PACKAGED spaced includes: 6ft covered table, 2 chairs, trash can and two exhibitor badges. Electrical and Internet service should be ordered through the show decorator, Freeman. Exhibit badges are good for full convention access, with some special training exceptions, which includes expo floor and workshop attendance. If your company will send more then two representatives a fee of $90 each additional representative will apply. REGISTRATION DETAILS Register Early to Save! Register by January 15th to SAVE $150. After January 15th, booth space rates will be $1000. Spaces will be reserved on a first-received, first-assigned basis. T E R M S & C O N D I T I O N S A. GENERAL AGREEMENT The undersigned hereby applies for exhibit space as indicated, for use at the CAMPS Annual Convention held February 26-27, 2013 at the Hilton Irvine Orange County Airport, Irvine, CA. We understand that space will be assigned based on a first come, first serve basis, as explained in the Exhibitor Prospectus. PRIORITY ASSIGNMENT WILL BE GIVEN TO THOSE OUTLINED ACCORDING TO SPONSORSHIPS. It is understood that CAMPS may revoke this contract at any time if it determines, in its sole discretion, that the products and services we intend to exhibit are not suitable or appropriate. It is also understood that in some cases we may be allowed to continue exhibiting as long as items deemed inappropriate by CAMPS are removed. We understand the aforementioned rate includes the use of exhibit space, in accordance with the Exhibitor s Prospectus. This rate includes use of exhibit space on Tuesday, February 26, 2013 and Wednesday February 27, 2013. B. SET UP Exhibitors may set up displays on Tuesday, February 26, 2013 between the hours of Noon and 3:30. C. EXHIBIT HOURS Tuesday, February 26, 2013-5:00 p.m. - 7:00 p.m. Reception Wednesday, February 27, 2013-8:00 a.m. - 9:00 p.m. Breakfast Wednesday, February 27, 2013-11:30 a.m. - 1:00 p.m. Lunch D. DISMANTLING If you dismantle before the shows closing hours, you will be subject to a $100 fee. E. DISPLAY RULES 1. Exhibitors will be provided with an six foot long x 24 inch deep x 30 inch tall draped table, two chairs and trash can. 2. Size Restrictions a. Exhibitors are not permitted to have displays which exceed forty-eight inches (48 ) in height from the top of the table. b. If you have a single free-standing display or product, which cannot be displayed on a table, you may set it on the floor in place of the table but the display must not exceed SEVENTY-EIGHT inches (78 ) in height from the floor, 30 inches in depth, and eight (8) feet in width. c. Aisles must be kept clear; no items may block or narrow aisles, by order of the Fire Marshall. Any items that do block the aisles will be removed. F. SPECIAL REQUIREMENTS Electricity will be provided for items such as computers displaying software as their product. Exhibitors must contact CAMPS headquarters to set-up electricity. If you have any other special requirements, such as free-standing displays, or any questions, please call the CAMPS Headquarters. G. SHIPMENT OF MATERIALS All shipping charges are the responsibility of the individual exhibitor. SECURITY Exhibitors will be responsible for their own displays at all times. Valuable items should not be kept in the Exhibit Hall. The exhibit hall will be locked during closed hours, however, CAMPS is not responsible for lost or stolen items. I. INSURANCE AND LIABILITY It is agreed that the Exhibitor assumes the entire responsibility and liability for losses, damages and claims arising out of injury to persons or damage to exhibitor s displays, equipment or other property brought upon the premises of Hilton Irvine Orange County Airport, Irvine, CA, and its owners, servants, agents and employees against all claims or expenses for such losses, including reasonable attorney s fees, arising out of the use of the hotel premises excluding any liability caused by negligence of CAMPS or Hilton Irvine Orange County Airport, Irvine, CA, and its owners, servants, agents and employees. The Exhibitor understands that neither CAMPS nor Hilton Irvine Orange County Airport, Irvine, CA maintain insurance covering the Exhibitor s property or lost revenue and it is the sole responsibility of the Exhibitor to obtain such insurance. Furthermore, the Exhibitor may not permit anything to be done by their employees through which act the premises, property or equipment of Hilton Irvine Orange County Airport, Irvine, CA or other exhibits will be damaged. No signs or articles can be affixed, nailed or otherwise attached to walls, doors, etc., in such a manner to deface or destroy them. Likewise, no attachments can be made to the floors by nails, screws or other devices that would damage them. All space is leased and subject to these restrictions. Exhibitors will be held liable for damages in such violation(s). J. CANCELLATION OF SPACE Cancellations must be made in writing. A refund, less a $100 administrative fee will be assessed.
