OVERVIEW AudaDashboard is a Repairer / Bodyshop management information tool that provides an at-a glance view of the Key Performance Indicators that drive your business. Based on customer feedback a series of dashboards are provided covering business performance by work provider, by site and by estimator. Note: AudaDashboard is only available to Repairers / Bodyshops through Global Claims Centre. Once you have selected AudaDashboard from the My Services list within Global Claims Centre, the system provides a choice of dashboards, or metrics, for your company. All data shown is on a rolling 28 day period; this is updated on a daily basis in order this is to ensure consistency through your viewing day. Note: Outstanding Authorisations charts are updated on an hourly basis during the operational hours of 7am until 9pm. The Insurer (work provider) metrics are based upon your Insurers by volume for each site and part of the organization represented in the dashboard. This is represented by insurer not by work provider code or brand (i.e. rolled up to show RBS, Norwich Union, Royal & Sun Alliance, etc ) www.audatex.co.uk Service Desk: 0118 923 5666 Page 1
AudaDashboard s minimum (default) viewing size (on a standard 1024 x 768 screen setting) is 780 x 510 pixels. This is the size of the window within Global Claims Centre. You can expand this view by either hiding the application pane on the left of Global Claims Centre window or by expanding the application to view in Full screen mode. [See Global Claims Centre Quick Start Guide for more information] The layout of AudaDashboard AudaDashboard has five key areas as shown below: Chart type selection AudaDashboard Service Charting Window Chart Selection Pane Data Window AudaDashboard Service To enter the AudaDashboard you need to click on the AudaDashboard button from Global Claims Centre My Services pane. Choose the tab to be able to view metrics relating to one of the categories. Each of these tabs refers to a specific area of the business covered by AudaDashboard; Chart Selection Pane Overview this tab shows Key Performance Indicators for all sites Insurer Metrics this tab shows insurer Key Performance Indicators for a selected individual site Estimator Metrics this tab shows estimator Key Performance Indicators for a selected individual site When you first open AudaDashboard, the default view is your Company overview, as shown in the picture below. This tab allows you to view summaries for all sites or all claims (by insurers) within your company. Details of the metrics shown are explained below. Now you are in AudaDashboard, you can then choose to view performance data for a specific Site or by Insurer Metrics or by Estimator Metrics. From the Insurer Metrics tab you can choose to view: Overview, Outstanding Authorisations, Estimate Accuracy, Parts Vs. Labour Vs. Paint, Average Transmissions per Claim and Average Images Transmitted per Claim, these are shown split by insurer for each site. Note: The first time you open AudaDashboard the default view is the Overview for the Company by Insurer. From the Estimator Metrics (similar to the insurer metrics above) tab you can choose to view: Overview, Outstanding Authorisations, Estimate Accuracy, Parts Vs. Labour Vs. Paint, Average Transmissions per Claim and Average Images Transmitted per Claim, these are shown split by insurer for each site. Note: To choose the site in the Insurer Metrics or by Estimator Metrics use the drop down list. Charting Window Dependent on the Dashboard selected, a chart is shown. For all metrics except Estimate Accuracy the charts are shown as bar charts. Dependent on the tab you have selected on the vertical axis the chart will show Insurer, Site or Estimator. Each chart has an explanation of what it is currently showing; this can be seen in the chart tab. Each of the metrics shown within the Dashboard is colour coded and detailed in the legend as below. Note: Tables and Charts in AudaDashboard cannot be copied or printed. KEY PERFORMANCE INDICATORS Metrics Overview The metrics in AudaDashboard have been derived from feedback at our Global Claims Centre customer workshops. For best use of the Key Performance Indicators provided by AudaDashboard it is advisable that you do not focus on one Key Performance Indicator alone, but view multiple Key Performance Indicators and charts. For example; using the Estimate Accuracy and Average Transmissions per Claim combined provide a more informative view of the business than either of these metrics on their own. There are 14 different metrics, which when combined, are more meaningful and powerful than some individual metrics shown in AudaDashboard. Note: the 28 day period shown on the Key Performance Indicator charts is the period of time shown in reverse from the day of viewing. Thus if you view a chart on the 29 th day of the month the chart will show the period of the 1 st day through to the 28 th day of that month. AudaDashboard Overviews The overview Key Performance Indicator as shown below is available for your company showing Key Performance Indicators for Sites and Insurers. This dashboard shows a chart of average repair spends for Parts, Labour Paint and Other, split by the type chosen. Below, a chart and a table of these cost items and additional metrics, including Labour vs. Parts ratio, Total Labour Hours, Total Total Loss Hours. Information on how we calculate these metrics can be found in the Key Performance Indicators how they are calculated At-A Glance section below. An Overview is also available for each site under the Insurer Metrics and Estimator Metrics tabs. This contains the same metrics and can be seen by selecting the site and the Overview item in the Key Performance Indicator pane. Outstanding Authorisations The Outstanding Authorisations Key Performance Indicator is only available in the Insurer Metrics and Estimator Metrics tabs. Estimate Accuracy The Estimate Accuracy Key Performance Indicator is only available in the Insurer Metrics and Estimator Metrics tabs. Below, the dashboard shows a chart and table of data relating to the average total costs of a claim at First Transmission, First Authorisation and Last Authorisation. Unlike other charts the data split is along the horizontal axis, and the metric measurement is on the vertical axis. Data Splits Insurer Data in AudaDashboard is split in three different ways; by Insurer, Sites or Estimators. The splits are defined as below: The metrics for insurers shown are derived from the work provider code chosen for the claim. When shown the AudaDashboard will group all insurer work provider codes into one row, to show it on a per contract basis. These are shown on a 28 day basis and will show the insurers/work providers that you have worked with during the last 28 days. Note: if the incorrect work provider is chosen for a claim in AudaEnterpriseGold it will be incorrectly allocated in the Insurer metrics. Sites The metrics are shown as derived from your sites within your company. This is defined by the unique company code that you log in with. Note: If your company uses multiple company codes then each company has its own AudaDashboard. Due to data protection we cannot combine these dashboards into company view. Estimators The metrics are split by the estimators within your company. The metric is derived from the first person to send the claim outside of your company this will live with the claim for its life span. Note: If you are sharing usernames and passwords for accounts then data shown within the dashboard will be incorrect. Is calculated by taking the averages for Parts and Labour and then dividing the Average Parts Cost by the Average Labour cost. This is then shown as a percentage in the charts and tables. Is calculated by taking the Total Labour Hours for Claims that are not indicated as total loss by the ABI category in AudaEnterpriseGold. Is calculated by taking the Total Total Loss Labour Hours for Claims that are indicated as total loss by the ABI category in AudaEnterpriseGold. Is the total number of Claims transmitted (networked) over 24 hours old and not yet Authorised. Is the total number of Claims transmitted (networked) and Authorised. Is the total number of Claims transmitted (networked) but denoted as a total loss by having the ABI category shown. The First Transmitted Key Performance Indicator is the Average Total Claim Cost (excluding VAT) at the time of first transmitting a claim. The First Authorised Key Performance Indicator is the Average Total Claim Cost (excluding VAT) at the time of first authorisation of a claim. The Last Transmitted Key Performance Indicator is the Average Total Claim Cost (excluding VAT) at the time of last transmitting a claim. The Average Transmissions per Claim Key Performance Indicator is the Average number of transmissions (from repairer to insurer) per claim. The Average Images Transmitted per Claim Key Performance Indicator is the Average number of Images Transmitted per claim when images are Transmitted (i.e. excludes sends where no images are sent). www.audatex.co.uk Service Desk: 0118 923 5666 Page 12
Frequently Asked Questions Does the Insurer have access to my Dashboards? No. Access to this service is exclusively available through the use of your secure login details. In line with the Data Protection Act, the data that is contained within AudaDashboard is only your company s data and as such only available to your company. The only way that any third party can see the dashboards is if someone from your company gives them access. Our Key Performance Indicators do not match those from the insurer? Yes. The data within AudaDashboard relies upon what is transmitted to the insurer and exchanged within the 28 day window. If the status of a claim, work provider code, total loss status or any other information differs from the insurers, your metrics will not match. Note: The time period of review, the point at which the data is captured and the way the data is recorded and presented all affects the data. Unless the insurer captures the data at exactly the same point in time the AudaDashboard metrics will not match theirs. My total loss information is not correct and appears to be affecting my average costs? AudaDashboard uses the total loss ABI category to identify total losses; if this is not set in the claim then the claim will not be associated as a total loss metric. Ensure that you receive the correct notifications to update the status of the claims. Note: Unless the correct ABI category (for total loss claims) and status (i.e. Authorisation Status) is set, the Key Performance Indicators will appear incorrect when viewed. It is essential that those who use AudaDashboard ensure that these are set to the correct status for the claim or ensure that Authorisation mails are sent by Work Providers to update the status of claims.
