Page 1 Getting Started with epayments Description of epayments Propertyware's epayment module allows tenants and owners to make payments online using credit or debit cards or an ACH transaction from a bank account. You can also pay Owner draws through the Propertyware epayments module. In addition, tenants can view their outstanding balance or their complete ledger while owners can view owner statements. Propertyware s epayments module is tightly integrated with the Leases, Management and Portal modules and offers the following benefits to you, your tenants and owners. Prospective tenants can pay for application fees online with a credit card. Tenants can make secure one-time or recurring ACH or credit card payments. You can accept electronic payments over the phone or onsite by entering epayment information directly onto tenant leases. Tenants can view just their balance or their full ledger via the tenant portal. You can pay owner draws via echecks (ACH) through this module. You can pass on any fees associated with processing electronic payments to your tenants in the form of a convenience fee (Restrictions may apply. See Convenience Fee section). If your Propertyware account is not yet setup to work with epayments, contact your EPayments Implementation Specialist or your account representative who will work with you in getting your epayments application submitted. When the application process has been successfully completed, your Propertyware account will be configured to use epayments. Important epayment Considerations epayments are associated with contacts. Therefore each tenant named on a lease who wants to pay using epayments must have an epayments account setup in Propertyware. Only one epayment transaction per contact (tenant or owner) may be submitted at a time. For example, tenants or owners cannot submit additional epayments until the status of their previous epayment has settled or cleared. This is done to guard against unintentional duplicate payments. Settlement of epayments normally takes 3-4 business days (based on standard hold times). This applies to outbound Owner draw payments as well when paid through the epayments module. Payment status is displayed on tenant and Owner ledgers. Only Propertyware epayments 10-8-11

Page 3 Configuring Your epayments Bank Accounts Each bank account that was underwritten for electronic payments must be configured in Propertyware. Bank accounts can be viewed, created and edited under Chart of Accounts To navigate to your Chart of Accounts click on Setup, and then from the sidebar, click on Chart of Accounts located under Customize. The Customize category will not be visible if you do not have administrator rights. Propertyware epayments 10-8-11

Page 4 epayment Settings You may need to configure your epayments options depending on your business needs. epayments settings are located in the Setup area of the application and require that you have administrator rights. To navigate to epayments Settings area click on Setup, and then from the sidebar, click on epayment Settings located under Administration Setup. The Administration Setup category will not be visible if you do not have administrator rights. Click Edit to make changes. These settings can be changed by all users unless they have been assigned to a user profile that specifically restricts them from viewing the Properties module or where the Property module is set to read-only access. Users with administrator rights can also view, enter or modify convenience fees and destination bank account settings for all portfolios at the same time under the epayments Settings section in Setup. See epayments Settings below for a more detailed explanation of convenience fees and destination bank accounts. Described below are the fields that appear on the epayments Settings page. To make any changes to these settings click the Edit Settings button at the bottom of the page. Notification Email Enter an email address of an individual within your organization who should receive daily email notifications of processed or returned epayment transactions. This will include an epay Summary Report that lists automatic payments processed that day. You can set other Alerts. Refer to the User Alerts section of this document. Page 5 ACH and Credit Card Settings The Bank Account field indicates the bank account where all electronic payments will be directly deposited. This is also referred to as your Global Default settlement or epayments bank account. Those bank accounts that have been approved as settlement accounts will be locked by Propertyware; you will not be able to make any changes to these settlement accounts. You can setup different bank accounts that have been underwritten for epay ments for specific portfolios (see next section). The Bank Account field MUST show the same bank account that you specified on the application form you submitted to Propertyware when you requested epayment processing. Although you can sign up for two different epayment accounts one for ACH transactions and another for credit card transactions this is rarely done and is only necessary if you plan to fund transactions to separate bank accounts. In most cases, you would sign up for just one It is important to be aware that even though you can accept both ACH payments and credit card payments via epayments, your tenants and/or owners can only store one payment method in Propertyware. For example, your Owner client, John Smith, can setup his payment account to get paid Owner draws via ACH, but if he wanted to pay a contribution with a credit card, he would have to then re-enter his bank account information to re-enable getting his Owner draws via ACH. Page 6 epayments account to handle both ACH and credit card epayment transactions. Credit Card Acceptance Restrictions You can also set restrictions on when you will allow credit card payments. You can elect to only allow credit card payments for Application fees (if using Propertyware s online application), only allow credit cards as payment for one-time online payments, or allow credit cards for any type payment. You can also place a limit on amount you will allow to be paid via credit card. These restrictions allow you to limit the exposure you may have to credit card transaction fees. See the section on Convenience Fees to understand the limitations that apply to charging convenience fees on credit card payments. To set restrictions on credit card payment acceptance, on the epayments Settings page, select Edit. In the Credit Card Settings section, in the drop down box for Only Accept Credit Cards for, select the desired setting. If you wish to set a limit on the amount you will allow to be paid by credit card, check the box and enter the maximum amount you will allow for Tenant Payments and/or Owner payments (contributions). Click Save when finished. Propertyware epayments 10-08-11

Page 7 Portfolio Settings for epayments If certain Portfolios have separate bank accounts, the epayments settlement accounts must be specified for the portfolio to which they belong. To accomplish this, you set these portfolios up as exceptions to the Global Default settlement account you established above. To select a different bank account for a specific portfolio, while in Edit mode on the epayments Settings screen, in the Portfolio Settings section enter the Portfolio name. Click on the Portfolio in the window. The Portfolio will be displayed in Edit mode. To select a different settlement account for the Portfolio, select the account from the drop down box. Click Save. The Portfolio will now show in the Portfolio Exceptions area. Propertyware epayments 10-8-11

Page 8 TIP: If you need to make exceptions for numerous Portfolios, you may wish to use the Portfolio List view. Selecting the List View displays all Portfolios. You can then select Edit Portfolio Settings to edit multiple Portfolios at one time. Propertyware epayments 10-08-11

Page 9 Convenience Fees Convenience fees are fees you can optionally pass on to your tenants for accepting ACH or credit card epayments. You can NOT specify different convenience fee amounts for each type of epayments (ACH / credit cards). Convenience fees can be set up to be automatically charged to tenants who make payments not in person.. Refer to the Convenience Fee Guidelines in the Appendix for restrictions. Convenience fees are not charged automatically to tenants whenever you manually enter one-time epayments. Convenience Fees Rules Credit card company rules prohibit the following: Charging a different fee for credit card payments vs. ACH payments. Charging a convenience fee for credit card payments but not for ACH payments. Charging a convenience fee on automatic payments made by credit card. Charging a variable or percentage based convenience fee on payments by credit card. Some States and localities have additional rules governing charging convenience fees. Check the local regulations to insure your policies on convenience fees meet any such rules. Note: Propertyware does not currently support adding a convenience fee on application fees paid by credit card. Propertyware epayments 10-8-11

Page 10 Entering Convenience Fees Note: Credit Card company rules prohibit charging a different convenience fee for ACH and Credit Card payments. It is also prohibited to charge a convenience fee if paying by credit card but not charge a convenience fee if paying by ACH. If you wish to charge convenience fees on ACH payments, in the ACH Convenience Fee settings area, you can set if and when you will charge a convenience fee on Tenant Payments. These settings options are displayed below and when you are in the epayments settings Edit mode. If you wish to setup a convenience fee on ACH payments, you must: Enter the amount of the convenience fee. Select the Income account number for convenience fees. Click Set for All to apply these setting to all Portfolios. You use the Portfolio Settings section on the epayment Settings page to charge a different convenience fee or use a different income account on specific portfolios. Select the rules you want to apply to charging Convenience Fees on Tenant Payments made by ACH. These are global settings and will be applied to all portfolios. Propertyware epayments 10-08-11

Page 11 If you wish to charge convenience fees on Credit Card payments, in the Credit Card Convenience Fee settings area, you can set if and when you will charge a convenience fee on Tenant Payments. These settings options are displayed below and when you are in the epayments settings Edit mode. If you wish to setup a convenience fee on Credit Card payments, you must: Enter the amount of the convenience fee (must be the same as the ACH convenience fee). Select the Income account number for convenience fees. Click Set for All to apply these setting to all Portfolios. You use the Portfolio Settings section on the epayment Settings page to charge a different convenience fee or use a different income account on specific portfolios. Select the rules you want to apply to charging Convenience Fees on Tenant Payments made by credit card. These are global settings and will be applied to all portfolios. Portfolio Convenience Fee Settings If you would like specific portfolios to have unique convenience fees or accounts, you will need to enter that information in Portfolio Settings section of the epayments Settings page. Refer to the Portfolio Settings section earlier in this document to setup specific portfolios to have unique settings for Convenience Fee amounts, Convenience Fee Income Accounts, or Settlement Accounts. Page 12 Application Fees With epayments you can allow your prospective tenants to pay application fees online through your Propertyware Marketing portal. Application fees can be paid by credit card only. There are three options for Application Fees. 1. Do Not Charge an Application Fee 2. Charge Fixed Application Fee Amount 3. Charge Application Fee by Number of Contacts on Application - With this option you can setup the application fee to be variable based on the number of Applicant Contacts, Other Household Member Contacts (not financially responsible for the Lease), or Guarantors. You may want to consider this option if you want the Application fee to vary to cover Background Screening expenses for multiple contact the household applications. Enter the Application Fee Option you wish to use, the Application Fee amount(s), and select an income account to use for application fees. Check with your applicable state and local law for the maximum fees you can charge in application fees. Propertyware epayments 10-08-11

Page 13 Paying Owner Draws via ACH You can pay Owner Draws via ACH using epayments. To use this feature, you must notify your epayments Implementation Consultant and provide them information on the volume of Owner Draws you plan to process with this method. This info must be included in the Underwriting process. Paying Owner Draws via ACH uses the same processes as paying Owner Draws via printed checks. To pay via ACH, you must have the Owner s bank account information recorded on the Owner Contact on the epayment/bank Information tab. For Owner Contacts who wish to receive their Draws via ACH on an ongoing basis, their Draw Payment Method can be set to E-Check on the contact screen. If using the Owner Portal, the Owner can also select this option by changing this setting on their contact info. Owners to be paid Draws via ACH will now display E-Check as the Payment Method on the Post Owner Draws screen. Propertyware epayments 10-8-11

Page 14 Or if you are creating individual Owner draws, epay will be checked as the Payment Method on the New Owner Draw screen for any Owner Contact that has E-Check selected as the Draw Payment Method. The origination of an Owner Draw via ACH occurs when the user clicks Save on either the New Owner Draw screen or the Post All Owner Draws screen. Please insure the accuracy of the Draw, as well as the Owner s Bank Account Information prior to clicking Save. If you make an error, prior to 8PM Central Time on the day the draw was originated, you can Void the transaction on the Owner Ledger(s). After the above time, the Draw cannot be stopped or voided. Page 15 Accounting Preferences for epayments You may also wish to review your current Accounting Preferences located in the Setup area of the application as some of these settings control how epayments are handled when they are posted to tenant ledgers. To navigate to your Accounting Preferences click on Setup, and then from the sidebar, click on Accounting Preferences located under Administration Setup. The Administration Setup category will not be visible if you do not have administrator rights. Post Auto Charges The number of days specified in this field is the number of days before the due date that charges should be posted to tenant ledgers. If your due date is set at 1, and Post Auto Charges is set to 0 (zero), then monthly charges will be posted on the first day of the month. If tenants submit an epayment prior to charges being posted, the money will show on their ledgers as a prepaid amount. Auto Apply Prepayments to Rent This option automatically applies prepayments to new rent auto charges at the time the rent charges post to tenant ledgers. This eliminates the need for you to manually apply prepayments. However, if you prefer to manually apply prepayments against any outstanding charges, set this to No. Deposit Direct to Bank Account This field must be set to Enabled if epayments are enabled for your account. This field controls what occurs when payments are received. When set to Enabled, any payments entered are automatically shown as being deposited in Propertyware. epayments should show as being deposited on tenant ledgers. Enforce Default Bank Account When payments are received and bills are paid, the default bank account (as set on the Portfolio Summary page) is automatically chosen as the bank account for the transactions. If your epayments settlement account is different from a portfolio s default bank account, all epayments received will be deposited into the epayments settlement account even if this field is set to Yes. Page 16 Apply Payment Order This feature is especially helpful when using our epayments solution. The default value is Rent, meaning that Propertyware applies payments to any existing rent charges. However, by adding specific accounts, you can indicate the order in which you would like payments to be applied to unpaid charges. Those accounts listed at the top would be paid off first. Auto Calculate Late Fees Nightly Set to "Yes" to have late fees calculated automatically each night. Set to "No" to post late fees by running the Late Fee Calculator. Be sure to verify what your late fees settings are on your lease form before setting this to Yes. Propertyware epayments 10-08-11

Page 17 Reconciliation and Reporting In Propertyware s Banking Reconciliation module: epayments will appear as debit or credit batches based on payment type (ACH, Credit Card). These batch amounts should match the debit/credit amounts on your bank statement. However, some banks combine debit and credit batches and the net amount will appear on your bank statement. Running the EPayments Reconciliation Report may be handy to use to identify batches your bank may have combined. You can drill into or expand epay batches that appear in a Reconciliation by clicking the Plus sign next to the batch. This will allow you to see the individual transactions that make up the epay batch. You can then check off the batch or the individual transactions. Owner Draws batches will appear in the Money Out side of the Reconcilation Screen. These too can be expanded. Other Reports available in the Propertyware Reports module: EPayments Batch Report - This report shows epayments Grouped By Settlement Date. Money In epayments This report displays the epayments recorded on Tenant Ledger. Money Out Owner Draws (can be filtered by payment method) Accounts Receivable epayments Pending Accts. Receivable- epayments (Settled This Month) EPayments Reconciliation Shows epayments in a specified period grouped by Bank Credit/Debit Date and payment type (ACH, Credit Card, etc.) Propertyware epayments 10-8-11

Page 18 Setting up Contacts to Use epayments In order for your tenants or owners to use epayments, their contact record must be enabled for epayments. The information required to process epayments can be entered either by you or your staff, or by your tenants and owners online through your tenant and owner portals. As a reminder, a contact can be set up to use only one epayments method at a time, ACH or credit card. Entering epayment Information for your Tenants and Owners If you are using Propertyware Portals for Tenants and Owners, it is recommended that you allow your tenant and owner contacts to enter their own epayment information and initiate payments. Tenants can setup automatic payments as well in the Portal. If you wish to enter epayment processing information for your tenants or owners it is necessary for you to have them complete a form authorizing you to process payments via ACH or credit card. This form will include all the information you need in order to setup an epayment account. A sample form that you can duplicate for your use can be found in the Appendix at the end of this guide. To enable epayments for a contact, perform the following steps: The epayment/bank Info subtab is used to add or edit credit card or echeck information. Click the Edit epayment Info button. Even if you do not complete this information for your tenants or owners it would still be visible to you whenever tenants or owners complete this information for themselves through your tenant and owner portals. Page 19 A pop up window will display that allows you to enter or edit the desired content. If this is the first time you are entering your epayment information, all fields will be blank. Selecting the radio button across the top will dictate the preferred method of payment and allow you to edit the selected method. If you are editing the existing epayment information, the bank account number or credit card number will be required to proceed. If owners or tenants are editing their information online via their portal, they will also be required to enter the account number before editing options are available. The following details are required: E-Check/Bank Information Credit Card Propertyware epayments 10-8-11

Page 20 For the Billing Address, the Same As Contact link can be used to auto-populate the billing address from the tenant/owner contact. Enabling Portal Logins If you prefer to have your tenants and owners enter their epayment information, you will need to enable portal login access. This is done by clicking on the Portal Login tab located on the Contact page and then clicking on Enable Login. Even if you enter the epayment information for your tenants and owners, you may still want to enable portal login access so that your tenants and owners can view their account information and submit epayment requests online through the After enabling portal login access, your tenant or owner will receive an email with password information in order to login to your tenant or owner portal. Other functions you can perform in the Portal Login section are described below: Disable You can disable a tenant s or owner s portal login account by clicking on the Disable button. Reset Password You can reset the portal password for a tenant or owner by clicking on the Reset Password button. Clicking this button sends an email to the contact with his or her new password. Page 21 Manage Portal Logins You are able to manage multiple portal logins by clicking on the Manage Portal Logins button. Clicking this button displays a page of tenants or owners. You can toggle between viewing tenants and owners by selecting either Owners or Tenants from the View By drop-down menu. You can Edit or Login As any contact for which portal login has been enabled, and you can also select one or more contacts and quickly enable or disable portal access for those selected. Only contacts with an email address will have a select box. Since a contact s email address is used as the portal username, only those contacts with an email address can have portal login enabled. Login As When you enable portal access for your tenants and owners, you have the ability to login as those contacts in order to view the portal information as they would see it when logged in. To login as a tenant or owner, click on the Login As button on the Contact page for a contact that has had portal access enabled. Tenants and Owners Entering epayment Information via the Portal Once portal login access has been enabled, your tenants or owners will be able to enter their epayments information. The steps would be to: 1 Click on the My Rentals tab. 2 Click on the Payment Account button. 3 Click on the Edit Payment Account button. 4 Select Payment Method. 5 Complete required fields. Helpful Hint: The quickest way to create a payment account is to click on the Make Payment button. A page displays indicating that a payment account must first be setup in order to make an epayment. Page 22 Viewing epayment/bank Info Whether you manually enter epayment information for your tenants and owners or they enter the information themselves through your portals, you are able to view that information on the Contact page. To view epayment information that has been entered, click on the epayments/bank Info tab at the bottom of the Contact page. Sensitive information such as credit card, social security and bank account numbers are displayed on the Contact page with a mask of X s with only the last 4 digits visible. Page 23 Setting up Recurring epayments (Auto epayments) Auto epayments are epayments that take place automatically at a weekly, monthly or annual frequency. You have the option of creating, viewing and deleting auto epayments for your tenants. Auto epayments can be viewed on the Summary section of the tenant lease by clicking on Recurring Transactions tab at the bottom of the page. To add, delete or modify existing Auto epayments, click on the Edit button at the top of the Lease Summary page. Tenants with access to your tenant portal can create, edit and delete Auto epayments for their account by clicking on the Auto Payments button located on the My Account page.
