Exhibitor Rules and Regulations Application and Eligibility: Application for exhibitor booth space must be made electronically by visiting https://www.regonline.com/2018eccexhibitors. All applications must contain all of the information that is requested and be executed by an individual who has the authority to act on behalf of the applicant. This exhibition is designed for the display and demonstration of products and services related to the practice of and professional education of those attending the NJ ENA Emergency Care Conference. NJ ENA shall determine the eligibility of any company, product, or service. NJ ENA may reject the application of any company whose display of goods and services is not compatible, in the sole opinion of the NJ ENA, with education character, and objectives of the exhibition. In the event that an application is not accepted, any paid space rental fees will be returned. Booth Assignment: Upon receipt of your application and contract to exhibit, NJ ENA will send an email confirmation of your booth assignment. Exhibitor Company Representatives: During registration, companies will be prompted to register the names of the on-site company representatives. NJ ENA limits the number of company representatives to two (if you wish to send more representatives contact Kim). Each additional exhibitor who is registered in advance will receive a printed exhibitor badge at the time of on-site registration. All personnel representing the exhibitor on the exhibit floor during official show hours or at the conference events must be properly identified with the official conference badge. Exhibitor registration will be open during set up of the exhibition and throughout the duration of the conference. Any exhibitor who wishes to attend the educational program sessions for continuing education credits must register, at additional expense. Please contact exhibit hall chair for more information. Payment Details: Payment is due with the completed application and contract to exhibit. Full payment for booth space rental is due within 3o days of registration. Exhibitors are responsible for ensuring that their corporate offices send payment in a timely manner. In the event that full payment is not received within 30 days, the NJ ENA reserves the right to release space back into general inventory. There is a $50 fee for returned checks and denied credit cards. No checks will be accepted within 30 days of the conference. Purchase orders will not be accepted without prior authorization from the conference and exhibit chairs. Cancellation Policy: Reservation cancellation or reduction of reserved space must be made in writing and sent to the exhibits chairs. Cancellations before January 30, 2018 will have 50% of original contracted booth rental fee returned. For cancellations received on or after January 30, 2018, no refund will be given.
When inclement weather is occurring in the region of the conference, please visit our website and/or contact us for further instruction. If you register and do not attend yet the conference is able to run on the same day as posted on our calendar, you are still responsible for payment. Display Regulations: No exhibit may block or interfere with a neighboring exhibit. All display materials shall not exceed 8 feet in height and stay within the booth space. No combustible decorations, such as crepe paper, tissue paper, cardboard, or corrugated paper, shall be used. All packing containers, excelsior, and wrapping paper should be removed from the floor and must not be stored under the table. In order to conform to local fire ordinances, as well as the National Board of Fire Underwriters, all decorative materials, including fabrics, must be fire resistant and meet with standards established by the Fire Marshal s Office. Balloons may or may not be allowed due to fire code and infra-red devices. The decorator will advise exhibitors if they are allowed and what fees may apply. No live animals of any size will be permitted within the show facility with the exception of service animals. Equipment Demonstration: Equipment being demonstrated must be set at least two feet from the aisle line of the exhibit. Space must be left within the exhibit area to absorb the booth personnel and spectators. Should spectators interfere with the normal traffic flow in the aisle, overflow into neighboring exhibits, or divert aisle traffic, the demonstration must be limited or eliminated. If moving equipment or displays with moving parts are being used, they must be presented and function in a safe manner, with appropriate safeguards to assure the safety of all present in the exposition halls. The Exhibitor is solely liable for the operation of all displays and agrees to indemnify and hold NJ ENA, its officers, volunteers, employees, guests, invitees and agents harmless from any and all claims of liability arising out of Exhibitors exhibit, demonstration and the like Installation and Dismantling Installation: All exhibits must be set up by 4:00 pm on Wednesday, March 21, 2018 without exception. Assembly of exhibits during regularly scheduled exhibit hours will not be permitted. Dismantling: The official closing time of exhibits is 11:00 am on Friday, March 23, 2018. All exhibit material must be packed and ready for removal from the exhibit area no later than 2:00 pm on Friday, March 23, 2018. No packing of equipment or literature or dismantling of the exhibits is permitted until closing time (11:00 am on Friday). Any company violating this regulation will be fined $250 and may be denied exhibit space at any future NJ ENA conferences. Failure to Occupy Space Any space not occupied at the exhibit facility by 4:00 pm on Wednesday, March 15th, 2016 shall be forfeited by the exhibitor and space may be resold, reassigned or use by the NJ ENA without refund, unless a request for delayed occupancy has previously been received with written approval from the exhibit chair. Raffle/Prize Drawings The exhibitors shall be allowed to hold prize drawings at their booths. All prize drawing activities must be conducted within the exhibit hall. No announcements will be allowed in the meeting room. The exhibitor is responsible for contacting winners and delivery of prizes. Communication on the time of the drawing shall be available through signage at the exhibitor s booth.
Insuring Exhibits Exhibitors are responsible for obtaining any insurance that may be necessary to protect their exhibits, merchandise and display materials against theft, fire, etc. at their own expense. It is suggested by NJ ENA that the exhibitor contact the exhibitor s insurance broker and obtain all-risk insurance covering exhibit property while absent from home premises for exhibit purposes or a rider to the exhibitors existing policy covering same. Neither the exhibit facility nor the NJ ENA will be responsible for loss or damage to any property in storage, in transit to or from the exhibit building or while in the exhibit building, not for any loss of income as a result of any reduced sales due to such loss or damage. All property of the exhibit will be deemed to remain under the exhibitor s custody and control in storage, in transit to or from or within the confines of the exhibit hall, even though may at times be under the temporary control or direction of NJ ENA. Liability for Damages and Losses to Property The exhibitor shall protect, indemnify and hold harmless the NJENA, the exhibit facility and the Official Contractor from any and all liability, loss, damage or expense by reasons of any injury or injuries sustained by any persons or property or loss of property or income that might be derived there-from occurring in or about the exhibit premises or entrances thereto or exits there-from, including that caused by or resulting from he negligence of the NJENA and from any and all liability for breach of exhibitor s representation warranties herein. The exhibitor assumes the entire responsibility and liabilities for losses, damages and claims arising out of the exhibitor s activities on the Hotel premises and will indemnify, defend and hold harmless the Hotel, its owners and its management company, as well as their respective agents, servants and employees from any and all losses, damages and claims. Conduct of Exhibitors The advertisement or display of goods or services other than those manufactured, distributed or sold by the exhibitor in the regular course of business and identified in this contract is prohibited. An exhibitor may not assign, sublet or apportion all or any part of the contracted booth space, nor may an exhibitor permit the display, promotion, sales or marketing of non-exhibitor produces or services. Interviews, demonstrations and distribution of literature or samples must be made within the booth area assigned to the exhibitor. Canvassing or distributing of advertising outside the exhibitors own tabletop will not be permitted. There is no restriction of selling on the exhibit floor provided that sales transactions may be conducted only within the proximity of the exhibitors own booth. Exhibitors are responsible to the Internal Revenue Service for the collection and submission of the applicable state and local sales taxes for sales which occur on the exhibit floor. No part of the display, including products, is permitted outside the exhibit space. Products and furnishings should be arranged with the safety of exhibitors and attendees in mind. NJ ENA reserves the right to restrict the operations of, or evict completely, any exhibit which, in the sole opinion of NJ ENA, detracts from the general character of the exhibition as a whole. This applies to displays, literature, advertising novelties, souvenirs, conducts of persons, etc. No exhibits will be permitted which interfere with the use of, or impede access to, other exhibits or impede free use of the aisle. Miscellaneous NJENA shall the have the sole authority to interpret and enforce all terms and conditions governing exhibits and this exhibitor. Any and all matters not specifically covered herein are subject to decision by NJENA. These terms and conditions may be amended at any time by the Association upon written notice to all
exhibitors. The exhibitor expressly agrees to be bound by the terms and conditions set forth herein and by any amendments thereto adopted by the NJENA from time to time.
