2 SECTION ONE The Basics SUNTARI.Net What is it? Every organization has a need to store data, automate, streamline procedures and reduce manual processes in order to gain efficiency, increase profits and reduce expenses. SUNTARI is our answer to this basic need. SUNTARI was born out of the desire to house merchant data in one central location and enable users to access the data from any location. SUNTARI was built in a modular fashion so that additions could be made over time to increase the functionality and make an ever changing, ever growing, ever adapting system that will continue to be what we all need it to be. Every feature and function has been carefully designed and engineered to match the needs of our specific industry and specific to the department needs within our organization. As users become familiar with the features of SUNTARI, suggestions are made for additions or changes to the functionally. The IT Department evaluates all suggestions and most get added to the SUNTARI Development Team project list and will in fact become part of the software feature set. 3 SECTION ONE Security What you see and what you don t In an industry like ours, it is obvious that we handle highly sensitive data and it goes without saying that we should stand out in the crowd as being compliant. Given that, we go above and beyond when it comes to security when providing access to SUNTARI. We exceed expectations. Access to SUNTARI can be given to many, but what you see and don t see depends on who you are and your purpose for entry. We provide access for FrontStream staff in a variety of manners. If you are an underwriter, you may have one set of permissions that will allow you to see and have access to credit data, SSN, dates of birth and other sensitive data. If you are a customer service representative, you will not have access to credit data for example. In a particular position, you may have access to view specific data but cannot modify data. This is the case with all outside agents. A limited viewing privilege with no modification ability is granted. This allows monitoring options but no ability to change data without prior authorization. Every user has an additional level of security above the user/position level. Which is based on relationship. This relationship level allows Managers to be attached to those accounts/reps being managed and therein providing reporting options. This also allows the access by outside agents to view only their accounts upon entry and not those of others. However, if an outside agent is managing another outside agent and that relationship is created within the system, the managing agent requires the ability to view both sets of accounts. This access is provided based on this relationship level. In all, the ability to track/maintain/report for 12 relationship levels is possible within SUNTARI and 9 of these levels can hold a monetary value, if necessary. Hierarchy How to determine who eats first and how much they eat? So to speak anyway Unlike other database systems in the payments industry, SUNTARI is unique in that it will accommodate tracking of residual hierarchy and payout for 9 levels and will report for an additional 3. This allows a total of 12 relationships that can be attributed to each and every merchant record within SUNTARI. The rules of Hierarchy in SUNTARI can deviate slightly with a given scenario but the basic rule set is as follows: ISO The ISO is the Independent Service Organization usually comprised of multiple Merchant Level Sales Representatives and service staff that generate merchant services business and place business with FrontStream. The ISO has an ISO agreement with FRONTSTREAM (or requires ISO level reporting) that includes a Schedule A (specific buy rates) and MLS Reps under the ISO are paid directly by the ISO rather than by FRONTSTREAM. 3

4 SECTION ONE FRONTSTREAM will report activity at an MLS Rep level so that ISO s can provide payout according to the business that has been directed to FRONTSTREAM. MLS Rep AGENT MANAGER DIVISION MANAGER VAR The MLS Rep is the Merchant Level Sales Representative who sold the merchant account/payment gateway services. This is the writing agent on the account. This MLS Rep has an Agent agreement with an ISO or directly with FRONTSTREAM with a Schedule A that contains a specific set of buy rates. The AGENT is a representative that has a relationship with an MLS Rep in which the AGENT receives an override on all MLS business. For instance, if one MLS Rep refers another MLS Rep directly to FRONTSTREAM, the first MLS Rep might be entitled to receive an override on the second MLS Reps business. In this scenario, the first MLS Reps name would appear in the AGENT box. The AGENT can be a single person, company or entity. The AGENT does not have a Schedule A specific to the AGENT relationship. The AGENT level offers a specific set of reports to ISO for tracking. The position of MANAGER is specific to a PROGRAM. The MANAGER receives a PROGRAM override. This might be used in the scenario where the PROGRAM is specific to a VAR and there is a MANAGER to oversee that leads are handled properly. This MANAGER would receive a monetary amount in the form of an override. This can also be used as a place holder for a MANAGER for reporting purposes with no monetary amount given. In some rare instances, if the AGENT box is being used for a record tag only (legacy data) the MANAGER is an MLS override. The DIVISION MANAGER is one that is specific to a PROGRAM or ISO. A DIVISION MANAGER oversees the PROGRAM or ISO relationship and a monetary value may or may not be assigned to that responsibility. The VAR refers to the Value Added Reseller. This VAR relationship is usually with a large group/organization/company that has the intent to send large volumes of business to FRONTSTREAM. The VAR agreement is provided and includes a specific Schedule A for the services referred by the VAR to FRONTSTREAM. For instance, GoDaddy is a VAR of FRONTSTREAM. Go Daddy refers their customers to FRONTSTREAM and we quote them rates based on the Go Daddy VAR Schedule A. AFFILIATE (1,2,3,) The AFFILIATE is a lead source. This lead source does not hold a Schedule A contract and only receives a flat percentage of residual for the merchants that are referred. The AFFILIATE levels can be 3 tiers with AFFILIATE 1 as the lead source, AFFILIATE 2 and AFFILIATE 3 are the overrides. AFFILIATE 2 and AFFILIATE 3 options are not currently utilized in the FRONTSTREAM system. 4

5 SECTION ONE REFERRER PROGRAM This a free fill box that allows the MLS Rep to enter the name of a person or company that referred the business. This box is used for one time referrals, temporary assignment of a VAR or Affiliate if they do not exist in the drop down at the time of entry, etc. This REFERRER does not output on any reporting and is not a field that can be searched or sorted through the SUNTARI interface. The REFERRER is also not used for tracking any monetary value. The PROGRAM selection on the Merchant Record must be selected to direct the calculations of residual percentages as defined in the contract that holds the buy rates as assigned in the merchant record. PARTNER/ CUSTOMER/ORDER These 3 levels have been recently added as record tags only and these Partners/Customer/Order identification levels have no relationship to FrontStream. These levels are for reporting purposes only and these references have no contract, no schedule A and, no agreement with FrontStream. We pay the ISO/MLS/VAR and provide reporting that includes the Partner/Customer/Order accordingly. These fields will only present themselves in SUNTARI when preprogrammed specific to a channel or VAR. 5

11 SECTION THREE New Deal Sheet What s the goal and purpose? The New Deal Sheet is the beginning point of entry for any piece of new business being submitted through FrontStream Payments that is to be tracked and housed in SUNTARI. The intent of the new deal sheet is to serve multiple purposes: Beginning entry into the system to allow tracking from the moment of entry To reduce additional paperwork required as it replaces equipment request forms, additional setup forms and fax cover sheets that often include account set up instructions Notification to underwriting that the application has been submitted Creates a merchant record so that documents can be uploaded for underwriting The New Deal Sheet Entry is typically done by the sales representative that writes the deal or completes the application. The new deal sheet entry can be done by others, however, selection options are preset upon entry based on user, so if the deal sheet is done by someone other than who wrote the deal, options will need to be selected that ensure proper tracking for relationships and hierarchy. The New Deal Sheet is broken into 6 quick and easy steps that take no more than 5 minutes to complete from beginning to end if all necessary information is readily available. Again, new deal sheet entry will always be easiest by the person who sold the deal as questions are specific to account set up. From the HOME screen of SUNTARI, click on the NEW DEAL SHEET. This option will immediately open to Step 1. 2

12 SECTION THREE You will begin the deal sheet by selecting the appropriate hierarchy as it pertains to the deal if you are unsure of any of the hierarchy, indicate the writing agent as the MLS Rep and indicate the referral sources in the REFERRER box and the remainder will be completed by accounting at the time of approval. As you can see below, the New Deal Sheet will identify you, the user as the MLS Rep, if you in fact, appear in this dropdown menu. If you are not an MLS, you will need to select the desired MLS that is responsible for writing the account being entered. As much information as possible should be completed in the top hierarchy section to ensure proper tracking. Contact Information 3

13 SECTION THREE The information that follows on Step 1 should be taken directly from the Merchant Application. Company DBA Name as it appears on the merchant application (please do not use all caps or special characters) Legal Address full physical address as it appears on the application Legal Address line 2- this space is provided for apartment number, suite number, floor, etc. City, ST, ZIP as it appears for the Legal Address on the merchant application Phone number for physical/legal location enter numbers only including area code, SUNTARI will enter the dashes as you type Website please include the full url of the registered domain for the merchant Fax as it appears on the merchant application Check the box provided to make DBA Address information same as legal if you check this box, SUNTARI will auto fill the DBA address information to match the Legal Address information. Primary Contact Location the location at which the Primary Contact person can be found, either legal or DBA address Primary Contact this does not have to be the owner but should be the person with which the sales representative made negotiations and whom is aware of purchasing decisions regarding merchant services - provide first name, last name and address Mail to what address would the merchant like to receive all correspondence including merchant statements - legal or DBA address Training Contact - if the merchant is to receive training regarding terminal usage, gateway setup or other training information - include first name, last name, phone number and address of training contact Acquirer with which relationship are we placing this merchant, select the acquiring bank from the dropdown menu Account Type what type of account is to be set up for the merchant, select correct option from the dropdown Front End Network what is the preferred front end network for this merchant many of these are defaulted based on Acquirer but options do vary based on the needs of the merchant Once the first page has been completed, click Go to Step 2 Step 2 As you can see, Step 2 presents two very simple options. 4

14 SECTION THREE Are we setting up Equipment for the Merchant? Yes or No Are we setting up a gateway for the merchant, Yes or No If we are doing a swap or reprogram, select Yes for this option as well. If the merchant already has a gateway or has purchased it elsewhere, you may select gateway = yes and then on the subsequent options indicate that FrontStream is not providing the gateway. Once the above options are selected, the page will expand and more options will become available. This page now represents what many refer to as an equipment request form. If the Merchant already owns their terminal, are we doing a reprogram or equipment swap? If the Merchant is purchasing new equipment, who should provide the equipment, FSP office or will Sales Rep office provide? This option is used when outside ISO s/agents fulfill their own equipment orders but we need to provide download information. In order to properly set up equipment as to the needs of the merchant, please use the radio buttons to indicate download information, connection type and special prompts. 5 The Header and Footer for the merchant terminal receipt will default to the DBA name and Address, if the merchant has requested alternate information, please indicate this in the Header/Footer sections.

15 SECTION THREE Shipping information if the representative would like other than ground shipping of the terminal, please indicate this with the radio options and indicate where the terminal is to be shipped - to merchant or to the sales representative. Equipment and Accessories The deal sheet will allow the user to select the type of equipment to set up for the merchant. Multiple pieces of equipment can be added per merchant. o Choose Equipment or Accessory from the Add New dropdown o Choose the equipment or accessory name from the dropdown - if the equipment type or accessory is not listed, use the other box to indicate the equipment name o Choose the quantity from the quantity dropdown o Select Add. This will enable subsequent equipment/accessories to be added. 6

16 SECTION THREE Step 3 Gateway Options and Price Plan If the gateway option is selected, choose Gateway name from the dropdown menu and then proceed. This will present Step 3 of the New Deal Sheet Enter the price plan presented to the merchant for the desired gateway. Indicate the monthly recurring fee to be charged to the merchant for gateway services Per Auth/Per Settle/Recurring some gateway options will break these options out while some gateways only charge for the Per Auth or Per Settle transaction. If you wish to only charge for the per auth transactions, enter a fee only in the Per Auth box and leave others set to zero. For example, ArgoFire gateway merchants are charged Per Auth and thus, the fees per transaction should be entered in the Per Auth field only. VeloCT merchants can charge separate fees for all three transaction types so fees could be entered in all 3 fields. Indicate whether the merchant has a shopping cart or will have a custom integration to the gateway If integrating to the gateway is selected, is there a specific integration contact person that we will need to be aware of and if so, please indicate the first name, last name, phone number and address for integration contact. After completing the information specific to the gateway options, you may proceed to Step 4. Step 4 Pricing and Equipment billing If a Merchant has purchased a piece of equipment, been charged a license fee for the gateway, has agreed to a lease or the sales representative has collected fees or a promise to pay fees of any sort from the merchant in the form of a Payment Auth Form, please use Step 4 to indicate how this money has been collected. This will alert the accounting 7

17 SECTION THREE department that there are equipment fees associated with this merchant. These are not required fields and can be skipped. A Payment Auth Form is required to charge the merchant via ACH or Credit Card for services. Step 5 Volume and Required Documents 8 Indicate whether the merchant is processing currently yes/no What is the requested monthly volume of the merchant enter this value as a whole number, no decimal point What is the average ticket enter this value as a whole number, no decimal point

18 SECTION THREE The next section is not required but provides the sales representative or user with a check and balance system of sorts to go through the application and check for completeness and indicate what documentation will be provided at the time of application submission. Not all of the documents in the list are required but may be provided depending on the merchant. 9

19 SECTION THREE Underwriting/Special Requests Does the merchant have an existing AMEX number if so please indicate number. If not and the merchant wishes to apply for AMEX, please indicate and be sure that merchant application is signed appropriately. Does the merchant have an existing Discover number if so please indicate number. If not and the merchant wishes to apply for Discover, please indicate. High Ticket indicate the high ticket amount from the merchant application Dual Checking Accounts this is used to indicate that the merchant has dual checking accounts that will be used typically one is used for deposits and one is used for withdrawals, this option is not available with all processors Current Discounting Method indicate whether the merchant is currently on monthly or daily discounting Requested Discounting Method indicate whether the merchant is requesting daily or monthly discounting, this option is set to a default option with many acquirers and must be requested and approved at the time of submission Statement indicate whether the merchant wants online/paper statements or both Additional Services Check Services Does the merchant have existing check services, do they wish to apply for check services or do they not want check services. If the merchant has selected check services, indicate the name of check service provider and service requested. Gift Card Services Does the merchant have existing gift card services, do they wish to apply for gift card or do they not want gift card services. Debit Services Does the merchant have existing debit card services, do they wish to apply for debit card services or do they not want debit card services. If the merchant has selected debit card services, list the name of the Pin Pad requested or being used and indicate whether a Debit Addendum (if applicable to acquirer) has been supplied Level 2 Processing Does the merchant require Level 2 Processing setup if the merchant is processing business to business transaction and is prompting for tax amount and purchase order number then Level 2 processing may be available depending on acquirer. Notes Any additional information that has not already been communicated through selections on the deal sheet can be entered into the notes section of the deal sheet. These notes will be transferred to the permanent record for the merchant and will be viewed by all who have access to the merchant record in the future. Finalize Once all items have been completed, select the finalize option this will present Step 6 of the New Deal Sheet. Step 6 Review and Print Once finalized, the New Deal Sheet will be displayed as entered by the user in the browser pane of SUNTARI. The information as entered can be reviewed and printed if desired by the representative for file maintenance purposes. It is not necessary to print this but some representatives will print the deal sheet and use it as the cover page when faxing in the merchant application and required documentation. Again, printing this page is not required. 10

22 SECTION FOUR Merchant Record Profile Search options Once the New Deal Sheet has been completed, the merchant record has been created. If a merchant has completed an online application, the New Deal Sheet is bypassed and a merchant record is automatically created when the merchant submits the application. From the Home screen of SUNTARI, selecting Merchant Record Profile will provide access to the Merchant Records within SUNTARI. Upon entry into the Merchant Record Profile main page, the last 30 merchants that entered the system will be displayed in the browser pane. These merchants are displayed in the order of Sign Date. The Sign Date is the date that the merchant was entered into SUNTARI. From the Merchant Record Profile page, the ability to search by any number of criteria exists. A merchant lookup can be done by Company DBA name or Legal Name by simply entering the merchant name in the first search box. A merchant lookup can be done by Merchant MID number by entering in the full merchant MID number in the second search box. A merchant lookup can be done using any of the options in the Type dropdown box and entering the criteria in the Custom Text search box. The Type dropdown options include lookup by Contact Name, Phone number, Address, City, State, Zipcode, Agent, ISO, MLSRep, Var, Program, Manager, Division manager, Sign Date, Account number, Gateway ID number, Approval Date and address. The search results can be sorted by using the Sort dropdown box and the options include Status, Sign Date, Approval Date Ascending and Approval Date Descending. 2

23 SECTION FOUR Notes Page The Notes page of SUNTARI is used by and accessed by all. This page is automatically updated with system notes when specific actions occur in the system and acts as an event log during the data emtry and underwriting process. The notes page is also used for customer service and technical support notes pertaining to the account. Each time a note is made on the notes page of SUNTARI, the MLS Representative indicated on the main page will receive an with the full content of the note. The Notes page also allows the user to upload documents such as VAR sheets, correspondence, s, etc., as attachments to the notes, to become a permanent part of the merchant note history. Documents Page The Documents Page of SUNTARI is the interface which allows users to upload documents pertaining to the merchant. Each document can be uploaded and separated into the respective folders to allow users by role the ability to access sensitive merchant documents and restrict unnecessary viewing of personal information. The upload option will only allow upload of pdf documents. As a document is uploaded, it is date and time stamped and becomes available immediately for viewing from the documents page. 7

24 SECTION FOUR Merchant Record Business Profile Page The Business Profile Page is the main page of any merchant record. This is where the basic information for any merchant is displayed and contains the primary information entered by the sales rep through the New Deal Sheet. From the Business Profile Page, tabs to reach other pages of the merchant record exist along both the top and left side of the page. The tabs that appear will be specific to user/role/permission level. The information displayed on this page includes: Legal information pertaining to address and contact person DBA information Mailing information Ownership type Tax ID number Contract term Business Profile - % of swipe/moto/internet/manual Acquirer Front End Network Hierarchy Along the left margin of the Business Profile page you can access the following pages: 3

25 SECTION FOUR Bank Account information lists both the general account and routing number, as well as, the trust account and routing number for merchant (if both are applicable) PCI Compliance this page is used to track the PCI compliance status of merchants and includes: o PCI compliance fees o Most recent SAQ filed date o Most recent Network Scan Review Date o Most recent PCI Compliance Date o SAQ required by merchant o Payment application used by merchant if applicable o Scanning Vendor information o Date Penalty fees for merchant will be applied o Date Penalty fees for merchant ended o Notes specific to PCI compliance o Dates and notes regarding automated correspondence sent to merchant regarding PCI compliance Contacts Page The contacts page of the Merchant Record contains the information for the many contacts that are associated with the merchant. The tabs on the left side of the page allow the user to select from Owner 1, Owner 2 and Alternative Contacts.
