SUN YAT-SEN CLASSICAL CHINESE GARDEN WEDDING RENTAL GUIDE 6 FACILITIE ENTA RMATI The Dr. Sun Yat-Sen Classical Chinese Garden allows visitors and guests to experience a glimpse of the ancient world of a Ming Dynasty scholar-official. It is a museum and cultural attraction created with Chinese materials and traditional building techniques and, as such, is a place like no other. Each person who enters has the responsibility to steward it for the future. Because the Garden is irreplaceable, there are, perhaps, more rules than in other venues. Because you have chosen to hold your event in the Garden, we know that you understand this and will ensure the Garden is lovingly protected. Please let your guests know the special nature of the site. DAMAGE DEPOSIT A damage/security deposit equivalent to half of the basic rental fee is required to secure an event booking at the Garden. ON-SITE MANAGEMENT All event rentals include an on-site event manager for the duration of your event. Our experienced and knowledgeable team will assist you with all of your planning needs. INSURANCE Special Events Liability insurance is required for all events. This may be purchased through SBC Insurance and includes Liquor Liability Insurance as well. A copy of the policy must be given to the Event Manager 30 days prior to the event. LIQUOR Alcoholic beverages are permitted with a Special Occasion License and Liquor Liability Insurance. Due to the natural stone floors and rockery, please note that red wine, red or orange beverages are not allowed in the Garden. A Special Occasion License may be obtained from any BC Liquor Store. A copy of the liquor license must be given to the Event Manager 30 days prior. CATERING We can assist you with our preferred catering companies if one has not already been engaged. They know the site and are adept at using our limited kitchen facilities for large and small events. Please contact the Event Manager with your specific requirements. CHAIRS & TABLES Basic folding chairs are included in your rental and will be set up and taken down for you. There are a limited number of rectangular tables available for a nominal fee, as well as red linens available for rent. Additional equipment must be rented; ask for our preferred rental company. CLEANING Any necessary additional cleaning will be charged to the renter at $100/hr. DÉCOR & CANDLES Firecrackers, sparklers, rice, silly string, flower petals, and tiki torches are not allowed inside the Garden. Votive candles or tealights are permitted on rental table tops if a request is made in writing

No strong adhesive tape may be used on any surface of the Garden, including the floor. All other requests for décor or tents must be pre-approved by the Event Manager to ensure that damage to delicate or rare Garden materials is prevented. DELIVERIES Prior notice is required for all pre-event deliveries. Please contact the Event Manager to make arrangements. The Garden is not responsible for Pick-up must be arranged prior to Garden re-opening for the next day. GARBAGE/RECYCLING All garbage and recycling must be removed from the premises before the building is vacated, by either the renter or caterer. Failure to do so will result in a $50 deduction from your deposit. GARDEN DOCENTS A Garden docent can be added to your event for $100 per docent. Docents convey the depth of the Chinese Garden to your guests by leading a tour or mingling with the guests and being available to answer questions for up to two hours. GLASSWARE & CHINA Because the Garden has intricate inlayed mosaic pathways throughout, all of our approved caterers use high grade acrylic and plastic serviceware for beverage and food service. Stainless flatware is permitted. China and glassware may be used only in the Hall of One Hundred Rivers. All requests for glassware & China must be pre-approved by Event Manager to ensure that damage to delicate or rare Garden materials is prevented. GUEST ARRIVAL Guests enter through the main entrance to the Garden and exit the facility through the Eight Treasures Shop for daytime events. SECURITY For events that take place outside of the Garden s regular operating hours, security must be hired from the beginning of the event to the end. SET-UP & TAKE-DOWN Event set-up and take-down is included in the rental period. An additional fee will be applied period. Evening rentals must shut down the bar and music at midnight and be out of the Garden no later than 1:00 am. SITE VISITS Site visits for clients and vendors are provided at no cost with advance notice. Unscheduled visits without prior notice require regular Garden admis- sion for entry. SOCAN Events with music and/or dancing must pay a SO- CAN royalty fee. Please contact the Event Manager or visit for more information. SOUND SYSTEM The Garden has speakers and a microphone that may be rented for $100 and a projector and screen that may be rented for $100. PARKING Metered street parking and pay parking lots are available in the immediate vicinity of the Garden. The nearest pay parking lots are located on Keefer at Columbia Street. If taking public transit, we are located near the Stadium/Chinatown Skytrain Station. PETS No pets are allowed in the Garden except service animals, with prior consent from the Garden. SMOKING The Garden is a non-smoking facility. A smoking area outside the Garden is available upon request.

9 DR. SUN YAT-SEN CLASSICAL CHINESE GARDEN WEDDING RENTAL GUIDE 9 BOOKI A EVENT 1. Contact the Event Manager to confirm availability, discuss your event details, rental fees, and all other options. We are unable to hold a date until a contract and deposit are in place.. When you are ready to book, the Event Manager will your contract. The contract needs to be signed and submitted with a deposit equivalent to 50% of the basic rental fee to hold the event date. 3. Once the contract and deposit are received, the event is confirmed. 4. Event Liability Insurance is required for all events and may be purchased through SBC Insurance. A copy of the insurance policy, with the the insured must be provided to the Event Manager 30 days prior to the event. Insurance can be purchased through SBC Insurance or the Renter s insurance agency. 5. For any events which have liquor being served, a copy of the Special Occasion License must be provided to the Event Manager 30 days prior to the event. 6. The full payment of rental fees is due to the Garden 30 days prior to your event. 7. The deposit, minus any additional charges will be returned by cheque to Dr. Sun Yat-Sen Garden Society of Vancouver named as an additional
