1 FINANCE DEPARTMENT Visions How to print & read Visions Reports Date: March 25, 2014 Team Name: Budget Department Overview: How to print & read Visions Reports Area of Responsibility: Departments - Financially responsible staff such as Directors, Coordinators, and Secretaries Procedures: Finance Department s Visions/iVisions financial program is live data. Financial data can change throughout the day due to the following transactions - Purchase Orders, Journal Entries, Payroll, Accounts Payable, and Deposits. 1) To log into Visions, double click on the VISIONS.RDP icon located on your Desktop a) If the icon is not located on your Desktop, please click on the START menu (lower left corner) and select the program from the list b) If you are not able to locate VISIONS.RDP icon or program, it may be necessary to submit an IT Work Order 1 P a g e
2 2) At the Window Security menu, log-in by typing in your Password and then select OK 2 P a g e
3 3) The next menu to display is the Accounting Login. The only area you ll change is the Connection Group Name a) Leave the User Information as is b) The Connection Group s Name pull-down displays several Fiscal Years (FY s). Dysart s FY runs July 1 through June 30. Prior FY s are locked. However, reports are always available for view. i) Select the Name drop-down ii) Select DysartFY1314 (which represents Fiscal Year July 1, 2013, through June 30, 2014) 4) After selecting the Fiscal Year, click on OK 3 P a g e
4 5) The Main Page opens which allow you to access Reports, process Requisitions, print Purchase Orders, and other financial information a) On the very bottom of the page (right hand side), Visions displays the Fiscal Year you selected (Group: Dysart FY1314) and which DAC you are logged into (DAC: 520- Educational Services) 6) Distributed Accountability Centers (DAC) are assigned to each School and Department. This allows the Finance Department the ability to assign account codes to specific Schools and Departments. Think of a DAC as a file folder. Reports, Account Codes, Requisitions, Purchase Orders, etc. are all connected to the School s or Department s DAC a) Each Department has been assigned one DAC. However, some Departments may have more than one DAC due to Grants Management. When requisitions are processed, the appropriate DAC must be selected i) Department DAC - example: Education Services 520 DAC ii) Grant User - example: Prevention Services 531 DAC 4 P a g e
5 7) To change DAC s, on the top menu select the Actions icon (top left hand side) and select Change DAC 5 P a g e
6 8) After selecting Change DAC, a Change DAC menu appears and allows you to switch DACs a) Select the drop-down and select the DAC you wish to work in/view i) Example: Prevention Services 531 DAC 9) Select OK 10) Note that the DAC has now changed to DAC: 531 which is Prevention Services 6 P a g e
7 11) Again, on this main page you can access Reports, process Requisitions, print Purchase Orders, and other financial information a) To access Reports i) Double click on General Ledger ii) Double click on Reports iii) Double click on General Ledger Report Writer 12) The screen displays multiple reports available in the Prevention Services 531 DAC 7 P a g e
8 13) To select the report you wish to view/print, highlight the line using your mouse (single left click) a) The Finance Department designs Department reports in two different views due to analyzing needs. The reports are labeled as such -Detail and Summary 14) Once the report is highlighted, on the top menu bar select Actions and then Print Selected Report 8 P a g e
9 15) The Print Reports menu displays. You can now select the date range you wish to review/print a) The default date range will always reflect the current month b) Please note: Dysart Unified School District No. 89 Fiscal Year (FY) is July 1 to June 30, and closes the books prior to September 30. So there will be times in order to obtain the complete fiscal year information, always pull the report through September P a g e
10 16) For this example, I am selecting the following: a) Date range - From Date: 02/28/2014 and To Date: 02/28/2014 b) Select/toggle Print GL Report c) Click OK 17) The General Ledger Report Writer menu appears and displays Report(s) printed. Select OK 10 P a g e
11 18) At this time Visions displays the actual report behind this menu, so it is necessary to minimize this window. Click on the minimize button to view report (top right hand corner) 19) A two page report is available 11 P a g e

13 Frequently Asked Questions When I ran my Visions Report this morning, I had a Budget Balance of $125,253.03, but this afternoon I only have $122, Why? o Visions is live data. The financial data can change throughout the day due to the following transactions - Purchase Orders, Journal Entries, Payroll, Accounts Payable, and Deposits o Accounts Payable issues checks to vendor each Thursday How is my Department Budget calculated? o Each year, department Directors meet with Business Services to discuss and identify projections for next fiscal year. A Purchase Order (PO) was issued in Fiscal Year (FY) 2013/2014 (FY July 1 through June 30). The Vendor s invoice was not processed by Business Services Accounts Payable Department until August 23. Why don t I see this PO and payment in FY2014/2015? o Although the FY ends on June 30, financial transactions still take place for an additional ninety (90) days. Business Services must close FY2013/2014 by September 30. Therefore, the Vendor s payment will reflect in the same year the PO was issued - FY2013/2014. o For a short period of time each year, two FY s are open at the same time so be sure to run a report from both FY s to obtain an accurate reflection of Cash Fund balances. 13 P a g e
