2 The following handbook is a translation of the German version exhibitor s manual for the event DOAG 2008 Confence + Exhibition. The content of this translation is not binding. The contract is subject to the German right and the German version of this exhibitor s manual is binding. This exhibitor s manual is the basis for the co-operation and contract between the exhibitor, DOAG and DOAG Dienstleistungen GmbH. At least the exhibition basic price, the minimum exhibition space as well as the exhibitor standpass/conference pass have to be booked. BASIC PRICE The basic price includes the marketing package, e.g. the publication of your companies profile in the exhibitor s catalogue and on the DOAG website, plus a link to the exhibitors website. The basic price (plus the booked stand space) has to be booked by each participating company. Price 1, EUR EXHIBITION SPACE Minimum exhibition space will be 6 sq.m. (= inches 2 ). Other dimensions to be negotiated with DOAG. For each 3 sq.m. booked stand space 25 vouchers for entrance to the exhibition will be included. Price early bird EUR/sq.m. regular price EUR/sq.m. EXHIBITOR STANDPASS Specification: the exhibitor standpass enables the entrance to exhibition and to all keynotes, the participation at the evening event as well as the entrance to all catering areas. Entrance to speaking slots is not included. Price EUR per person ENTRANCE CARD EXHIBITION ONLY Registered exhibitors may order vouchers for entrance to the exhibition. The voucher enables to obtain an entrance card to the exhibition (exhibition-only pass, regular price EUR). This pass entitles your customers to visit the exhibition on one day, without baveragues and meals. An online registration is essential. For additional 40 EUR each exhibition-only card an upgrade to catering access (to the baveragues and meals during conference) will be possible. Price 1.00 EUR each exhibition card Page 3

4 Anmeldung Registration and organisatorial information First come, first served!!! The registration has to be made by using the fax order form for exhibitors, see page 19. Each exhibiting company has to name one authorized person, who will be responsible at the exhibition and who will be primary contact person during the event. After sending the confirmation the registration is done and legally binding. This confirmation will be send via . The DOAG decides about participation of the exhibitor registered. The judge s decision is final. Participation as an exhibitor does not include the right to receive a speaker s slot. All papers have to be registered using the Call for Papers. DOAG decides independently about the acceptance of an exhibitor. Legal acts are excluded. 5 Terms and Conditions of participation The DOAG 2008 Conference + Exhibition will be held by DOAG Deutsche ORACLE-Anwendergruppe e.v. which has commissioned its affiliate DOAG Dienstleistungen with the organization of the event. This exhibitors manual is the basis for the co-operation between the exhibitor, DOAG and DOAG Dienstleistungen GmbH. Unless otherwise noted, hereafter DOAG stands for both DOAG and DOAG Dienstleistungen GmbH. The following handbook is a translation of the German exhibitor s manual for the event DOAG 2008 Confence + Exhibition. The content of this translation is not binding. The contract is subject to the German right and the German version of this exhibitor s manual is binding. 1. Title of the Event DOAG 2008 Conference + Exhibition 2. Organiser and realisation The event DOAG 2008 Conference + Exhibition is held by DOAG Deutsche ORACLE-Anwendergruppe e.v. which has authorised its affiliate DOAG Dienstleistungen GmbH (DOAG Dienstleistungen GmbH) with the organisatorial realisation of the event. DOAG is contractual partner of the exhibitor on the basis of these terms and conditions. 3. Exhibition fee for the exhibition space The fee for exhibition space per sq.m. (39.37 inches) amounts to: when booking by 15th October 2008: EUR/ sq.m. when booking after 15th October 2008: EUR/ sq.m. Plus general basic fee: 1, EUR This fee for booking exhibition space includes: renting the stand space during the time of exhibition, the period of assembly and dismantling; general lightening and general cleaning of the passageways. Alternetivly please book our exhibitor s packages. Additional tables, chairs, electricity can be rented on a separate invoice from our partner/stand construction company. 4. Participation Participation will be at the discretion of the organizer. The organizer makes a decision about the participation of the exhibitor and the objects registered. Once participation is accepted the organizer will send a confirmation. On receiving the confirmation the contract comes into effect. The organizer has the right to exclude particular exhibitors or presenters from the participation if objective justified reasons will come up, especially if there is not sufficient exhibition space available. Furthermore the organizer has the right to exclude certain groups of exhibitors or groups of presenters from taking part if it should be necessary to achieve the purpose of the event. Moreover he reserves the right to restrict registered objects for the exhibition to certain items or to change the registered space. 5. Cancellation of Registration /Cancellation of Admittance If participation has been confirmed, the exhibitor has to pay the full fee for the exhibition space and the costs for the booth, if he participates or not. The organizer reserves the right to claim damages. Should this space be sublet, the organizer reserves the right to charge the previous tenant a compensation of 25% of the amount specified in the invoice for the exhibition space. The Organiser is entitled to withdraw from the contract and to resell the exhibition space - if the stand is clearly not occupied on due time - should the exhibitor default in paying the exhibition fee by the date determined by the organizer, and if the exhibitor fails to pay within an adequate extension period. 6. Terms of payment All amounts are payable without any discounts to the maturity date stated in the invoice. The organizer is entitled to withdraw from the contract, especially if the participant does not pay the amount in time. Should the invoice not be settled in time the participant will have to pay 8 % default interest on the relevant discount rate of the German Central Bank. 7. Insurance and Liability The exhibitor will be held liable for any damages caused by using his property. It is advised that the exhibitor sees to it that he is adequately insured. The organizer bears the general liability risk for the exhibition. He concludes a liability insurance (injuries to persons and damages to property) for the duration of the event for which he can be held liable on the basis of legal liability regulations. The organizer and the DOAG bear the general liability risk. A liability for lightly negligent attitude is excluded, except if personal or physical injury is affected. DOAG concludes a liability insurance contract regarding this event. DOAG cannot be hold liable for any ad-on services of its partner. These are subject to a separate contractual relationship. 8. Modification The organizer reserves the right to cancel the exhibition, to relocate or postpone the exhibition, or to modify its duration. Furthermore he is entitled to relocate the space made available to the exhibitor, to modify it in its size if there are any official regulations, or inevitable circumstances according to the organizer, or should there be not enough exhibition space available. By the virtue of the present the exhibitor is not entitled to any compensation. Neither is he entitled to withdraw from the contract. 9. Assembly and dismantling periods Assembly 29th November 2008, on request 30th November 2008, 8.00am 10.00pm Dismantling: 3rd December 2008, 6.00pm 11.00pm (Please stick to the dismantling period, as otherwise the following events will be disturbed.) After that lapse of time booth or exhibits will be removed at the expense of the exhibitor. The organiser cannot be hold reliable. It is forbidden to dismantle a stand before official ending of the event. Exhibitors counteracting this regulations will have to pay a contractual penalty. This penalty rates to 50% of the fee for exhibition space. 10. Alphabetical Exhibitor s catalogue With regard to the DOAG 2008 an exhibitor s catalog will published. Neither can the organizer be held liable for any entries that erroneously not have been effected or have been carried faultily out nor can he be made responsible for any printing errors. 11. Warranty DOAG can be held reliable for damages that are due to voluntary or grossly negligent default on contract as well as for damages due to slightly negligent defaults of contractual obligation. In the last point liability is limited to typically unforeseeable damages at the time when the contract is concluded. Your defense of contributory negligence will remain unaffected to DOAG. Legal liability of DOAG with regard to personal injury will remain unaffected according to the Product Liability Act. The above mentioned liability limitations are also quoted to breach of duty of the legal representatives or servants of DOAG. 12. Legal Domicile The place of fulfilment for any obligations regarding the contract, - except the terms of payment (where legal domicile is Berlin) - will be Nuremberg. Legal domicile is Berlin. From the highway the way to CongressCenter Nuremberg East is descriped at each highway exit. Please follow the signposting in direction of Nuremberg town Messe/CCN. Pass Karl-Schönleben-Strasse and turn right to Große Strasse. Here take Gate 1 f ( Tor 1f ) to loading yard 4/5/6 ( Ladehof 4,5,6 ) Approach on site: see drawing. Information for delivery of your material Deliveries arriving before 29th November 2008 cannot be accepted due to lack of space. The storage of materials or empties during or after the event in the CongressCenter Nuremberg East is not possible. Automobiles of your stand personell may park at the visitors parking areas. Assembly/Unloading/Dismantling The gate to the loading yard of CCN East is gate 1f. Vehicles are allowed to stop there only during the time of assembly, unloading and dismantling. An employee will take a note of the time of admission and will arrange the time of exit. Moreover he will ask for a deposit, which amounts to EUR. The deposit will be returned when leaving the zone in time. Delivery may be effected with the support of elevators. Special means of transport are recommended. Floor Covering The ground in the 1, 2 and 3 floor in the exhibition there is a gray carpet. Should you need a separate carpet a special anti-sliding fleece should be laid under. Besides the floor should be masked at the edges. Remains and adhesive tapes must completely be removed without residue. Otherwise costs for special cleaning will be charged. Page 6

7 Designing of the booth The maximum height for the booth will be 250 cm (97.5 inches) (unless there was another height confirmed individually). All costs for setting up the booth have to be paid by the exhibitor. Fixing of material to walls, columns and grounds is not allowed. Columns, pillars and ledges in the exhibition space are component of the space provided for you. Gluing of promotion material to walls, columns or other items of the Conference Center is prohibited. The exhibitor will be held liable for any damages caused as a result of the above mentioned. Fire alarm, hydrants, distributor boxes, switchboard and telephone distributors must be remain available. Using of open fire or lightening, e.g. spirit, fuel oil, gas etc. is strictly prohibited Electricity, furniture, flower arrangement, Security, ISDN,. Orders of electricity, furnitures, flower arrangements, security and cleaning of the stand (in the morning, before opening) may be effected over our stand construction partner within the due date. Please use the relevant fax formulars. Should you have special wishes, please contact our stand construction partner directly. Gastronomical care and catering We would be glad to organise a special catering for you and your customers at your stand. Please contact us for detailled information. Exclusion of Liability The organizer cannot be held liable for any property, which will be brought to the Conference Center. Exhibition items will not be separately guarded neither during the assembly and the dismantling period nor during the exhibition. Guards could be separately hired with the enclosed form.
