1 Co-President 3 Act as spokesperson 3 Plan and run Executive meetings 3 With the Executive, determine and communicate goals and objectives of the association 3 Liaise with Principal 3 Liaise with Board s Parent Liaison Committee 3 Consult with Treasurer, Secretary, General Meetings Coordinators Operations, Communications, Funding, and Class Reps on an ongoing basis 3 Receive issues from parents at large and plan how to deal with them Treasurer 3 Propose, with Co-Presidents, an annual budget (financial plan) for review by the Executive 3 Bookkeeping Duties 3 Write cheques 3 Bank money 3 Preparation and submission of documentation associated with Charitable Organization status 3 Cash and Investment Management 3 Implement Financial plan as determined by the Executive 1
2 Secretary 3 Facilitate arrangements for Executive and General meetings 3 Take and distribute minutes 3 Keep past minutes, copies of Constitution, other historic documents 3 Receive and respond to official mail on advice from the Co-Presidents Operations 3 Overall arrangements for events during the year 3 Develop and review budget for hosted events 3 Keep track and store UTSPA supplies (Room 107a, etc.) 3 Deploy grade reps for the events 3 Report to Executive Committee after each event 3 Directly coordinate hosting events 2
3 Communications 3 Determine content of communications with Co-Presidents and Executive 3 Prepare and distribute communications for the full parent population: s, posters at events, entries in Handbook, etc. 3 Liaise with Leaflet administrator for content related to UTSPA meetings and events 3 Coordinate with Administration both logistics and communication content 3 Maintain lists and tools to accomplish this Funding 3 Seek and coordinate funding committee members as necessary 3 Receive requests for funds 3 Evaluate and recommend (or not) expenditures for approval 3 Present motions for approval of all expenditures at Executive meetings 3 Present Executive approved motions >$1500 for approval at General meetings General Meetings Coordinator 3 Propose 4 events per year, of interest and benefit to the parents of UTS, with the input of the Executive and the Co-Presidents 3 Plan, coordinate and execute the events 3 Attend and host the event 3 Coordinate other parents, guests and any students helping at the event 3 Coordinate with Operations if required 3
4 Grade Reps 3 Coordinate the hosting event for the year, including 3 Getting food and supplies 3 Setup 3 Attend the event 3 Cleanup 3 Coordinate other parents and any students helping on this event 3 Complete the event report 3 Liaise with Operations 3 Plan and execute a grade wide social event 3 Receive issues, concerns and opportunities from parents in their grade 3 Consult with parents in their grade on behalf of the UTSPA, from time to time 4
