5 WANGKA MAYA CONFERENCE ROOM CONDITIONS OF HIRE Conference Room Guidelines & Rules Room Access WMPALC Conference Room is accessible during normal business operating hours (Mon to Fri ) Office will be closed on Public Holidays. Access to the WMPALC Conference Room outside normal business hours need to be discussed with management and are subject to availability. Room must be fully vacated at close of business. Bookings & Payment Payment options are to be discussed with Administration Officer once booking has been confirmed. Bookings should be made via phone, or in person to check availability for the date/s you are requesting. Cancellation fee will apply when less than 24hrs notice is given and will be charged at the full rate. Displays & Signs No items are to be nailed, screwed or adhered in any way to any wall, door or any other part of the building unless WMPALC grants prior permission. Damages & Loss Damages that occur during the use of WMPALC facilities will be charged to the individual/organisation that has made the reservation. This includes damages made by the organiser, guests, invitees or any other person attending the event. Whilst every care is taken by WMPALC in looking after their clients & their belongings, unfortunately the centre cannot take responsibility for the damage or loss of any items before, during or after the event. Car Parking Complimentary car parking is provided which is located at the rear of WMPALC. WMPALC is not responsible for any loss or damage sustained to vehicles utilising this area. Children Children must be supervised by an adult at all times. WM staff will not be held responsible for any children that are left unattended by users of the conference room.
6 Catering Catering must be arranged by the organisers of the meeting as WMPALC does not offer catering services. Use of WMPALC staff kitchen facilities must be requested prior to the event. Coffee Machine Complimentary tea & coffee is offered. The Coffee Machine however, must not be used unless the organisers of the event have agreed to pay costs associated with the coffee machine. Cleaning Please leave Conference Room as it is found. If furniture is rearranged, it should be returned to the original arrangement at the end of the meeting. General tidy up required at end of event (Removal of rubbish / wipe down benches). General Safety Information Keep all exits clear and unlocked to provide clear access in the event of an emergency. Smoking, alcohol and any form of open flame (candles, incense etc.) are strictly prohibited. A First Aid kit is located in the main building. Anyone who needs First Aid can ask for the Safety Officer or the Manager at reception. Please report any incidents or potential hazards (including spider or snake sightings) to the Manager or Safety Officer. A small fire extinguisher is located in the conference room, on the wall near the coffee and tea area. In case of fire, please leave the building and go to the MARSHALLING AREA: Aboriginal Medical Service fence across the road from WM.
