1 June 12, 2017 Dear Outside Concessionaire, In past years you have applied for/or had a concession space at the Carp Fair. Because of this fact, we are giving you the opportunity to have a display at our 154 th Fair to be held on Thursday, Friday, Saturday and Sunday, September 21 st 24 th, PLEASE NOTE: In order to discuss any planned or upcoming changes, the Carp Fair held an open house for all vendors on Tuesday May 16, The primary discussion for the evening relates to an adjustment in alignment which will result in some location changes for vendors. The Carp Fair will do it s best to minimize any disruption to locations however please come prepared for some adjustment from previous years. Please be advised that you are not guaranteed to be in the same location as previous years. The location of all Concessionaires is at the sole discretion of the CAS Directors. Additionally, in an effort to support the growth and sustainment of the fair industry in Canada, Carp Fair is one of many major fairs to join the Canadian Association of Fairs and Exhibitions (CAFÉ) levy program. A $20.00 levy fee will therefore be charged per concession to anyone who is not a member in good standing with the Canadian Association of Fairs and Exhibitions (CAFÉ). These funds are transferred directly to the federal association to administer and promote the fair industry in Canada. Concession space starts at 10 & 20 feet frontage and can be increased in increments of 10 (ten) feet. If you have a trailer, which is part of your concession remember to allow enough space for the hitch All guy wires, tent pegs, etc. must be completely contained within your space No cables are to be buried across roadways and it is the responsibility of the concessionaire to provide their own approved rubber mats for electrical cables OUTSIDE space is $22.00 per linear foot of frontage. Outside space depth ranges from feet deep, depending on the location of the space. In some instances more depth is available and depth of more than 15 feet will have a premium applied to it. For depth greater than 15 feet, the depth premium will be $50.00 per 10 feet of frontage. For example, a standard concession space would be $22 x 10ft = $220 + HST. A concession space with 10 feet frontage but with depth beyond 20ft would be $22 x 10ft = $220 + $50 (Depth Premium) = $270 + HST. If Hydro is required, it is available at an additional cost of $60.00 plus 13% HST. This entitles you to one 15 amp, 120 volt plug-in per concession. If you require more than 15 amps of hydro, please let us know in advance so that we can check to see if it is available. Anyone booking more than 20 must purchase additional hydro. 2 RV Parking is available for any vendor who wishes to bring their RV for the week-end at a cost of $ It is mandatory that full payment be made with the return of the application. Any application received without payment will not be processed or allotted a space until payment is made. Please remember to add the 13% HST to your cheque. CAS will also be happy to accept your payment by Master Card or Visa. Please call with your credit card number if this is your preferred form of payment. The Carp Agricultural Society does not provide tables or chairs for concessionaires. CHEZ LILI at (613) will be happy to provide you with any of your needs such as tents, tables, chairs, or carpeting. Please give them a call before Friday, August 4 th, 2017 to ensure your needs are met. We ask that if you are interested in being part of the 154 th Carp Fair, please return a copy of your application by Friday, July 7 th, 2017 with payment, to the address above. The Carp Agricultural Society is not responsible for loss or damage to your products. 5 OUTSIDE AND INSIDE CONCESSION INFORMATION *PLEASE READ CAREFULLY* ** SET UP TIME FOR CONCESSIONS IS THURSDAY, SEPTEMBER 21 ST, FROM 1:30 P.M. 6:00 P.M. IF YOU ARE NOT SET UP BY THURSDAY EVENING AT 7:00 P.M. THE OFFICE WILL BE CLOSED; WE WILL BE PLEASED TO HELP YOU FIND YOUR LOCATION ON FRIDAY MORNING AT 8:00 A.M. 1. OUTSIDE CONCESSIONS are available in increments of 10 feet, and can be increased in increments of 10 feet only. 2. INSIDE CONCESSIONS are available in increments of 10 feet, can be increased in increments of 10 feet only, and are approximately 10 feet deep. 3. YOU MUST BE SET UP FOR ALL THREE DAYS OF THE FAIR; however, Thursday evening is optional. 4. All vehicle traffic to the buildings will be stopped by 9:00 a.m. on Friday, Saturday, and Sunday. 5. The cost for OUTSIDE SPACE is $22.00 per linear foot frontage and $60.00 for hydro for the three days (if required) plus 13% HST. Depth over 20ft will be charged a $50.00 premium for every 10ft of frontage. The cost for INSIDE SPACE is $25.00 per linear foot frontage and $60.00 for hydro for the three days (if required) plus 13% HST. The cost for RV Parking for three days is $ ONLY SIX (6) DAY PASSES PER CONCESSION WILL BE GIVEN OUT. Additional Weekend Passes may be purchased from the Fair Office, for $30.00, prior to the Fair. 7. Carp Agricultural Society does not provide tents, tables or chairs for your concessions.
