Set-up fees may apply. See Theatre page and ask Facilities Coordinator for more information. All rentals must work around the exhibits installed in the galleries. The Executive Director and the Gallery Administrator must approve any exceptions in advance. The Client and/or their guests will not touch, handle or move any artwork in the galleries. Rental fees include a professional kitchen for use by the caterer of your choice. WCFTA staff will set up all tables, chairs or equipment unless you are renting equipment from an outside vendor. In the case of renting from an outside vendor, the Client is in must make arrangements with the vendor for set up. WCFTA staff will not be available for additional set-up during the course of the event. The Gallery Administrator and the Facilities Coordinator must approve all decorations, lighting, catering or equipment needed for the event. Therefore, the Client must meet with the Facilities Coordinator three weeks prior to event to discuss decorations and to schedule all deliveries and pickups. All alcoholic beverages MUST be served by a traveling liquor licensed bartender. Proof of certificate is required. The use of kegs is prohibited. WCFTA will provide a licensed security guard at a fee of $36 an hour for rental events. The Client will maintain insurance in accordance with the terms of the Rental Agreement. The Client must submit a Certificate of Insurance one week prior the event; failure to do so will result in cancellation (see page 5). All of the Client s possessions must be removed the day or evening of the event unless scheduled with the Facilities Coordinator. WCFTA will not be responsible for paying any personnel, other than WCFTA staff. Sale of any items belonging or related to the Client is strictly prohibited. No lit candles are allowed anywhere on the property. Also, small particles such as sand, glitter, rice, etc., are not allowed. WCFTA is a smoke free facility.

Theatre Rental Details WCFTA s technical staff must be present whenever the Client is occupying the theatre, during setup or rehearsal for the event, and for the event itself. Sound technician fees can vary based on the time and date of the event, but will usually range between $30-60 per hour. This is not included in the rental rate. Number of light/sound technicians to be determined by the Facility Coordinator and Executive Director. All theatre equipment must be set-up and run by WCFTA Theatre technicians. Client is responsible for obtaining and paying for any equipment needed outside of what is provided at WCFTA. WCFTA Theatre Technicians will not be resposnible for the operation of outside equipment. Outside equipment must be approved by Facility Coordinator and Executive Director. Any equipment or items brought in for the event must be removed at the end of the event unless prior arrangements are made. WCFTA is not responsible for any recording, video taping or photography of the event. No painting, installation or physical changes can be made without the consent of the Facility Coordinator. If changes are made, the cost of restoring the space to its original condition is the responsibility of the Client. All schedules for load in, rehearsal and performance must be made through the Facilities Coordinator and cleared with the Executive Director. All box-office setup is the responsibility of the Client. WCFTA is not responsible for any cash that is used or taken before, during or after the event. WCFTA will provide a licensed security guard at a fee of $36 an hour for rental events. No food or beverages are allowed in the theatre without prior approval from WCFTA. The Client must abide by existing fire codes and maximum occupancy restrictions. 4 Adult Private Painting Party Rentals Guests Time *Rates Adults (21+) Hours $25 per Guest, Minimum of $250 *Rates are subject change Adult Painting Party Details Enjoy a fun evening of painting while sipping the beverage of your choice and expressing your creativity! With step by step guidance from the instructor, you will recreate a pre-selected painting (see suggested options at wcfta.com) but in your own way. No previous painting experience is necessary. At the end of the night you will get to take your masterpiece home with you. Guests are welcome to bring their own party snacks. All you need to do is bring yourself, a couple of friends and your own bottled beverage of choice. All adult private parties will be subject to a 10 painter minimum and cost $25 per painter. Parties in which attendance does not reach the 10 painter minimum are still required to pay the $250 minimum fee. Total expected number of painters should be provided to WCFTA seven (7) days before the event date. For additional painters attending the event, above the number provided, the Client will be charged $30 each. Private parties are typically held Monday Saturday at 7:00 p.m., but call ext. 219 for more details. Request form must be submitted three weeks prior to the party date. A $125 booking fee is due at time of booking and goes towards the party s final total. Due to the structured nature of Private Painting Party Rentals, no security deposit is required. 5 Youth Private Painting Party Rentals Guests Time *Rates Kids (ages 5-15) Hours (Up to 30 Minutes for Setup, at least 1 Hour of Painting, up to 30 Minutes for cake/presents/snacks) $25 per hour and $15 per guest. Parties with less than 10 painters will still be charged the minimum 10 painter fee. *Rates are subject change Youth Painting Party Details In a youth private party, our instructor will provide step by step guidance on one pre-selected painting (see wcfta.com for suggested images) and will encourage each child to paint it in their own way. At the end of the party each child will have their own masterpiece to take home with them! All you need to bring are any treats and decorations you would like to provide. For a child s Birthday party we typically paint for the first hour and the remaining 30 minutes can be used for cake and presents. You will have up to 30 minutes for set-up (including decorations) prior to the start time of the party. Youth private parties are for ages 5 15 and require a 10 painter minimum at a cost of $15 per painter. Parties in which attendance does not reach the 10 painter minimum are still required to pay the minimum painters fee. Private parties also require a $25 per hour fee and are typically held on Saturdays, but call ext. 219 for more details. If a clay activity is selected and you choose to have the clay creations fired that were made at the party, there is an additional $5 per piece charge and this payment is due at the time of pick-up (5-7 business days after party). Capacity Dimensions *Rates (10am-11p.m.) The sculpture garden features granite benches and a pool highlighting two porpoise statutes by Robert Byron Gottschall, decorative gates by Chris Brunner. 150 Varies $750 Sculpture Garden Details WCFTA s tables, chairs and equipment will not be available for outdoor use. The Client is responsible for providing and setting up all tables, chairs or equipment for outdoor events. Your planned set-up must be approved by the Executive Director and the Facilities Coordinator. WCFTA staff is not available for additional setup during the course of the event. The Executive Director and the Facilities Coordinator must approve all decorations, lighting, catering or equipment needed for the event. The Client will not have access to WCFTA s kitchen, or inside restrooms. There is one unisex restroom located in the education courtyard, please plan accordingly. Client is responsible for arranging additional trash containers or portable restrooms from vendors. WCFTA is not responsible for an in case of rain plan. In case of rain plan must be discussed with Facilities Coordinator. All of the Client s possessions must be removed the day and/or evening of the event unless other arrangements are made with the Facilities Coordinator. The Courtyard features a reflecting pool. 8 2016 Insurance Requirements The Wichita Center for the Arts requires the Client to have insurance coverage for the day of the event. The Client must submit Certificate of Insurance one week prior the event; failure to submit the Certificate of Insurance may result in cancellation. Client, at its expense, shall maintain plate glass and public liability insurance including bodily injury and property damage insuring Client and WCFTA with minimum coverage as follows: Minimum Requirements for Certificates of Insurance Commercial General Liability Bodily Injury & Property Damage $1,000,000 each occurrence $2,000,000 aggregate-products $1,000,000 personal and advertising injury $2,000,000 general aggregate $ 100,000 damage to rented premises (ea. occurrence $ 5,000 medical expenses (any one person) The Wichita Center for the Arts, Inc., its agents, directors and officers, servants and employees named as Additional Insured. User s insurance is primary with respect to any insurance or selfinsurance program as maintained by The Wichita Center for the Arts, Inc. Steps to Securing A Date: 1.
