TERMS & CONDITIONS FOR ITU TELECOM WORLD 2014 REGISTRATION These terms and conditions govern your registration to attend ITU Telecom World 2014, to be held in Doha, State of Qatar from 7 to 10 December 2014 (the Event ). Participants accept and agree to be bound by these terms and conditions by registering for the Event, whether via the Event s online registration system, in person at the Event or otherwise. PASSES AND ENTITLEMENTS 1. The standard rate, discounted rate (if applicable) and a description of entitlements for each category of Passes is available on the Event website http://telecomworld.itu.int/ 2. A confirmation email will be issued upon successful completion of registration. Registration Code must be presented (along with a valid photo ID) onsite at the Event s registration desks in order to obtain the badge for the Event. Badges will not be mailed in advance of the Event. 3. No children under the age of 16 may register as a participant or be admitted to the Event. 4. Students can register for a Pass with free of charge. To be eligible for the Student Pass, individuals must be able to present at the registration counter a valid (i.e., not expired) student ID card issued by a recognized educational establishment. If a valid student ID card is not shown at the registration desk onsite, the badge will not be issued. 5. Early-Bird discounts apply as soon as registration for the Event opens online until 7 November 2014 (23:59h CET time zone). No other discount applies during this period. As of 8 November 2014 (00:00h CET time zone), if you belong to any of the groups listed below, ITU is pleased to offer a special discount for registrations completed up to 1 December 2014 (23:59 CET time zone). Note that discounts cannot be combined - only one discount can apply per purchase. To redeem a promotional code, enter it on the registration system when you make a purchase. 7. None of the discounts are applicable starting on or after 2 December 2014 (00:00 CET Time zone) except a special discount for Qatari Nationals and Qatari residents. 8. At onsite (From 5 to 10 December 2014), only a special discount on Silver and Bronze Pass for Qatari Nationals and Qatari residents is available. To be eligible to get this discount, individuals must be able to present a valid (i.e., not expired) national passport, national ID, or residence ID at the information counter. 9. By registering to this event I agree to be part of the prize draw and agree to its terms and conditions. CREDIT POINTS 10. Event Financial Contributors (meaning Sponsors, Showfloor participants, and Meeting Room renters), as well as certain special guests of ITU and their delegations, may receive access pass credit points that can be used to obtain passes of their choice at the applicable standard rate.
11. One credit point is equivalent to CHF 1. 12. Credit points can only be used to obtain Leader, Gold Plus, Gold, Silver, and Bronze categories of access passes at ITU Telecom World 2014, and cannot be converted to or redeemed for cash payable by ITU. By contrast, neither the One Session Invitation nor any of the following categories of access passes may be obtained using credit points: Media, Support, Organizer, Staff, Security, and Service Provider. 13. If an access pass obtained with credit points is cancelled, credit points cannot be re-credited but the pass can be transferred subject and according to the TRANSFERS section below. 14. Credit points are cumulative; i.e. for accounts that purchase multiple products, or accounts that purchase product(s) and also receive free passes as part of an invitation. 15. Credit points will expire (reset to zero) on the last day of the event, 10 December 2014 (23:59h CET time zone), and cannot be used, applied or transferred to obtain passes or any products at any future ITU event, including Telecom World. 16. Credit points cannot be combined with any form of payment (i.e. credit card, bank transfers or cash). PAYMENTS 17. Approved Payment Methods: 17.1. Credit Card: Payment through this method is strongly recommended. Applicable for pass purchases made on-line from as soon as registration for the Event opens until 10 December 2014. Credit cards accepted: Visa, MasterCard, and American Express. 17.2. Bank Transfer: Payment through this mode is not encouraged due to the variable time it may take to complete the process. Applicable for Pass purchases made on-line from as soon as registration for the Event opens. Cash Payments: For on-site purchase only from 5 to 10 December 2014 (see valid currencies specified in item below). 18. Payment must be received in full by ITU before any passes can be issued. Upon receipt of the full payment, ITU will issue a confirmation email and provide the appropriate registration codes to allow online registration of individuals for the purchased Passes. 19. Currency 19.1. Prices are in Swiss Francs (CHF). Exchange rate will be based on the prevailing UN Operational Rate of Exchange. 19.2. Invoices are issued only in CHF. 19.3. On-site accepted currencies: United States Dollars (USD) or Qatari Riyals (QAR). 20. The badges for the Event will be issued on site between 5 and 10 December 2014. CANCELLATIONS AND REFUNDS 21. To request a cancellation/refund of an access pass, an email must be sent to registration team at the e- mail address: registration.telecom@itu.int.
22. Fifty percent (50%) of the total paid price for the Passes may be refundable provided that the request for cancellation/refund has been received by ITU no later than 31 October 2014 (23:59h CET time zone), except as set forth in paragraph 21. 23. For requests for cancellation/refund received by ITU as from 1 November 2014 (00:00h CET time zone), no refunds shall be made. 24. Transferred Passes may be cancelled at any time but no refund shall be made by ITU, regardless of the date on which such passes are cancelled. 25. Participants are responsible for cancellation of travel and hotel reservations if participants do not attend the Event for any reason. 26. ITU reserves the right to cancel a participant s registration without notice if payment as required by these Terms and Conditions is not received by ITU in a timely fashion or if such participant fails to provide details as required in the relevant registration form. 27. In the case of cancellation of the Event for whatever reason, ITU shall have the right to cancel any and all registrations, and ITU shall refund to each participant whose registration has been so cancelled an amount equal to the price paid by such participant to ITU in order to purchase Passes. Each participant acknowledges and agrees that cancellation by ITU shall not give rise to any further claim or remedy whatsoever by participants against ITU, including but not limited to, claim for costs, damages and/or losses incurred in connection with such cancellation. 28. ITU s right to cancel registrations shall be without prejudice to any rights, privileges, immunities or facilities to which ITU is entitled, and is subject to the Limitation of Liability provisions below. TRANSFERS 29. Passes can be transferred by sending the request to the registration team at the email address: registration.telecom@itu.int. If the transfer request is approved by ITU Telecom, the confirmation of the transfer approval will follow from the registration team. 30. Only the Leader, Gold Plus, Gold, Silver, Bronze, and Student categories of access passes can be transferred. By contrast, none of the following categories of access passes may be transferred: Media, Support, Organizer, Staff, Security, and Service Provider. UPGRADES 31. To request an upgrade, an email must be sent to registration team at the e-mail address: registration.telecom@itu.int. 32. Only the Gold Plus, Gold, Silver, Bronze, and Student categories of access passes can be upgraded. By contrast, neither the One Session Invitation nor any of the following categories of access passes may be upgraded: Leader, Media, Support, Organizer, Staff, Security, and Service Provider. 33. The Pass Upgrade price is calculated based on the difference between the applicable rate of the initial pass purchase (i.e., standard or discounted rate) and the applicable rate of the upgraded pass at the time of the upgrade (i.e., standard or, if eligible, discounted rate). 34. Passes obtained for free are valued at standard rate. 35. Upgrades shall be made once the relevant payment has been received in full by ITU.
36. Upgrades cannot be paid for with credit points.
TRAVEL AND OTHER AUTHORIZATIONS 37. Participants are solely responsible for obtaining all authorizations which are necessary (i) to travel to and gain entry into the country where the Event is taking place, as well as (ii) to attend and participate in the Event. Participants are solely responsible for all costs and expenses associated with (a) obtaining such authorizations, and/or (b) attending and participating in the Event; including, without limitation, any visa, permit, travel, meal, accommodation and insurance costs and expenses. ITU shall have no liability or obligation in connection with any such authorizations, costs or expenses, including without limitation in the event of any participants inability to attend the Event due to lack of necessary authorizations. MEDIA 38. By attending the Event, each participant acknowledges and agrees to grant ITU the right at the Event to record, film, photograph or capture the likeness of such participant and its representatives in any media now available and in the future developed, and to use, copy, modify, distribute, broadcast or otherwise disseminate at any time and on a global basis such media, without any further approval from or payment to such participant or any of its representatives. TITLES, ACRONYMS AND LOGOS OF ITU AND THE EVENT 39. The name, title, acronym and logo of ITU and of the Event are the sole property of ITU and shall not be used by any participants or any of their representatives without the prior written authorization of ITU. Subject to compliance with the foregoing, any use of the Event name, title, acronym and/or logo shall be permitted only if such use is in accordance with the conditions for their use, available upon request from ITU, and solely in connection with promotional activities relating to the Event. CHANGE OF VENUE, LOCATIONS, SPEAKERS, AND DATES AND HOURS 40. ITU reserves the right, at any time in ITU s discretion, to change the Venue, location, speakers, moderators, format, content, program, dates and/or hours of the Event or any of its activities. Participants acknowledge and agree that any such action shall not give rise to any liability or obligation of ITU, nor to any claim or remedy by participants. LIMITATION OF LIABILITY 41. ITU excludes and disclaims all liability and responsibility arising from or relating to any death, personal injury, theft, loss, injury or damage to any and all participants or property at or in connection with the Event. Each participant acknowledges and agrees that such participant assumes the entire risk arising out of or in connection with such participant s attendance and participation at the Event. 42. ITU shall not be liable for any actual or alleged direct, indirect, special, incidental or consequential costs, expenses, damages or losses that are suffered by any participants (including, without limitation, as a result of any cancellation of registration) or that otherwise arise in connection with the Event, including but not limited to loss of profits, loss of anticipated profits, loss of savings, loss of business revenue, loss of business, loss of opportunity, loss of goodwill, or any other type of economic loss. PRIVILEGES AND IMMUNITIES 43. Nothing contained herein or relating hereto shall be construed as a waiver, whether express or implied, of any of the privileges, immunities or facilities which ITU or any of its officials enjoys by virtue of the international agreements and national laws applicable to ITU. ITU hereby expressly reserves all such privileges, immunities and facilities.
