds. 5 in bedrooms. Residents are asked to refrain from placing posters, pictures, notices etc., on bedroom walls. Room inspections are carried out from time to time. You must notify staff of any repairs and/or maintenance work required for your room, and you must not attempt to carry out any repairs or maintenance works yourself. It is imperative that you keep your room allocation. For insurance purposes and safety reasons we ask you not to change your room allocation or have other resident(s) or visitor(s) stay in your room after 10pm. In case of emergency, we will hold you fully responsible if accident arises on account of your breach of our Terms and Conditions. If you are unhappy with your room allocation, please speak to the Residence Manager and we will endeavour to find the most suitable option for you. Residents are responsible for the upkeep of their bedrooms and must ensure that it is left in the condition they receive the bedroom. If bedrooms are not left in a clean and tidy condition and require additional cleaning, the charge for this cleaning will be deducted from the security deposit. Inspections may be carried out with notice by Management during the term. Discipline Baggot Street Residence reserves the right to terminate accommodation when the following occur: Non-payment of rent, non-adherence to Health and Safety procedures, anti-social behaviour, damage to property, bullying or violence toward others, abuse of drugs/alcohol, reported shoplifting offence or any other infringement of Irish law. Baggot Street Residence will not accept responsibility for any additional expenses incurred by the resident in relation to the termination of accommodation. Baggot Street Residence will not refund remaining rent or safety deposit where a resident is asked to leave. Fire Safety It is a criminal offence to tamper with or remove any fire safety equipment and any person or persons found in breach of this will be automatically fined 200. If we are unable to identify person or persons involved, this fine will be issued to the Residents of the entire building. If a resident notices anyone tampering with fire safety equipment, please let the Management know immediately. Please ensure you familiarize yourself with all the emergency exits and fire regulations. Use of candles, incense are prohibited, and such items will be removed if found in bedrooms. If the fire alarm goes off, please treat this as real, and evacuate the building immediately, following the fire instructions received with welcome information. There is an additional form to be signed upon arrival which states that the resident has been shown and is aware of the exit routes in the event of a fire and that should they fail to respond in a timely manner to the fire alarm whether during a drill or real emergency a fine of 100 will be applied. General Safety YWCA Residence has a NO SMOKING policy in the premises this includes the use of electric cigarettes (except in the designated smoking area in the garden walkway). This policy prohibits the smoking of tobacco or any other substances in the Residence. All resident(s) are responsible for enforcing this and can therefore report anyone they see in breach of this prohibition to the Residence Manager. This rule also applies to visitors or guests and will be enforced. Alcohol and/ or drugs are strictly not permitted on the premises. Please do not let someone in you do not know. 6 On leaving your bedroom, please ensure all doors and windows are securely closed and locked. On entering and leaving through the main doors, it is each resident s responsibility to ensure doors close securely behind them and do not allow any non-residents access to the building. Not to act in a way which will or may result in the insurance on the property or building of which the property is a part being void or voidable, or in the premium for it being increased, nor to allow anyone else to do so. Not to use the property or any part of it nor to allow anyone else to do so for activities which are dangerous, offensive, noxious, noisome, illegal or which are or may become a nuisance or annoyance to Baggot Street Residence or the owner or occupier of any neighbouring property. To keep the common areas, passages and staircases leading to the property free from obstruction. Not to hang or allow to be hung from any window any clothes or other articles for drying out clothes, or any other purpose or expose same therein and not to exhibit any signboard, poster or exhibit advertising matter or any flag or banner outside the property or in the windows or doors signs thereof. To make use of rubbish bins and not to place any dirt or refuse in or about the premises but only in said bags in the designated bin area. Residents are legally and financially responsible for any damage or injury they may cause to buildings, furniture, fittings, individuals property, etc. For insurance and safety reasons, residents must not bring visitors onto the premises, unless by arrangement with the duty manager. All visitors are required to vacate the premises by 10 p.m. Key and Fobs Keys and fobs are supplied for bedroom and common door locks. Fobs are for the main doors. Loss of, or damage to these keys and/or fobs will incur a replacement charge of 20 each. You should not give your key and/or fob to anyone else, and you should report lost or stolen keys and/or fobs immediately. Keys and fobs must be returned upon departure. Adaptors, cables YWCA Baggot Street Residence does not accept any responsibility for damages, faults etc. caused by using adapters, cables. Using adapters is a fire hazard. It is imperative that every resident uses cables manufactured with 3 pin plugs. This is the resident's own responsibility. The resident will be charged for causing any damages up to and including of damage caused by leaving unattended electrical appliances plugged in. If an electrician needs to be called out the 185 call-out charge will be deducted from the security deposit. If the damage total exceeds the security deposit total, the resident will be required to pay for the remaining amount. This is non-negotiable. General Please note that not all preferences are guaranteed, on the type of room and room mates you will share with. We will, however, endeavour to provide you with your accommodation preferences. Any resident that is in a twin room must be aware that YWCA Baggot Street Residence can refill a space should it become vacated. Residents are required to observe the No Noise policy in operation in the house from 10:30 pm 7 a.m. There is no curfew, you may come and go as you wish. Catering Breakfast and evening meals are provided by the Q Café Company Ltd. Breakfast is of an International style and includes Porridge, Cereals, Fruits, Juices, Granola/ Muesli and Natural Yoghurt, Tea/Coffee YWCA Baggot Street Residence T&C 64 Lower Baggot Street, Dublin DO2 XC62 April 2017 Page 6
7 and Toast. Dinner is served between 6-7pm every day and a sample menu is available on request. Free tea and coffee is available in the Dining room. The Dining room remains open 24 hours a day and there are communal storage areas are provided for residents who wish to store lunch or snacks. Dinners cannot be served after 7 pm in keeping with HACCP regulations. Laundry Laundry facilities are available on a coin operated system. All detergents and softeners are supplied. Tokens can be purchased from the office during office hours. The laundry is opened from 8.30am 10pm. The door is locked during the night. Bed linen One set of bed linen will be provided on arrival. You are then responsible for making your own bed and washing sheets on a weekly basis. Bathmats Bathroom mats are washed every Monday. Please leave your mat outside your bedroom door by lunch time. If they are not left outside your door one of the staff will enter your room to collect bathmat. Disclaimer Baggot Street Residence accepts no responsibility for loss or damage to residents property or for any injury sustained by a resident due to that resident s negligence, while on the premises. Please Note: The Management of the YWCA Baggot Street Residence reserves the right to refuse accommodation on application or to terminate occupancy of any person found to be in breach of the Terms and Conditions as set out in this document. Signing the Accommodation Application Form indicates acceptance of these Terms and Conditions.
