(Add Dental radiographs for DATALink X-Ray income entry into DATALink) 5404 X-Ray Services (Dental) Revenue (Optional Subaccount) Income from dental radiographs and interpretation fees. Includes fees for specialist reading images. (Add to X-Ray income 5403 for entry into DATALink) 5405 Cat Scan Services Revenue Income from fees derived from image studies via computerized tomography technology, and including any interpretation fees, whether or not bundled with the procedure fee Ultrasound Services Revenue Income from fees derived from ultrasound imaging procedures and their interpretation, including specialist fees either charged separately to the client or bundled with the procedure fee. Include income for needle aspirate along with ultrasound guided fine needle and Trucut biopsies procedure fees. Ultrasound guided urine cystocentesis fees should be included in lab services account MRI Services Revenue Income from fees derived from MRI (Magnetic Resonance Imaging) scan procedures, and study interpretation, including specialist fees either charged separately to the client or bundled with the procedure fee Anesthesia Services Revenue Includes income from gas or IV anesthesia charged as a service. Includes all anesthetic cocktails & sedations, (Injectables such as Midazolam, Fentanyl, Marcaine, Bupivicaine, DexDormitor, Dormisedan, Telazole, Lidocaine etc) epidural nerve blocks, local & dental nerve blocks. Also includes income from anesthetic monitoring.

4 Dentistry Services Revenue Income from dental prophylaxis. Also includes income from extractions, orthodontics, endodontics, and products applied to teeth or defects in the dental operatory. Includes oral surgery related to dental procedures such as gingival flaps etc Surgery Services Revenue Income from surgery including surgery room usage, surgical instrument or pack fee usage, sutures, surgical gloves drapes and other disposables and supplies, surgeon fees, surgical implants, plates and screws. Includes laser and cautery surgery fees. If OHE, neuter, declaw, etc. are priced as a single fee for all services they can be included here. (The DATALink committee discourages bundling these services for revenue capture. Better to capture fees from bundle separately, and expense into appropriate revenue category. The major PMI systems allow this to be accomplished relatively easily.) Includes orthopedic, soft tissue, and cryotherapy. Also includes laparoscopy and endoscopy. Also includes surgeons fees for surgeries performed by traveling surgeons and billed through your hospital Dietary Product Services Revenue 5201 Prescription Diet Revenue (Optional subaccount) Any food that is sold as a medical recommendation to support a patient suffering from a diagnosed specific medical health problem. Hint: while often called prescription diets they do not by law require a veterinarian to prescribe them but manufactures do frequently limit their sales thorough veterinarians and veterinary hospitals Non-Prescription Diet Revenue (Optional subaccount) Any food that is sold as a wellness/maintenance diet, pediatric diet or traditional food WITHOUT a specific therapeutic dietary formulation for a diagnosed medical health problem Boarding Services Revenue Income from boarding and day care services. medical care. Does not include hospitalization for 5810 Grooming Services Revenue Income includes both bathing and grooming services. Also includes services associated with bathing & grooming such as anal sac expressions and nail trims. Does not include any medical treatments charged as additional services, such as ear care Ancillary Products/Services Revenue Income from any ancillary service or product not included in other 5800 subaccounts below. Includes city and county license tags. Do not include interest or dividend income in DATALink revenue.

5 5801 OTC Products, Shampoos, & Nutriceuticals Revenue (Optional subaccount) Income from OTC/Nutriceuticals - all therapeutic over-the-counter (nonprescription) products, including non FDA shampoos, Chinese herbs and homeopathic products, dental hygiene products including Greenies and chews and nutriceuticals, vitamins. Also includes Elizabethan anti-self-mutilation type collars, behavior modifying non-fda therapeutics and other products used in behavior therapy, including Soft Paws and Thundershirts NON FDA Flea and Tick Control Parasiticide Revenue (Optional subaccount) Income from EPA non-fda flea control products such as topical spot ons (Frontline, Activyl, Vectra, Certifect, etc.), Capstar, flea sprays, powders, dips, flea combs and premise treatments. Flea shampoos are all in 5801 Non-FDA Flea/Tick Product 5804 Internet Ancillary Revenue (Optional subaccount) Income related to internet ancillary product sales - only if you wish to separate them from pharmacy items. Otherwise put everything under Pharmacy Pet Supplies Retail Revenue (Optional subaccount) Include income from non-therapeutic, retail sales of leashes, harnesses, collars, toys, point of purchase items, brushes, grooming sprays, candles, milk replacers, deodorants, nail trimmers, pet carriers, pet ID tags, pill cutters, cat litter, etc Fee Discountsand Returns Combine 5891 & 5896 for DATALink input 5891Client Discounts (Optional subaccount) "Whatever client and employee discounts and fee accommodations have been recorded and measured are posted to this account. In the veterinary profession, the level of fee discounting can be relatively significant. For this reason, discounts are recorded as a debit directly offsetting operational revenues, so that management has an improved awareness of discounting impact on overall cost of operations. When offset against gross revenues charged, discounts reduce the total operating revenue figure that is used to calculate each expense as a percent of it. One challenge is that all fee discounts are not recorded in practice records. Many times, veterinarians provide free services (either intentionally or accidentally) that are never shown on the practice s records, thus understating the true level of client discounts. This oversight creates yet another problem: no recorded history of what was done for the patient exists. TIP: Some practices choose to separately track fee discounts provided to clients and fee discounts provided to employees. Set up a separate account in the SAPCOA using account #5892 if separate tracking is desired. "

6 5896 Returns (Optional subaccount) Returns and allowances are fee amounts the practice returns to clients for disputed work, such as when a client is billed twice for the same procedure or when a client returns dispensed product she believes is not efficacious. The practice bookkeeper prepares a check for payment to the client as settlement. This account carries a debit balance and as such, is an offsetting account to revenues (revenue accounts normally carry a credit balance). Transaction postings to this account decrease the practice gross revenue Large Animal Services Revenue For QuickBooks purposes, this revenue should be added to Professional Services as this is not a companion animal revenue input field in DATALink. This account accumulates miscellaneous large animal service-related income in practices that have only a small segment of activity related to Large Animal species care (as a proposed guideline, less than 5% of revenue deriving from large animal services and product sales.) Total Number of Invoices Total number of invoices generated for this period (quarter) for both services and merchandise regardless of number of pets per invoice. Total Number of Patient Visits Total number of patients physically presented to the practice and seen by a veterinarian during the reporting time period. (Quarter) Please make sure your VPIMS is reporting for only those patients presented and not just when a patient name is associated with an invoice. If you are not able to have accurate patient counts please leave blank in the DATALink reporting input.
