1 Welcome to The Roundhouse The Roundhouse, Derby, is a beautiful and magnificent series of truly iconic buildings that have a world-renowned status in history. As a wedding venue, The Roundhouse offers a spectacular backdrop, with an atmosphere as unique as the venue itself. The Roundhouse was built in 1839 and is the world's oldest surviving railway turning shed. Following a 48 million renovation, it has been returned to its former glory with original features beautifully restored

Your dedicated wedding planner will be with you all the way and will look after your every need. Any special requirements you have, no matter how large or small, grand or discreet, we will do our very best to help you in every way. Our time and experience is yours, and is included in the cost of hiring The Roundhouse. Arrival Guests will arrive down the original railway tracks, now embedded in our stunning plaza area. There is ample free parking onsite and the wedding car or carriage will have exclusive access direct to the entrance area. Drinks Reception & Photographs You are welcome to use the Roundhouse grounds for photographs while your guests enjoy reception drinks and canapés in either the Carriage Shop Theatre or Library or outside if the sun is shining. Wedding Breakfast You and your guests will be invited to The Roundhouse itself to dine in grandeur and history. A selection of seasonal menus and hand-picked wines is available for you to create the perfect menu. All our catering is done in-house by our team of experienced chefs. Evening Buffet & Entertainment Celebrations can continue into the evening, with a buffet or BBQ option including locally sourced meats, cheeses and chutneys, followed by little desserts and muffins. After Dark Menu Perfect for refuelling guests, our after dark menu is served until 11pm. Carriages at midnight. Build your perfect day We have tailored Wedding Packages to make life a little easier. 12 Terms and Conditions of Booking 1.1 All bookings of function rooms and facilities are accepted by Derby College ( The Roundhouse ) subject to the following terms and conditions and unless otherwise agreed by The Roundhouse in writing they override any terms stipulated by the person making the booking ( the Client ) and any previous agreement or understanding. 2. PROVISIONAL BOOKINGS 2.1 A booking is provisional until the booking form has been signed by the Client and countersigned on behalf of The Roundhouse and the Client has paid the deposit. 2.2 The Roundhouse may refuse to accept any booking without giving a reason. 3. PRICES 3.1 The Roundhouse reserves the right to review its annual prices from time to time and to alter prices and rates without notice. In the event that a price change is applied to a confirmed booking the Client shall not be entitled to terminate the contract provided such increase is in line with inflation and does not exceed 10% of the price specified in the booking form. 4. DEPOSITS & PAYMENTS 4.1 The completed and signed booking form should be accompanied by a non-returnable deposit of 30% of the facility fee shown on the booking form. The balance of the deposit is payable on confirmation of the booking. Full payment for the Event, is required 14 days prior to the Event. 4.2 Invoices for any extras and additional guests will normally be issued within 7 days of the Event and must be settled in full by the Client within 14 days of the issue of the invoice. The Client is responsible for the checking and settlement of all accounts and any queries on an invoice must be raised with The Roundhouse within 7 days of the date of the invoice.

13 4.3 The anticipated charges shown on the booking form include normal security costs. Additional security staff, either requested by the Client or deemed necessary by The Roundhouse will be at the expense of the Client. 4.4 VAT is not included in all payments due under this Agreement unless specified otherwise. 4.5 All payments must be made in sterling by BACS, cheque, debit or credit card. 5. NUMBERS 5.1 The Client must inform The Roundhouse in writing no later than 14 days before the Event of the final number of guests attending the Event. Any subsequent increase in the number of guests must be notified to The Roundhouse as soon as possible but The Roundhouse shall be under no obligation to accommodate such changes. 6. COMPLIANCE & REGULATIONS/ENTERTAINMENT & ATTENDANCE AT EVENTS 6.1 NO SMOKING is permitted in any of buildings at The Roundhouse. The Client must ensure that all those attending the Event know of and comply with this restriction. 6.2 NO CANDLES, INDOOR FIREWORKS, TABLE CONFETTI OR CONFETTI CANNONS are permitted in any of the buildings at The Roundhouse. The Client must ensure that all those attending the Event know of and comply with this restriction. 6.3 The Client may not (and must ensure that his agents and guests and others attending the Event do not) without the written consent of The Roundhouse: employ outside contractors use The Roundhouse name or its logo or its telephone number in any advertising or publicity affix signs, displays and posters to walls move furniture, artwork or other items alter, move or interfere in any way with the lighting/heating/power or other electrical fittings or appliances install or use additional lighting/heating/power or other electrical fittings or appliances.

14 6.4 Any entertainment at the Event must be approved by The Roundhouse in advance and, if approval is given subject to conditions, the conditions must be complied with. 6.5 Events must begin and end at the agreed times. The finish time stated on the booking form is the time by which all guests must have left the premises. Additional unscheduled time will be charged pro rata at a rate of VAT per hour or part of an hour. 6.6 The Client must make sure that any children attending the Event are properly supervised at all times. 6.7 The Client undertakes to ensure that his agents, guests, contractors and others attending the Event comply with all the conditions of licenses, emergency procedures and legal notices and requirements. 6.8 The Client, his guests, contractors and others preparing for or attending the Event must comply with instructions from The Roundhouse and, while the Event is in progress, any member of The Roundhouse security staff. The Roundhouse reserves the right to remove any persons from the premises if senior staff from The Roundhouse or The Roundhouse Security Team regard their removal as appropriate for any reason. 6.9 The Client is responsible for all damage caused to the building, its contents, furnishings and fittings and any equipment belonging to The Roundhouse caused by the Client, his guests, contractors or suppliers or others attending the Event and shall on demand pay the cost of additional cleaning and of making good such damage or where any property of The Roundhouse is damaged beyond repair the cost of replacing the property concerned. 7. OTHER CONTRACTORS 7.1 If the Client wishes to employ the services of any outside contractor and consent is given by The Roundhouse as required by condition 6.3.1, the Client hereby undertakes to indemnify The Roundhouse against any claims made against The Roundhouse resulting from any act or default by the outside contractor or caused by any equipment supplied by the outside contractor. This indemnity extends to liability under the Health and Safety at Work Act Any outside contractor employed by the Client must report to the Conference & Events Manager before commencing any work. In addition to complying with the requirements of Health & Safety at Work, Food Safety, Fire Safety, Licensing or other relevant legislation outside contractors must also comply with any instruction given by the Conference & Events Manager in connection with any arrangements made to discharge The Roundhouses duties under the said legislation. Outside contractors must also comply with all relevant requirements of The Roundhouse s Contractors Guidelines, a copy of which will

15 be issued to the contractor prior to the commencement of any work. The Roundhouse reserves the right to refuse access to any contractor. 8. LIABILITY 8.1 The Roundhouse, its employees and agents shall not be liable for any damage loss delay or expense incurred by the Client, his employees, agents, contractors or guests or any other person attending the Event save the death of or personal injury to any person resulting from the negligence of The Roundhouse, its employees or agents. 8.2 The Client will indemnify The Roundhouse against: all costs and damages caused by the Client or any guests or other persons attending the Event whether caused to any part of the building or any of the fixtures, fittings and contents of it; all losses, damages and expenses suffered by The Roundhouse arising from the behaviour or conduct of the Client, his guests, employees, contractors, agents or other persons preparing for or attending the Event. 8.3 The Client must insure with a reputable insurance company against third party liability in the sum of at least two million pounds ( 2,000,000) in respect of the Event and produce evidence of such insurance to The Roundhouse on demand. If the Client is unable to provide such cover, The Roundhouse will provide cover at a cost of 25 which will be payable by the Client. 9. CANCELLATION 9.1 If the Client wishes to cancel the booking he must notify The Roundhouse in writing and the cancellation takes effect only from the date such notification is received by The Roundhouse in the event of the booking being cancelled the deposit will be retained by The Roundhouse and if the Event is cancelled less than 14 days before the Event payment of the total amount payable for the Event will be required. 9.2 The Roundhouse may cancel the booking by notice in writing to the Client if: the Client is 14 days in arrears with any payment hereunder the Client is in breach of any of the these terms and conditions

16 9.2.3 the Client has entered into receivership administration or liquidation (except for the purposes of amalgamation or reconstruction) - or has committed an act of bankruptcy or has become bankrupt or insolvent if the booking is cancelled in accordance with these provisions The Roundhouse may retain any deposit or other advance payments made by way of a cancellation charge. 9.3 The Roundhouse may cancel this Agreement at any time by notice to the Client if: the Roundhouse believes that the Event will or is likely to be of an undesirable nature or one that may damage the reputation of The Roundhouse or Derby College. 9.4 The Roundhouse or part of it is closed due to fire, flooding, repair, remedial decoration, dispute, and alteration or by order of a public authority or any reason beyond The Roundhouse s control in which event it will refund to the Client any advance payment but will otherwise be under no liability to the Client. 10. VARIATION 10.1 No variation of this Agreement is binding on The Roundhouse unless in writing signed by both parties If due to circumstances beyond the control of The Roundhouse it is necessary to make any changes in the arrangements relating to the Event, The Roundhouse shall notify the Client as soon as possible. The Roundhouse reserves the right to make such changes but will endeavour to keep them at a minimum. In the event that The Roundhouse makes a material change to the arrangements for the Event, the Client will have the right to terminate this agreement by written notice to The Roundhouse within five days of the Client being notified of the proposed change, in which event The Roundhouse will refund to the Client all advance payments made prior to termination. 11. FORCE MAJEURE The Roundhouse does not accept any liability for the cancellation or delay of an Event or any failure to provide any of the agreed services which is caused by an occurrence or circumstance beyond the control of The Roundhouse including (but not limited to) industrial disputes, terrorist activity, natural disaster, fire, fire evacuation alarm, decrees of Government, or disruption of utility services and the foregoing shall not give rise to any claim for compensation or damages.

17 12. LAW This agreement shall be subject to English Law and the parties agree to submit to the exclusive jurisdiction of the English Court.
