Simi Valley Knights of Columbus 31st Annual Chili Cook-Off & Car Show Sunday June 10 th, 2018 Vendor Rules and Regulations Location: St. Rose of Lima School grounds, 1305 Royal Ave., Simi Valley, CA 93065 Take the Simi Valley Fwy (118) to First Street off-ramp and head south. Turn left at Royal Ave. and travel 3 blocks. Turn left into parking lot and head towards the back of the property. Hours: Open to the public from 10: 00 A.M. to 5:00 P.M. All exhibitors must be set up by 9:30 A.M. Exhibits must stay open until 5:00 P.M. Exhibitors may check-in and start setting up at 5:30 A.M. Eligibility: The Knights of Columbus Chili Cook-Off and Car Show is open to arts & crafts, commercial vendors and non-profit organizations. All work and exhibits must be appropriate for family viewing. application and payment does not guarantee acceptance into the event. The Knights reserve the right to limit the number of applications for any one type of item and reserve the right to change or substitute spaces. Acceptance of your application does not constitute exclusivity. Arts and craft vendors are required to submit 3 photos of items to be sold. This will help determine acceptance. Photos become property of the Knights of Columbus and will not be returned. All entrants MUST have a Simi Valley Business Tax Certificate. Information can be found at http://www.ci.simivalley.ca.us/index.aspx?page=170. One vendor per booth allowed, no booth sharing. Space Sizes: Exhibitor booth space is 10 by 10. Booths must conform to this size restriction on all sides and not infringe on walkways or neighboring booth spaces. Applicant is responsible for constructing the booth and providing tables and chairs. Anchoring canopies is highly recommended. Confirmation: Confirmations of acceptance will be a phone call on receipt of check or money order. space assignments (subject to change) will be assigned the day you arrive at the event. Once you have been accepted to participate in the event, there will be NO REFUNDS for any reason including, but not limited to inclement weather, acts of God, or restrictions by governmental agencies. Parking: Follow the instructions given to you by the event s personnel for check-in, unloading, and parking. All vendor vehicles will be allowed to drive up to their assigned booth space to unload and then must immediately remove vehicles to assigned parking areas at Royal High School before booth set-up. Volunteers will be monitoring unloading areas to keep proper open accessibility to all participating vendors. Clean-up: After 5:00 P. M., exhibitors are required to clean their booth areas and dispose of trash in bins and receptacles. Failure to do so will eliminate participation in next year s event. Vendors can bring their own tents, tables, chairs or rentals can be provided. Please indicate special needs on form. Please note that NO prepackaged food may be sold. No exceptions. Helpers: Two people total per Vendor booth will be admitted for free when the vendor is setting up and may stay to assist with sales Publicity & Promotion: This one-day event has an estimated attendance of over 6,000 people and growing every year. The event is well publicized through Television, Radio and Newspaper Advertising, City and Community Placations, Posters and Flyers. Vendor Fees: Each vendor agrees to follow the guidelines set forth by the Knights of Columbus Council 5803 or any agents acting on behalf of the 27th Annual Chili Cook-Off & Car Show. The Knights, St Rose of Lima School, the Archdiocese of Los Angeles, and any and all Event sponsors are released of responsibility and liability from injury, damage or theft under any circumstances. All vendor participants agree to indemnify, defend and hold harmless the Knights, St. Rose of Lima School, the Archdiocese of Los Angeles, and any and all event sponsors, their agents, officers, and volunteers from and against any and all liabilities, expenses, including defense cost, and legal fees, and claims for damages of any nature whatsoever, including but not limited to bodily injury, personal injury, or property damage arising from or connect with operation, or services hereunder, including workman s compensation suites, liability, or expense arising from or connected with services performed on behalf of staff or any person pursuant to this agreement.
