Section 1: Executive Summary

Section 1: Executive Summary SDA Dallas focus this year has been to get to the heart of our purpose, who and what we want to be, and WHY we are doing it. Our new mission statement is meant to enhance how Dallas will approach our chapter s purpose. Our Why We are passionate about the success of our members. We believe that as a group we are stronger, and that collaboration, knowledge and the creation of relevant lifelong connections empowers and drives the professional growth of our members. We accomplish this through Education, Networking, and Resources that focus on the specific needs of Management and Administrative professionals in the A/E/C Industry. We are SDA Dallas! In creating this statement, we wanted our members to know that SDA is about them. That through our shared experiences, we could help each other to grow and achieve goals that we never thought were possible. The SDA Dallas chapter enjoyed many successes in 2014, our first being the change in our business meetings. We ve tried to make them more educational by incorporating Round Table discussions. We choose a topic, based on our own observations, and share stories, possible resolutions, and discover that we re all not so different. It s quite empowering! This year CANstruction Dallas was held at the State Fair of Texas and we had remarkable success for the North Texas Food Bank, which created thousands of meals for the under privileged in the Dallas-North Texas area. We re very proud of the efforts of our CANstruction Committee Chairs, Cindy Savell and Jan Krause-Leckie, for this undertaking in a new venue. Their dedication to this charity is heartfelt and is second to none. Many long hours were spent at the fair grounds to make sure that everything would be in place for Build Day. And their work paid off, as you will see in Section 2. We also incorporated social media on a more advanced level for CANstruction as our Vice President, Ruth Vandruff, developed and enhanced our efforts through Facebook and Twitter, by posting updates throughout the day, including photos of participants, offering competitive challenges to the teams and encouraging donations. We ve been invited back to the State Fair of Texas for 2015, which is an honor that we re very proud of! With long-term commitments from SDA members, such as Mary Beth Parker, who s participated for 16 years, we re hoping to make 2015 our best year yet! Another part of our focus for 2014 was creating a greater financial transparency for all the membership. Budgets are shared with all, and voted upon per our by-laws, but having this open policy has given the members a better idea of our resources and increased their ability to make well informed decisions regarding programs, educational offerings, and networking. Our striving for this type of sharing of information is all the brain-child of our current Treasurer, Kathy Nagel.

Her financial prowess has helped lead the Chapter to new ideas and new ways of doing things. She epitomizes our Why. There were also major kudos for our team, Awards: Stepping Up Award Presented to Brooke Simcik for her work on our new chapter website Gold Award at EDSymposium 2014 Certifications: Construction Documents Technologist (CDT) Ruth Vandruff and Kathleen Simpson are now certified Fundraising: Raffle Mother s Day Basket - $170 profit Raffle ipad mini - $305 profit The Merriam-Webster Dictionary defines excellence as extremely high quality; the quality of being excellent; an excellent or valuable quality; virtue. The members of SDA Dallas have made the decision to band together to reinvent the chapter and turn it into something powerful and enabling, striving to meet their educational and professional expectations by providing high-quality programs and valuable partnerships, while building lifelong friendships. We believe that we have earned the Chapter of Excellence Award through the hard work and efforts of the entire membership. We believe we have set an example for all the chapters of the Society for Design Administration, an example that promotes our mission statement, especially our Why We are SDA Dallas!

Section 2: Best Practices

Section 2: Best Practices Best Membership Campaign. How are you promoting SDA membership and benefits to future members? Did your Chapter interact with another A/E/C industry organization to promote membership? This year, SDA Dallas came up with a new concept that we call Lunch On Us. Brooke Simcik designed a beautiful invitation to be ed to members who were invited to join us for lunch, courtesy of the Chapter, and to bring a friend that may be interested in joining SDA. During lunch, there was wonderful conversation and networking. Our Chapter President, Brooke Simcik, offered a brief summary about SDA and what we have to offer administrators and managers in our industry. We handed out literature on SDA with an emphasis on our Chapter. Then we asked each attendee to tell us something about themselves that they were proud of. Some talked about their job performance, some talked about their certifications, some even talked about their weight loss! SDA provided a couple of door prizes as incentive, a book Lean In: Women, Work, and the Will to Lead by Sheryl Sandberg, COO of Facebook, and a gift card. Both were well received! Then we told the group about our round-table discussions and presented them with one, What recent struggle or accomplishment have you had in your job position. The conversation was quite lively with interaction from all who attended! All in all, it was a wonderful success, as we garnered two new members out of the 6 nonmembers who attended! Please see attachment 2-A. Best Membership Retention Outreach. How did your Chapter promote membership retention as memberships reach renewals dates? During the course of the year SDA Dallas sends out various surveys, using SurveyMonkey.com., to offer useful information to our members. Our recent Benefit Survey allowed our members to view industry standards within our own community, as well as to give them a snapshot of how our member companies benefits function. We also utilize surveys at the end of the year to take the temperature of our Chapter, so that we may strategize our goals for the upcoming year, and to place focus on what our members need and want to get out of their SDA membership. These surveys allow us to see how are members are feeling about their SDA experience, as well as to offer suggestions, and even criticisms, if they so choose. Board members find this quite helpful in making plans and changes that affect our membership as a whole. Our annual Strategic Planning Retreat agendas grow from these surveys. Please see attachment 2-B. Best Educational Program. How did your Chapter provide educational opportunities to members and/or non- members? What was your Chapter s best educational opportunity for members and/or non-members? Did your Chapter secure a guest

speaker? Did the Chapter partner with another A/E/C industry organization for an educational event? A LEED v4 Green Associate Exam Preparation Class was offered to our members and their companies for a very reasonable price. The webinar was set up through Green CE. It was structured to take place over a four night period, two hours each night, and, at the end, not only did you walk away with a wealth of knowledge to prepare you for the exam, but also access to the recorded presentation, access to practice exams, and eight Continuing Education Units. The webinar was quite comprehensive, yet not for the faint of heart! The moderator was well versed on the subject, and was willing to take any questions participants could come up with. We discovered that this certification, although difficult to prepare for, is well worth the effort. Please see attachment 2-C. Best Networking/Social Event. Did your Chapter host or participate in a charity, community, or social event? Did your Chapter host a Canstruction event? Did your Chapter host a Principals Appreciation or Administrative Professionals breakfast or luncheon? Did your Chapter partner with another A/E/C industry for networking purposes? Did your Chapter host a holiday social? The 2014 CANstruction was one of the most successful that the Dallas Chapter has held to date! This year, we were invited to hold our event at the State Fair of Texas, with their theme Deep in the Heart of Texans! To make it a truly Texan CANstruction event, we invited the Fort Worth Chapter to share the space, which they quickly agreed to. Planning for the event began in January, Our Co-Chairs, Cindy Savell and Jan Krause- Leckie are both long-time SDA members, and they surprised the committee with the offer from the State Fair. With a unanimous vote, we accepted the challenge! The Kickoff Meeting, held in May, was quite successful, with approximately 40 attendees, representing 30 different companies. There were many logistical difficulties in taking on the change of venue. For instance, the size and location of the building, and the ability to get the food in and out of it. One of the biggest issues was the length of the fair. Build day took place on September 20 th, with Tear Down day taking place on October 25 th. We needed to ensure that the structures would last the entire length of the fair. The fair provided security throughout the event, and allowed us to put stanchions around each structure in order to keep curious visitors from touching them. The great thing about difficulties and obstacles is that, once you ve overcome them, they aren t a problem anymore. The lessons we learned have been invaluable, and will serve us well at this year s event. We ve been invited by to the State Fair of Texas, and couldn t be

more excited! We had a great deal of help from the fair committee in not only advertising, but also obtaining sponsorship for the cost of the building, which was upwards of $30,000, and providing assistance for preparation, build day, maintenance, and tear down day. Ultimately, the 2014 CANstruction numbers were staggering: 25 Teams brought in 103,776 pounds of food and $9775 in donations which created 112,347 meals. The North Texas Food Bank couldn t have been happier! As for the SDA, this was the second highest poundage and the highest monetary donation in the history of Dallas CANstruction, and we are very proud of our team and their accomplishments! Please see attachment 2-D. Best Fundraising Effort. Did your Chapter conduct a successful fundraising initiative (tour, educational program, etc.)? Did your Chapter secure a beneficial sponsor? If so, how was that sponsorship obtained? Our most successful fundraiser for 2014 was an ipad mini Raffle in December. The Chapter purchased a new ipad mini 3, with Wi-Fi and 16GB storage, in gold, then sold tickets at $15 each or 5 for $25. We sold several tickets to both members and non-members for a $305 profit. The proceeds went into our Educational/Scholarship fund. Please see attachment 2-E. Best Communication Tool. What is your Chapter s best communication tool? Did your Chapter produce a newsletter? Did your Chapter maintain a current website? Did the Chapter have a Facebook page? What about other social media outreach Twitter, LinkedIn, etc? The SDA Dallas Chapter s website, has been a valuable communication tool. It offers the user several different categories to choose from with pages including Current Events, Educational/Program information, CANstruction details, and Frequently Asked Questions to name a few. Our website offers not only current information on planned programs and events, but also links to other informative sites on our Resource Page such as AIA ( Texas Board of Professional Engineers ( and Design Arts Seminars ( We ve also been asked by SDA Portland if they could utilize our site as an example for theirs! They were very impressed that our website and brochure go hand-in-hand and called it a Great Concept that is exactly what they d hoped they could do with their page. Our web designer, Brooke Simcik, has done an awesome job of producing and maintaining it, and was the recipient of our own Stepping Up Award this year for her efforts. Please see attachment 2-F.

KNOW HOW TO PROTECT YOUR COMPANY FROM USING SALARY/BENEFIT SURVEYS THE WRONG WAY! Consulting a salary survey report is an effective way to take the guesswork out of establishing a firm's compensation strategy. Equipped with the report's information on an industry's prevailing salaries, benefits, bonuses and other compensation, a manager can keep her company's benefit packages in line with industry standards. Improper use or compiling of these reports, however, can constitute anticompetitive activity under antitrust laws, so companies must understand the limits and benefits of salary survey reports. Specificity To avoid facilitating anti competitive behavior, the report must not contain information that is too company specific. If a firm learned from a report exactly what a competitor was paying its executives, for instance, the firm would have a decidedly anti competitive advantage in recruitment and negotiating its own executives' pay packages. Accordingly, the information in a salary report must come from at least five preferably 10 different companies, and no one company may represent more than 25 percent of the information within the report. The information in the report must also be of an aggregate nature, so that the identity of a firm or employee is sufficiently hidden. Historical The information compiled in these reports must be "historical," which a consent decree in the health care case determined to be older than three months. However, as the legal firm of Wildman Harrold points out at its website, a company would be more safely out of antitrust territory if the report's information is at least six months old. Companies also must refrain from meeting regularly to discuss salaries or exchange salary information. The policy statement defines an "antitrust safety zone" for exchanges of information about wages, salaries or benefits and indicates that government agencies will not challenge the exchange of this information absent "extraordinary circumstances." The statement provides that written wage, salary or benefit surveys will fall within the antitrust enforcement safety zone if the survey meets three conditions: (1) the survey is managed by a third party; (2) the information provided by the survey participants is more than three months old; and (3) there are at least five employers reporting data for each statistic, with no one employer reporting more than 25 percent of any statistic, and no single employer may be identified with any specific information. (4) Weigh the value of the information against the age of the information. (5) Use surveys as only one factor in setting compensation or benefits. If the employer can identify other factors used in setting compensation/benefit rates, this could undermine a plaintiff's ability to prove that the survey caused a depression of compensation or benefit. "Antitrust law" defined As used in this chapter, the term "antitrust law" means the Sherman Act (15 U.S.C. 1 et seq.), the Clayton Act (15 U.S.C. 12 et seq.), and the Federal Trade Commission Act (15 U.S.C. 41 et seq.). ( Pub. L , 5, July 9, 1980, 94 Stat. 939.) Read more about the Sherman Antitrust Act
