LIVESTOCK (AND COMMERCIAL) ENTERPRISE REPORTING ON BUSINESS MANAGER Overview The below is intended as a guide for dealing with livestock (and Commercial) enterprises on Business Manager. Perpetual Enterprise or Batch Enterprise? Before any enterprises can be configured on Business Manager it needs to be ascertained which type of enterprise is needed. Perpetual Enterprises these start and end with the financial year. The closing stock of one year becomes the opening stock of the following. The most common examples of this are a dairy enterprise and any type of breeding enterprise. Batch Enterprises (not available for breeding livestock enterprises). A batch enterprise is a distinct group of animals or a particular project that will start with no opening stock as these will be bought or transferred in. The batch enterprise will then continue until all the animals are sold or transferred out or the project is complete, even if this involves going over the financial year-end. A batch may span financial years or there may be multiple batches within a year. For example Pig Fattening 14 treated as a batch will continue to function with its individual stocks, over the financial year end - still being called Pig Fattening 14 until all the animals are disposed of and the enterprise reaches a distinct end. In the meantime Pig Fattening 15 maybe set up and run as a completely separate unit. However if Pig Fattening 14 is treated as perpetual, the closing stocks at the end of the 2014 financial year will become the opening stocks of Pig Fattening 2015 and so on into future years with no distinct start and finishing point. A common example of this is a poultry fattening enterprise, or a pig fattening enterprise.
A Perpetual Enterprise Data Entry A perpetual enterprise can have information recorded against it by selecting the relevant enterprise. The enterprise Dairy 14 and Dairy 15 are available in the example below. NB Care should be taken around the financial year end to ensure that any information is allocated to the correct enterprise. Once an enterprise is complete we recommend that it is finished. However entries which directly affect the livestock valuation as shown in the Subcode box (e.g. purchases or sales of animals) will only display the enterprise that is relevant for that financial year. The entry below which relates to the sale of animals dated in 2015 only gives the option of Dairy 15. Valuation of the livestock The valuation for a livestock enterprise can be calculated by Business Manager when the Auto Adjust tick box is selected in the Setup Enterprises screen. If this box is not ticked then the stock will have to be adjusted using the Adjustments option (see below) or deleted. The below information assumes that the Auto Adjust box is ticked. NB It is important to ensure that the correct Valuation Type is selected. Jpg 01/15 Page 2 of 6
The example below shows opening stock of Dairy 15 is the same as the closing stock of Dairy 14. Purchases and Sales To affect the system calculated stock value the Subcode should display the correct stock during relevant data entry. The example of a sale below will decrease livestock numbers by one but the total stock value (Dairy 15 Cows) by 1000. (The value allocated by the Business Manager user see above) Transfers Out (and In) Transfers are recorded in the stock that is being reduced. Click the Enter button to record the number and value of animals, along with the destination stock. Previous entries can be viewed by clicking on the? button. Deaths can also be entered. The screen below shows a transfer in, a transfer out and the results of the sale listed above. Jpg 01/15 Page 3 of 6
The Adjustments option is used to correct the number in the Quantity column. The Price Change button will allow the @ figure (or unit price) to be altered. The Report button will show all activity for the valuation on a monthly basis. The example below shows a sale in January of 1 animal for 400, there is also a transfer in and a transfer out for 1 animal at a value of 1000. During January the value has decreased by 1000. In February the value per animal increased from 1000 per head to 1100 per head. The new value - 213400 - will appear on the Balance Sheet (from Feb 15) and the increase in the value - 19400 ( 213400 194000) on the Profit & Loss Account in the valuation change section in Feb 15. A Batch Enterprise An enterprise can be marked as a batch enterprise by clicking the Batch tick box in the Setup Enterprises screen. NB Completing the Number box will allow per head reports to be calculated. Data Entry A batch enterprise can have information recorded against it by selecting the relevant enterprise. The enterprises Pigs batch 22 15, 23 15, and 24 15 are available in the example below. All enterprises will be continually available until they are marked as finished. NB The 15 can be ignored. Valuation of the Livestock The valuation for a livestock enterprise can be calculated by Business Manager when the Auto Adjust tick box is selected in the Setup Enterprises screen. If this box is not ticked then the stock will have to be adjusted manually using the Adjustments option (see below). The below information assumes that the Auto Adjust box is ticked. NB It is important to ensure that the correct Valuation Type is selected. Purchases and Sales To affect the system calculated stock value the Subcode should display the correct stock during relevant data entry. The example of a purchase below will increase livestock numbers by four hundred but the total stock value (Pigs batch 22 Fat pigs) will be unaffected. The Price Change button should now be clicked and a value entered with the same date as the purchase. Jpg 01/15 Page 5 of 6
NB The value allocated to each unit is not necessarily the same as the price paid per unit. The screen below shows the results of the purchase listed above along with an allocated Price Change entry of 35 per unit. Transfers Out (and In) Transfers are recorded in the stock that is being reduced. Click the Enter button to record the number and value of animals, along with the destination stock. Previous entries can be viewed by clicking on the? button. Deaths can also be entered. The Adjustments option is used to correct the number in the Quantity column. The Report button will show all activity for the valuation on a monthly basis. The example below shows a purchase in January, and a price per unit has been entered. In February there has been a sale. When the fattening of the batch is complete the valuation should show zero animals and a zero value. Any closing balance will NOT appear as an opening balance on another enterprise. Reports The reports in Reports / Report Library / Livestock will give a margin for each enterprise which will not be restricted by the limitations of a financial year. Jpg 01/15 Page 6 of 6
