FHA Processing Job Aid Ordering a Case # and CAIVRS thru FHA Connection: For Purchases and regular Refinances: On an FHA loan you have to obtain an FHA Case number and CAIVRS by going to FHA Connection, https://entp.hud.gov/clas/index.cfm -Log into the system. -Once you are logged in click on the Single Family FHA tab. - Single Family Origination tab.
- Case Processing tab. - Case Number Assignment tab. - Then the Establish a New Case tab. Input Property Address and Borrower Data information onto this screen to validate the borrower and property address. When complete hit the Send button at the bottom. On the next screen input your information and then hit the Send button. The Case Number Assignment Results will generate and should say Warning: Pending borrower validation; Check Hold Tracking next business day. It will also have your FHA Case Number and CAIVRS numbers on this document. Print, save and upload into the efolder in encompass.
The next business day follow the steps listed above however, after selecting the Case Number Assignment tab you then click on the Holds Tracking Tab. Go to the bottom of the screen and hit the Send button. The Case Number Assignment Results will pop up and should say All borrowers passed SSN validation Name, SSN or DOB changes will revalidate. Print and upload into the efolder in encompass. Ordering CAIVRS and a Case Query If you need to only order CAIVRS numbers, follow above directions but after you select Case Processing, click on CAIVRS Authorization.
- Insert the social security number(s), FHA Lender ID and in the Agency dropdown choose HUD- FHA Single Family then hit the Send button. Each branch has their own FHA Lender ID so ensure you are using the correct FHA Lender ID for the branch.
The CAIVRS Authorization will pop up and should say it was successfully completed. Add the CAIVRS number(s) to encompass and print and upload the document in the efolder.
The Lender Case Query is a tool to assist lenders in date reconciliation and validation. Detailed case information can be retrieved from HUD s system by providing the FHA Case Number. The information on the Case Query incudes: - Mortgage - Borrower Servicer/servicing details - Origination details - Property - Upfront and monthly mortgage insurance premium To request a Case Query, follow the above directions but after you select Case Processing, click on Case Query. For the Field Office dropdown choose the appropriate office. Then add the FHA Case Number and hit the Send button.
The Case Query Results will pop up and should say Case Query Successfully Completed.
Updating and existing FHA Case Number: Updating an existing Case Number allows the lender, its agent, or sponsor to correct case data entered during the establishing of the case prior to the endorsement of the case. Reasons needed to update a case number are: correcting erroneous data, adding borrower, adding our borrower s information to transferred case number from another lender. To make these changes go to FHA Connection and log in. - Click on Single Family FHA

- The Case number is now updated Condominiums Condominium complexes have to be FHA approved. To access the FHA approved condominium complexes, log into FHA Connection and select the Single Family FHA tab. Single Family Origination
Condominium Functions Condominiums
In the State box select Michigan from the dropdown then click the Send button Find the condominium complex on the list, look under Status and it will show whether the complex is approved, rejected or withdrawn. Encompass screens for FHA information: In encompass, go to the Forms tab on the left side of the screen.
Click on the HUD-92900LT FHA Loan Transmittal screen. Here, at the top of the screen, you will insert the FHA Case #, Case # Assignment Date and the SOA. Scroll down and you will then insert the CAIVR number(s). If you have a gift, insert the amount under Gifts, and check the appropriate donor box.
Now go to the 1003 Page 1 screen. Click on the paper & pencil icon next to MIP/FF. Once the Upfront Mortgage Ins. Premium box pops up, click on the Get MI button to verify the Monthly Mtg Insurance percent is accurate. If you have a gift, under Source of Down Payment, select FHA-Gift source and choose the appropriate donor. Go to the HUD 1003 Addendum. Under Identifying Information I, make sure the Agency Type is accurate. The Agency Case #, Lender s Case # and Section of the Act should already be there. Scroll down to number 13-Lender ID Code and make sure it is inserted or accurate. Scroll down more and make sure the appropriate boxes are checked. See attached example:
On the FHA Management screen, most information should have populated from other screens but review and verify.

If a borrower s name exceeds the character limitation for the Borrower Name field, enter the borrower s last name, and then proceed to enter as much of the borrower s first name as space permits. As always, separate the borrower s first and last name by a comma.
