Everyone will be covered as long as they are on the Trip sheet - Is there an Age limit like the previous insurance? Bayside Offroaders - PDS is still being constructed and will be disturbed as soon as we have it - Insurance should have been set a long time ago - Process started 9 months ago. As we pushed them, Tony was the only person who was allowed on the committee who was able to help - Insurance is cheaper as we have bigger buying power Hall Ashley Rogan - Nothing new has happened over the last month Public Relations - Not in attendance Evan Gill ICT Miles Brennan - There have been issues, please make sure you update the s. s are being culled due to high bounces that stop all s to go through. If your mail boxes are full, please empty as this will course it to bounce as well
3 Modifications Miles Brennan - ADR 42 covers bull bars laws they are relaxing. State law is tighter, and was revoked by public standards. They put it to the public but there was not a lot of communications so they took it off the standard so now can not address appropriately, the is no valid standard but legislation directs to this. 4WD Australia Dave Duncan - Been quiet over the last month. Working on the finalisation of the insurance. General Business - The meeting was opened with the special resolution options. o Majority of the vote was no to both o Clubs must be financial by the 30 th June to be insured o Other insurance brokers will change upwards of $100 o Some clubs have voted no as their fees are already set and paid and members wont be changed until the AGM o Need to have a compromise to the services the Clubs want o Anton will go to any Club that wants training, but they need to request it o Some Clubs had to wait till the next meeting to be able to vote as per their constitution o How long will the hall be under lease? 4 years. The hall been a huge increase in costs, in the last 4year lease it was agreed to spend $70, Clubs use the hall. Training is done in the hall. There are office documentation and equipment that must be held. Meetings need to be held. Hall is not central. We do not receive much income for the hall, though it is slowly increasing. We pay no lease fee on the hall. We don t pay a fee, our cost is the maintenance on the hall. The grants are specific to the hall, it must be spent on the hall, receipts must be presented. The current committee inherited the hall from the previous committee. Clubs can go for their own grant, a lot of paper work but worth it. There was a national council meeting a while ago and 4WD Victoria were very impressed by the hall standards. - 9 Strategic we new there was to be a big change but didn t know where to start. They gave us the grant guru guy. They opened communications for us including Parks. Opened up the line of communication so we could complete the collaborative agreement. Spoken to the top people now starting to talk to the rangers. HQ Plantations, looking at an association paying a fee instead of each club paying a permit. We are encourage now to go to the parks, they just need two weeks notice. Police, transport people and cameras are monitoring the park to catch the people who are not paying.
4 - New resolution tabled o There are two resolutions as the previous two were dismissed. Shane put it to the floor if they would like a 3 rd resolution to add What if we pay the $8 fee and pay the $15 membership fee and once the special resolution is finalised the extra is to be paid Can not do this as per our constitution On the 2 nd have the fee for two years and the second fee for the following two years $30 fixed for two years which includes ANDWFC fees no increase Rick moves a mortician for $30 Richard Second o All in favour What if we wait till next year to increase? Training and secretarial services would be cut as there is no money available now $35 fixed for 2 years included proposed by the members from FUZE Moved CT 4x4 - Ash Second Sunshine Coast Land Rover All in favour besides a handful from the floor o As an association, there are areas that need to be cut. The special resolution is to find out what the clubs want from us and what they are prepared to pay. o General Manager Victoria have a general manager who have clear KPI s and they go directly to the governments and suppliers to get funding. $70,000 annually, eagers Holden happy to provide a marketed vehicle as part of the package. o Aim over the next 6-12 months move away from the secretarial services provided and employee an outside person who will do arround 15 hours a week. o Raffle Fell over did not work Total income was $4673 Why was a Jet Ski used? Felt like it wasn t associated. Lent heavily on 9 Strategic and they said it would be very easy to sell compared to a camper trailer. This raffle was agreed at the presidents meeting. Has been a big learning curve o Issues with the prospect of an increase every year o What about an increase next year? Training and secretarial services would be cut o The table attached is suggestions on what we can increase o Special meeting will be on the 18 th May 2017, move the reps meeting forward as well Next Representatives meeting 18 May 2017 Meeting closed at 10:14pm
