Welcome Welcome to the myhr Self Service for Retirees Training Guide Accessing myhr Welcome to the Accessing myhr module! At the end of this training, you should have the skills and knowledge to: 1. Access the myhr Web site. 2. Log in to the myhr Web site. Reminder: When navigating in Self Service, DO NOT use the Back button within your Internet browser window. Please use the navigation provided. Accessing myhr The myhr Web site is the portal for accessing Self Service information. myhr URL: https://myhr.umsystem.edu/ Page 1

Procedure 1. To access the myhr Web site you must first open Internet Explorer. Double-click the Internet Explorer icon. Page 2

2. If the myhr Web site does not display when you open Internet Explorer, enter "https://myhr.umsystem.edu" in the Address field. 3. Click the Go button. Page 3

4. The myhr sign in page will display. Click in the User ID field. 5. Enter your Single Sign ID into the User ID field. If you are not currently working for the University, your Single Sign On was provided in the myhr mailing you received. For this training example, enter "TRAINING". 6. Click in the Password field. 7. Enter your password into the Password field. You will need to set your own password the first time you sign into myhr. For this training example, enter "TRAINING". 8. Click the myhr Sign On button. 9. The myhr Welcome page will display. Click the Self Service link. Page 5

10. All of the Self Service options that are available will display. Page 6

11. When you are finished using myhr it is important to always sign out. To sign out, click the Sign out link. 12. You have successfully accessed myhr. End of Procedure. Page 7

Personal Information Welcome to the Personal Information module! At the end of this training, you should have the skills and knowledge to: 1. Understand the features available through the Personal Information Self Service pages. 2. Enter and update certain data. 3. Access important HR links and calculators. Personal Information Summary Procedure The Personal Information Summary page is used to update personal information such as addresses, phone numbers, and e-mail addresses. Navigation: Self Service > Personal Information > Personal Information Summary Page 8

1. This is the Personal Information page. Use the buttons on this page to edit, add, and delete personal information. Page 9

2. To change address information, click the Change home/mailing addresses button. Page 10

3. The Home and Mailing Address page will display. Use the Edit button to make an address change online. Use the Change of Address Form here link for manual changes. Address changes made online may have a delay in updating due to processing times. Allow 10 days for a change to be effective. Note: You may use the Date Change Will Take Effect On this date field to make a future date change. Page 11

4. Click the Return to Personal Information link to return to the Personal Information summary page. Page 12

5. To change phone numbers, click the Change phone numbers button. Page 13

6. The Phone Numbers page will display. To delete an existing phone number, click the Delete button. To add a phone number, click the Add a Phone Number button. 7. Click the Return to Personal Information link to return to the Personal Information summary page. Page 14

8. Click the vertical scroll bar. Page 15

9. To change e-mail addresses, click the Change email addresses button. Page 16

10. The Email Addresses page will display. For timely, cost effective communication, the University will use any e-mail address you have on record to communicate important information to you. Please check your e-mail on a regular basis. To add an e-mail address, click the Add an Email Address button. Page 17

11. Click the Return to Personal Information link to return to the Personal Information summary page. 12. This concludes the lesson on using the Personal Information Summary. End of Procedure. Page 18

UM Retiree Data Procedure The UM Retiree Data page is used to correct preference and status information. Navigation: Self Service > Personal Information > UM Employee Data 1. This is the UM Retiree Data page. Use the fields on this page to indicate and/or correct your data. Page 19

2. Indicate using the check boxes whether or not you want to restrict the release of your contact information or want to review your pay advice online. For this training example, select the first check box option. Page 20

3. To change your marital status for tax withholding, click the W-4P link. You may change your Federal W-4P online; however, you must print the Missouri W-4P, make your changes, and mail the form to the Retirement Benefits Office. 4. After making changes, click the Save button. 5. This concludes the lesson on correcting preference and status data. End of Procedure. Page 21

Employee Information Links Procedure The Retiree Information Links page is used to access additional human resources information from one location within myhr. Navigation: Self Service > Personal Information > Employee Information Links Page 22

1. The Retiree Information Links page will display. Note: All Web sites will open in a separate window. Faculty and Staff Benefits Home Page: Opens the Faculty Staff and Benefits Web site. University of Missouri Retiree Forms: Opens the Retiree Forms page on the Faculty Staff and Benefits Web site. MO W-4P Calculator: Opens the Missouri Department of Revenue's withholding tax calculator Web page. Federal W-4P Calculator: Opens the federal tax withholding calculator provided online by the U.S. Office of Personnel Management. Social Security Administration: Opens the U.S. Social Security Administration Web site. Office Personnel Management (OPM) - For CSRS or FERS Retirees: Opens the U.S. Office of Personnel Management Web site. Missouri State Employee Retirement System (MOSERS): Opens the MOSERS Web site. 2. This concludes the lesson on accessing the myhr information links. End of Procedure. Page 23

Payroll and Compensation Welcome to the Payroll and Compensation module! At the end of this training, you should have the skills and knowledge to: 1. Understand the features available through the Payroll and Compensation Self Service pages. 2. View paychecks. 3. View and edit direct deposit information. 4. View a statement of tax responsibility. 5. View and edit Federal W-4 information. 6. View and edit Missouri W-4 information 7. Request a W-2 or 1099-R reissue. View Paycheck Procedure The View Paycheck page is used to view current and prior paychecks. Navigation: Self Service > Payroll and Compensation > View Paycheck 1. This is the View Paycheck page. The same information that appears on a pay stub will display on this page. Page 25

2. Header Field Descriptions Net Pay: Amount paid to the retiree. Pay Begin Date: The first day of the pay period. Pay End Date: The last day of the pay period. Check Date: The day the retiree is paid. View a Different Paycheck: Click to select a different paycheck to view. Page 26

3. General Field Descriptions Name: Retiree's name, as shown in the system. Employee ID: Special identification number assigned to each retiree. Address: The address of the retiree's department (i.e., campus mail address). Business Unit: Primary campus grouping for retirees. The primary campus for retirees is always UWIDE. Pay Group: Retiree grouping based on pay frequency (i.e., biweekly or monthly). Department: Retiree's home department. Job Title: Title assigned to the primary job of the retiree. Pay Rate: Gross pay for the pay frequency. Page 27

4. Tax Data Field Descriptions Fed Marital Status: Federal tax filing status. Fed Allowances: Number of allowances claimed on federal W-4P. Fed Addl Amount: Additional amount withheld on federal W-4P. State Marital Status: State tax filing status. State Allowances: Number of allowances claimed on state W-4P. State Addl Amount: Additional amount withheld on state W-4P. Note: For married retirees that select to have their withholding at the single rate on their Federal W-4P, Single will display instead of Married in the status field. Page 28

5. Scroll to the bottom of the page to continue viewing paycheck data. Click the vertical scroll bar. 6. Paycheck Summary Descriptions Gross Earnings: Current and Year-To-Date (YTD) amounts for the current paycheck displayed. Note: When viewing prior paychecks, only the current amounts display. Fed Taxable Gross: Amount of taxable income for the pay period and YTD. Total Taxes: Amount of taxes deducted for the pay period and YTD. Total Deductions: The total amount of before and after tax deductions for the current pay period and YTD. Net Pay: Amount paid to the retiree for the current pay period and YTD. Page 29

7. The Earnings, Taxes, After Tax Deductions, Employer Paid Benefits grids all contain descriptions of earnings and deductions for the current pay period as well as the YTD amount. Corresponding amounts display for each earning or deduction. Page 30

8. Net Pay Distribution Field Descriptions Payment Type: Method in which the retiree is paid. Paycheck Number: Number assigned to each advice or check. Account Type: Determined by direct deposit information (i.e., checking or savings). Account Number: Bank account where retiree's net pay is deposited (as submitted through the paper form or Self Service). Please refer to the Direct Deposit section of this training information for more details. Amount: Equal to the net pay, this is the amount deposited in the account. Page 31

9. To select a different paycheck to view, scroll back to the top of the page. Click the vertical scroll bar. 10. Click the View a Different Paycheck link. Page 32

11. Click an entry in the Pay Period End Date column. Note: The Pay Period End Date is not necessarily the actual pay date. For this training example, select the 2008-01-31 Pay Period End Date. Page 33

12. The selected paycheck will display. Note: Manual and reversal checks are not available. 13. For troubleshooting tips on printing a copy of your paycheck from this page, click the How To Print This Page link. 14. This concludes the lesson on viewing paychecks. End of Procedure. Page 34

Direct Deposit Procedure The Direct Deposit page is used to view and edit direct deposit information. Navigation: Self Service > Payroll and Compensation > Direct Deposit 1. This is the summary page for retiree Direct Deposit information. To view account details, click an entry in the Account Type column (i.e., Checking). To make changes to direct deposit information, click Edit. For this training example, click Checking. Page 35

2. The Direct Deposit Detail page will display. Click the Return to Direct Deposit link to return to the Direct Deposit page. Page 36

3. To make changes to the existing direct deposit information, click the Edit button. Page 37

4. Click the Account Type list. 5. Select the account type. For this training example, click the Saving list item. 6. Click in the Routing Number field. Page 38

7. Enter the desired information into the Routing Number field. For this training example, enter "555555555". Page 39

8. Enter the desired information into the Account Number field. For this training example, enter "9876543". 9. Click the Save button. Warning! Upon saving, this change may take up to 21 days to process. DO NOT close your old bank account until your direct deposit is placed in your new bank account. Page 40

10. A confirmation message will display. Click the OK button. 11. This concludes the lesson on viewing and editing direct deposit information. End of Procedure. Page 41

Tax Responsibility Statement Procedure The Statement of Tax Responsibility is used to authorize the University to not withhold income taxes. This form is only used for retirees residing in a state other than Missouri. Navigation: Self Service > Payroll and Compensation > Tax Responsibility Statement 1. Click the Statement of Tax Responsibility link. Page 42

2. The Retiree Forms Web site will display. The Statement of Tax Responsibility can be found under Retiree Payroll Forms in the list of forms. 3. This concludes the lesson on accessing the Statement of Tax Responsibility. End of Procedure. Page 43

Federal W-4P Tax Information Procedure The Federal W-4P Tax Information page is used to view and edit federal W-4P information. Navigation: Self Service > Payroll and Compensation > Federal W-4 Tax Information 1. This is the Federal W-4P Tax Information page. Page 44

2. Click the vertical scroll bar. Page 45

3. For your federal W-4P, make changes to the existing information in the W-4P Tax Data section. Click the Submit button. Page 46

4. Because you are changing your federal withholding, you will be asked to re-enter your password as a security measure. Enter the desired information into the Password field. For this training example, enter "TEST1". 5. Click the Continue button. Page 47

6. Click the OK button Note: This change may take some time to process and may not be reflected on your next paycheck. 7. This concludes the lesson on viewing and editing federal W-4P tax information. End of Procedure. Page 48

Missouri W-4P Tax Information Procedure The Missouri W-4P Tax Information page is to obtain the correct contact information for submitting changes to your Missouri W-4P. Navigation: Self Service > Payroll and Compensation > Missouri W-4 Tax Information 1. This is the Missouri W-4P Tax Information page. Page 49

2. To access the Management Services - Human Resources Web site and the Missouri Withholding Certificate, click the Link to Missouri W-4P form link. Page 50

3. The Retiree Forms Web site will display. The Missouri Withholding Certificate can be found under Retiree Payroll Forms in the list of forms. 4. This concludes the lesson on editing Missouri W-4P tax information. End of Procedure. Page 51

W-2 or 1099-R Reissue Request Procedure The W-2 or 1099-R Reissue Request page is used to request another copy of a W-2 or 1099-R for the most recent tax year. Navigation: Self Service > Payroll and Compensation > W-2 or 1099-R Reissue Request 1. This is the W-2 or 1099-R Reissue Request Information page. Refer to the contact information on this page for W-2 and 1099-R reissue requests. 2. This concludes the lesson on how to request another copy of a W-2. End of Procedure. Page 52

Benefits Welcome to the Benefits module! At the end of this training, you should have the skills and knowledge to: 1. Understand the features available through the Benefits pages. 2. View a summary of benefits information. 3. View a summary of dependent and beneficiary coverage information. Important! The Benefits Enrollment section of Self Service is inactive until annual enrollment begins. Retirees will receive information via e-mail or the U.S. Postal Service beginning November 1. Reminder: When navigating in Self Service, DO NOT use the Back button within your Internet browser window. Please use the navigation provided. Benefits Summary Procedure The Benefits Summary page displays an overview of a retiree's current benefit participation. Navigation: Self Service > Benefits > Benefits Summary Page 53

1. This is the Benefits Summary page. Enrollment information will display based on the current date. Benefit history information is not available through Self Service. Note: Federal retirees may see more options displayed on this page. Part-time (non benefit eligible) retirees will only see Tax Deferred Investment plans displayed on this page. Page 54

2. Details concerning some of your benefits may be available. To view additional information for the benefits in which you are enrolled, click the corresponding link. For this training example, click Medical. Page 55

3. The Medical plan name, provider, and coverage level will display. The Plan Name provides details concerning the plan in which the retiree chose to enroll. For this example, the retiree is enrolled in the Retiree Indemnity Medical After Tax program through Great West and the coverage includes both the retiree and his spouse. Page 56

4. Dependents display below the plan details. Click on the Name to view their personal information. For this training example, click Olive Blakeney. Page 57

5. Personal information will display. To update or change any of the information on this page, contact your Benefits Representative. Page 58

6. To return to the Medical details page, click the Return link. Page 59

7. To return to the Benefits Summary page, click the Return to Employee Benefit Summary link. 8. Dental and Vision benefit information will display similar to Medical plan information. Page 60

9. To view additional Life insurance information, click the Life link. Page 61

10. The Life Insurance plan name, provider, and coverage level will display. The Plan Name provides details concerning the plan in which the retiree chose to enroll. For this example, the retiree is enrolled in Basic Life Insurance 2x @35% - After Tax through Minnesota Life Insurance Company. 11. Covered beneficiary personal information can be viewed by selecting the name of the beneficiary. The personal information that will display for a beneficiary is the same as the personal information that will display for a dependent. Note: Contingent allocation refers to the secondary beneficiary or the person eligible to receive the life insurance benefits in the case of death of the primary beneficiary. Page 62

12. To return to the Benefits Summary page, click the Return to Employee Benefit Summary link. 13. AD/D benefit information will display similar to Life insurance information. 14. If enrolled, information about additional life insurance will display. Page 63

15. For information on all of the benefit options and plans available through the University, click the here link. Page 64

Dependent/Beneficiary Coverage Procedure The Dependent and Beneficiary Coverage Summary page displays current dependent and beneficiary information for the retiree. Navigation: Self Service > Benefits > Dependent/Beneficiary Coverage 1. This is the Dependent and Beneficiary Coverage Summary page. For each dependent associated with a Medical, Dental, or Vision enrollment and each beneficiary associated with a Life or AD/D enrollment, the Name, Relationship, Role (Dep-Dependent, Ben-Beneficiary), Type of Benefit, and Description will display. Page 66

2. In this example, the retiree has named his spouse as a dependent for his Medical, Dental, and Vision as well as a beneficiary for Life insurance. Additionally, his children are listed as beneficiaries for Accidental Death and Dismemberment plans. Click on the Name to view their personal information. For this training example, click Simon Blakeney. Page 67

3. Personal information will display. To update or change any of the information on this page, contact your campus Benefits Representative. Page 68
