Welcome to the Ninth Annual International Energy Psychology Conference! The Association for Comprehensive Energy Psychology invites you to exhibit at the 2007 International Conference, scheduled for April 19-21, 2007 at Westfields Marriott, Chantilly, Virginia. The hotel is located just 7 miles from Dulles International Airport and we have an excellent program planned. We expect over 400 health professionals from around the world to attend this conference. Their backgrounds include licensed psychologists, psychiatrists, physicians, nurses, social workers, acupuncturists, chiropractors, educators, clergy, and esoteric healing arts. Their practices incorporate a variety of energy psychology methodologies. Energy Psychology is a family of novel mind/body interventions that have been consistently clinically observed to help with a wide range of psychological concerns, through treating the human vibrational matrix. This matrix includes the biofield that envelops the body, the energy centers (chakras), and the energy pathways (meridians and related acu-points). Positioned on the shared frontier of Psychology, Bio-Physics and Spirituality, these treatments assist clients in alleviating mind-body distress (traumas, anxiety, phobias, stress, limited beliefs, addictions, etc.) and promoting the high-level mind-body health and peak performance in the physical, mental and creative fields. Exhibit Space The Exhibits will be located in an area shared with the conference bookstore, audio tape sales from sessions, and the continental breakfast, assuring maximum exposure & traffic by attendees. It is strongly recommended that booth personnel be present during all hours the exhibit area is open. Exhibit space may not be shared or sublet without prior written approval from the Exhibit Manager. Exhibit space will be assigned based on a first come, first serve basis and once all applications are submitted. Exhibitor Shipping If you plan to ship anything to the hotel, please make copies of the carrier s tracking/air bill numbers and keep in your possession until you collect your boxes from the Marriott shipping and receiving department. You are limited to 2 (two) registrations at this price. If you wish to purchase a ticket for the Thursday Awards lunch you can do so for $50. Please provide camera-ready b/w art to fit an 8.5 x 11 format (no bleeds; with 1/3 margin on all four sides) of your ad by March 1, 2007. Make sure graphics are easy to duplicate in photocopy format. Send with your exhibit application and payment to the address at the bottom of the application form. Exhibit Space Package Your exhibit fee will include the following: One 8 x 10 table-top exhibit area One 6 table, draped & skirted, one chair, one wastebasket A full-page black & white ad in the proceedings manual provided to all conference attendees Continental breakfast on Main Conference days Name badges for a total of 2 staff to work the exhibit booth only (no conference sessions) Your exhibit fee does not include the following: 110v Power/Electricity in your space. Cancellations before March 15, 2007 are subject to a $150 cancellation fee. No refunds are given after March 15, 2007.
Exhibit Terms and Contract Definition: The acronym ACEP as used here shall mean THE ASSOCIATION FOR COMPREHENSIVE ENERGY PSYCHOLOGY, its officers, directors, employees or agents acting on behalf of ACEP. This agreement is entered into for the purpose of securing exhibit space at the Ninth Annual International Energy Psychology Conference, being held at Westfields Marriott, Chantilly, VA, April 19-21, 2007. Agreement: Each exhibitor, for themselves and their employees, agrees to abide by these regulations and by any amendments or additions that may hereafter be established or put into effect by ACEP. Amendments: Any and all matters or questions not specifically covered by the proceeding rules and regulations shall be subject solely to the decision of ACEP. The rules and regulations may be amended at any time by ACEP provided that such amendments shall not operate to substantially diminish the contract, and shall not operate to substantially increase the liability of the exhibitor. All amendments so made shall be binding on exhibitors with the foregoing rules and regulations. Exhibit Manager: The official Exhibit Manager is Diane Guthrie of Guthrie & Associates Meeting & Event Management, Inc., 10089 La Alberca Avenue, San Diego, CA 92127. These two representatives can be registered for the main conference, breakfast and lunch included, at the discounted rate of $300. Just write Exhibitor on the Registration form and submit with your payment of $300. Space Assignments: Exhibit locations will be determined at the sole discretion of ACEP, based on a first come first serve basis. Consideration will be given to competing companies so as to avoid any conflict. You will receive your exact space assignment upon arrival and check-in with the Exhibit Manager. Exhibitors are responsible for delivery, setup and tear down of their own exhibit. Display height is limited to 6. If you require a wall for your exhibit, please indicate on the application form and we will do our best to accommodate, but can not promise a wall space. Noise Level: Exhibitors who play audio or video speakers must be mindful of the volume level so as not to interfere with other exhibitors. Exhibitors must give notice of plans to use audio or video loudspeakers. ACEP reserves the right to monitor and adjust volume levels as needed. Limitation of Liability: Exhibitors are responsible for their own property and neither ACEP nor the Marriott accepts any liability for loss or theft. Exhibitors must accept the entire responsibility and liability for losses, damages and claims arising out of injury to persons or damage to Exhibitor s displays, equipment or other property brought on the premises of the Hotel, and agrees to indemnify, defend and hold harmless the Conference Management, the Hotel and its owners against any and all losses, damages and claims. Damage to Property: Nothing shall be posted on, tacked, nailed, screwed, or otherwise attached to columns, walls, floors, or other parts of the building or furniture. Any costs incurred in protecting the building, equipment, or furniture from damage will be at the expense of the exhibitor. Exhibitors are liable for any damage caused to the building, floors, walls, columns, or to other exhibitor s property. Decorations: ACEP retains absolute discretion and authority in the placement, arrangement and appearance of all exhibits. Exhibitors may only display products listed on the application. No liability shall be attached to ACEP for costs that an exhibitor may incur in complying or meeting such directives. Rejected Displays: ACEP reserves the right to reject, eject or prohibit any exhibit, in whole or in part. If cause is not given, liability shall not exceed the return to the exhibitor of the amount of rental unearned at the time of ejection. If an exhibit or an exhibitor is ejected for violation of these rules or for any other stated reasons, no return of rental shall be made. Insurance: The Exhibitor understands that neither the Conference Management, nor the Hotel, maintains insurance covering the Exhibitor s property or lost revenue and it is the sole responsibility of the Exhibitor to obtain such insurance.
