2 MASTER 1. CLIENT MASTER (Ctrl+M) Client is important entity for every professional. Activities related to managing client information are imperative. Effective management of client information will make increment in client satisfaction and Profit. Zen software solution is providing you a better way Client Master that will help to effectively manage client basic information. The client master organizes the client general information and other acquaintances information as well as addresses, contact no., mail & web addresses. NEW CLIENT Key Feature *You have to create client master only once and it will be used in all modules of Spectrum. There are the various fields in client master where you have to enter the details- Client code Client code is unique Identification code. It fulfills your digital requirements, while you are searching any specific client. Unique code system in software prevent to assign same code when you are creating a client, when you are entering client code a list appears having the words you entered, the unique identification system helps you to manage your client systematically while you are having thousands of client. The client code may be alphabetic, numeric or alphanumeric as you require. Status The client appears you may have its status likewise proprietor or partner in any firm or private limited concern. Whatever you require, select any one of them from the list. Residential Status The client may be Resident, Non-resident, and Resident but not Ordinary resident. Make Selection from the list, as you require. Group (If list not appears, click on Create group option) Group is related to a particular collection of things, some of the clients may relate to a particular business group or public limited concern. The group management feature allows you to group your client collectively. You may create new group information, alter group information and delete a group. The group you have created appears in a list, select a group from the list- Prefix: This appears as salutation for your client. Select the word you require. First Name: Enter the First name of your client. It is mandatory field. Middle Name: Enter the middle name of client person, if any. Last Name: Enter the last name of client, if any.

3 Spouse Name: Enter name of spouse with selection of prefix. Kartas Name: (In case of HUF Client status only) Enter Karta name Signing Person: Enter the name of authorized person, who can make signature on documents etc. Father Name: Enter father s name of client with selection of prefix. Designation of Signing Person: Enter the title of designation of authorized person. Date of Birth: Enter date of birth in case of individual. Incorporation Date: If your client is private limited, public limited or partnership concern etc., enter the incorporation date. Registration No.: Enter the registration no. of client. City: Enter the name of city, where client is located. Range: Enter the Range code PAN No.: Enter Permanent Account Number. It is a district ten character alphanumeric account number issued by Income Tax Department. Disability: Select the disability (Severe or Normal disability) for individual client states, if any. (U/s 80 U) Reg. No./CIN: Enter registration/cin No., if any. Select Office Address to enter the office address. Select Residence Address to enter the residence address. If Residence address is same as office address than check the option. (Copy Office address) If you have entered information required for your client, click on save button. Edit Client Click on Edit client Option. Select the particular client you want to edit.

4 Select the option to edit Client as Master or Assessment Year. Make the changes in Client Information and Update the information. Delete Client Click on Delete client button. Select the client you want to delete. Select the Software from where you want to delete the particular client. Change Code Click on Change Code Option. Select the Client you want to Change the code. Provide the New Code to that client. Click on OK button to save the changes. Search Client Select the Search option criteria as Individual Search or Group wise search. Provide Name, City, Phone, State, and Area, Mobile or Pin Code to search the particular client. Click on Report button to take the print report of searched clients. Import This option provides the facility to import the Client master data, if available in Excel Sheet format. We have given our personalized Excel sheet format at: C:\program files\kdk Softwares\KDK Support\client Master. Label Print To take the printout of Label, click on Label print option. Select the client and to set the format click on Settings button. Click on Name Formatting to Format the name setting Click on Address Formatting to Format the Address Settings.

5 2. Select Client (Press f8) 3. Create Project Note More than one project can be crated for a particular client. Nature of Business cannot be changed if saved once. 4. Select Project SELECT : To Select the project CREATE : To Create a new project. EDIT : To Edit the selected project. DELETE : To Delete the selected project. EXIT : To Exit.

6 TRANSACTION 1. Proposed Limit of Bank Fill in the respective details SAVE : To Save DELETE : To Delete the selected project REPORT : To generate and print report EXIT : To Exit 2. Cost of Project Fill in the respective details as per the requirement by clicking on DETAILS. 3. Means of Finance Fill in the respective details by clicking on DETAILS

7 4. Additional Information Fill in the respective details. Note Raw Materials & Work in Process windows will get active if the nature of business selected is manufactured. 5. Installed Capacity Enter here the actual capacity of production.

8 6. Holding Period Holding Period means the period for which closing stock is required to be held, the period of credit received from creditors and given to debtors. 7. QUANTITATIVE DETAILS Note: This option will get activated if you have selected Yes in Transaction Additional Information Whether Quantitative Details required 7.1. Production Ratio Finished Goods Enter here the ratio of different raw material and Work in Process to produce a particular type of finished goods. Work in Progress Enter here the ratio of different raw material to produce a particular type of Work in Process Sales Details Enter here the actual sales made in terms of quantity. It will auto calculate the estimated sales for current year and further years. Estimated % of increase in sales can also be entered here Stock Details Opening Stock: Enter here the actual opening stock of all types of finished goods, Work in progress and Raw Material for the first year. It will auto calculate the estimated opening stock for current year & further years.

9 Closing Stock: Enter here the actual Closing stock of all types of finished goods, Work in progress and Raw Material for the first two years. It will auto calculate the estimated closing stock for current year & further years as follows: Closing Stock of Finished Goods = Sales X Holding period 360 Closing Stock of WIP & Raw Material = Consumption X Holding period Detailed Statement Here we can see the detailed statement of the data entered in above options i.e. Production Ratio, Sales Details, and Stock Details Sales Price Enter here the sales price of each Finished Goods Purchase Price Enter here the purchase price of each Raw Material/Trading Goods/services 8. Allocation Ratio Enter here the ratio of different type of WIP and Finished goods in the closing stock. 9. PROFIT & LOSS A/C 9.1. Sales (Net of Return and Excise Duty) Enter here the actual figures of sale of different Finished Goods, % of Export Sales and % of Excise Duty, the amount of Export Sales and Excise duty will be automatically calculated. The entire amount for Estimated and projected years may be automatically calculated or it can be done manually by selecting required option from the following:

10 9.2. Opening Stock of Raw Material Enter here the actual opening stock for the first year of different Raw Material. It will automatically take amount for further years from Closing Stock Purchase of Raw Material Enter here the actual figures of Purchase of different Raw Material. It will auto calculate the amount for further years or it can be done manually also by selecting required option from the following

11 9.4. Closing Stock Enter here the actual closing stock of different Raw Material. It will also calculate the amount for further years by following formula. Closing Stock of RM = (Opening stock of RM + Purchase of RM) X Holding Period (360 + Holding Period) 9.5. Raw Material Consumed Enter here the % of Purchase from Outside India. It will auto calculate the amount by following formula RM Consumed = (Opening Stock of RM + Purchase of RM) Closing Stock of RM 9.6. Stores & Spares Consumed Enter here the respective details of stores & spaces (used in Manufacturing & Others) for actual years and the amount for further years may be auto calculated or done manually also.

12 9.7. Direct Expenses Enter here the details of Direct Expenses actually incurred during the period and it will auto calculate the amount for further years. We can find two heads i.e. Factory wages and Power & Fuel, if required more heads can be added which will be considered under the head Others 9.8. Factory cost It will be auto calculated by following formula Factory Cost = RM Consumed + Stores & Spares Consumed + Direct Expenses 9.9. Opening Stock of WIP Enter here the actual opening stock for the first year of different WIP s. it will automatically take amount for further years Closing Stock of WIP.

13 9.10. Closing Stock of WIP Enter here the actual closing stock of different Raw Material. It will auto calculate the amount for further years by following formula. Closing Stock of WIP = (Factory Cost + Opening Stock of WIP) X Holding Period (360 + Holding Period) Cost of Production It will be auto calculated by following formula Cost of production = (Factory Cost + Opening Stock of WIP) Closing Stock of WIP Opening Stock of Finished Goods Enter here the actual opening stock for the first year of different Finished Goods. It will automatically take the amount for further years from Closing Stock of Finished Goods Closing Stock of Finished Goods Enter here the actual closing stock of different Raw Material. It will auto calculate the amount for further years by following formula Closing Stock of FG= (Cost of Production + Opening Stock of FG) X Holding Period (360 + Holding Period)

Cost of Sales It will be auto calculated by following formula Cost of Sales = (Cost of Production + Opening Stock of FG) Closing Stock of FG Indirect Expenses Enter here the details of Indirect Expenses actually incurred during the period and it will auto calculate the amount for further years. Different Heads as per requirement can be entered Operating Profit Before Interest & Depreciation It will be auto calculated by following formula Operating profit before interest & depreciation = Sales Cost of Sales Interest Enter here the details of Interest payable against any type of loan may it be cash credit Limited or Term Loan or any Other Loan in the respective form.

15 Note: Check on the following box will allow the amount of Interest to be shown in the P&L a/c and the closing balance of Loan in Cr. Side of Balance Sheet. Fixed Principal Method: In this method the principal amount of repayment of loan is fixed and the amount of Interest is charged accordingly so the amounts of installments always vary. EMI Method: In this Method the principal amount as well as the amount of interest charged varies but the amounts of installments always remains fixed. Show Chart: It will show the chart of installments as per the method selected Depreciation Enter here the details of Fixed Assets and depreciation charged during the year. Note: The details of Additions and Deletions can be entered by clicking on ADDITIONS & DELETIONS icons. The Depreciation is charged according to IT rules in case of individual and Partnership Firm and according to Companies Rules in case of Company Operating Profit After Interest & Depreciation It will be auto calculated by following formula Operating profit After int. & Dep. = Operating Profit before int. & Dep. (int. + Dep.) Non-operating Income Enter here all the Non-operating Income for all the years while creating the required heads Non-operating Expenses Enter here all the Non-operating Expenses for all the years while creating the required heads Profit Before Tax It will be auto calculated by following formula Profit before Tax = Operating profit After int. & Dep. + Non-Operating Income Non- Operating Exp.

Net Profit Appropriation Enter here the % of provision of Tax applicable on the profits earned and % of Equity Dividend paid (in case of Company only) Retained Profit It will be auto calculated by following formula Retained Profit = Profit before Tax Net Profit Appropriation Break Up of Sales inclusive of Other Incomes Enter here the quarter wise break up of Sales. TRANSACTION BALANCE SHEET Select the Particular and double click on field. Enter the applicable details and click on save button. Click on Reports to generate the report of Profit and Loss. Export: Click on Export button to export the data into Excel format file.

17 1. Capital/Ordinary/Share Capital Enter here the details of Capital Employed, Additions and Deletions done during the year. Here the amount of Net Profit for the year is automatically called from P&L a/c in case of individual and Partnership firm. 2. Reserves and Surplus Enter here the details of Reserves and surplus under four different heads i.e. General Reserve, Revaluation Reserve, Other Reserve and Profit/Loss. 3. Term liabilities Enter here the respective details of Term Liability. The detail of Term Loan is automatically called from the details mentioned in Profit & Loss a/c.

18 4. Short Term Borrowings Enter here the respective details of Short Term Borrowings. The detail of Cash Credit Limit is automatically called from the details mentioned in Profit & Loss a/c. 5. Sundry Creditors It can also be auto calculated as follows Sundry Creditors = Purchase of Raw Material X Holding Period 360 The % of Overseas Creditors shall be manually entered. 6. Other Current Liabilities Enter here the respective details of Current Liabilities. Here Installments (<1year) includes the amount of Loan which is due for repayment in the current year.

19 7. Provision for Taxation Here the amount of Provision for Taxation will be automatically called from Profit & Loss a/c. 8. Additional Information Enter here the additional information like Arrears of Depreciation, contingent Liability, etc. 1. Fixed Assets Here the balance of fixed asset will be automatically called from Profit & Loss a/c. 2. Non-Current Assets Enter the respective details of Non-Current Assets.

20 3. Intangible Assets Enter here the respective details of Intangible Assets. 4. Investments Enter here the details investments done like Short term investments, Fixed Deposits, Govt. Securities, Other Securities, etc. 5. Stock in Hand Enter here the % of Raw Material Imported, % of Stones & Spares (Manufacturing & Others) Imported. All other amounts are automatically called from Profit & Loss a/c.

21 6. Sundry Debtors It can also be auto calculated as follows: Sundry Debtors = Sale of Finished Goods X Holding Period 360 The % of Export Receivables shall be manually entered. 7. Other Current Assets Enter here the respective details of Other Current Assets. 8. Cash in Hand & Bank Balance Enter here the Bank balance and the amount of Cash Balance is always auto calculated.

22 Loan Sanction details Enter the date of Loan sanction. Select whether it is Original or Renewal sanction. Enter Sanction Limits. Click on save button to save the details. Click on Delete to delete entries. REPORTS PROJECT REPORT It will generate the Project Report. Click on Export to export the entire report into excel file format. Form-1 It shows all the existing/proposed limits from the Banks and Financial Institutions. Click on Export to export the entire report into excel file format. Form-2 It shows the Operating Statement i.e. Profit & Loss a/c of the business. Click on Export to export the entire report into excel file format. Form-3 It shows the analysis of Balance sheet of the Business. Click on Export to export the entire report into excel file format. Form-4 Click on Export to export the entire report into excel file format. It shows a Comparative Statement of current Liabilities and current assets.

23 Form-5 It shows a computation of Maximum permissible bank finance for Working Capital in two different ways. Click on Export to export the entire report into excel file format. Form-6 It shows Fund Flow Statement. Click on Export to export the entire report into excel file format. Financial Ratio It shows the Financial Ratio statement. Click on Export to export the entire report into excel file format. Financial Ratio DSCR and ICR It shows the Financial Ratio statement for DSCR and ICR. Click on Export to export the entire report into excel file format. Cash Flow Click on Export to export the entire report into excel file format. Debt Equity Analysis Click on Export to export the entire report into excel file format. Break Even Analysis Click on Export to export the entire report into excel file format. Sensitivity Analysis It shows Change in profit due to some factor. Click on Export to export the entire report into excel file format. All Forms This option is used to generate the desired forms. Select the desired form (Report) options. Choose the type of conversion of figures. Click on Report to generate the desired report. Proposal Status It will provide you the facility to know the status of your all projects. Show All: It will display you the all proposals available.

24 Sanctions: It will display you all the sanctioned proposals. Pending: It will display you all the sanctioned proposals. Export: It is used to export all the proposals into Excel file format. Report: Click on Report to generate the report. Document Attached: Enter the details of attached documents. Click on Save to save the details. Investment Here you are having two types of investment calculation as 1. Future Value (FV) 2. Fix Deposit Receipt Interest Click on TDS Rate Setup to get the Rate setup of Investment. Included in IRR- Yes or No Click on Calculate button to calculate (Calculation will reflect in the right Output fields) TOOLS KDK TOOLS a) Configure system32- This utility is used to configure the available.dll and.ocx files within the system. You can Register, Unregister, Delete and Copy such.dll/.ocx files automatically. After selection any particular file it will display the internal name, Type, Version, Created date, Size and system path of that file. b) Global System Path- It will display you the various locations as System Path, Windows path, Common files path, cookies path, history path, program files path etc. c) Configure Mysql- This option provides the facility to Stop and to Start Mysql service within the system. (Status of Mysql Service) d) Pinging PC s- To check weather two PC s are connected to each other or not. Enter 2 nd. PC s IP address/computer name and click on ping button, it these two PC s are connected to each other than it will display the ping result. e) IP Status- Enter the computer name/ip Address of any machine, it will automatically display the IP status of that machine. f) Messenger- Used to send any message from one machine to another which is connected via LAN using computer name or IP address.

27 g) On line PC s- This utility will display all the PC s which are connected to this machine via LAN. Put the IP address of this machine and it will automatically display the list of all connected PC s. h) KDK product- This will display you the complete list of KDK s products along with Versions and Size on disk. KDK Word This is KDK Word editor. All the reports and Forms are designed in this personalized word editor. This word editor having the similar features as available in MS Word editor. You can convert any report from KDK word to MS Word. Converter This utility provides the facility of conversion between various units of measurements. Calculator This utility is to calculate various critical calculations. Database Utility Custom Backup This option provides the facility to take the backup of all the clients/selected client on individual basis of modules. Click on Select All button if you want to take the backup of all the clients. Otherwise Mark a check to the clients whose data backup you want to take. Selected clients name will come to the right side of screen (in selected Client List) Click on done button to proceed for the backup. Give the file name and location to save the backup file. Custom Restore It is used to restore the custom backup of any individual software. Recover Backup schedule It is used to set the regular backup path of Zen CMA modules. Set Backup Schedule This facility is used to set backup reminder time and auto backup facility. Repair Database To repair the database of software automatically. Optimization database To optimize database.
