Accessing Paylease Go to www.paylease.com, enter your login & password: Be sure you select Property Manager. Logins are shared by the property; if you reset the password, please let everyone know!
Dashboard
Homepage & Dashboard The dashboard gives you a quick snapshot of PayLease activity at your community. Select an option from the top menu bar to continue.
Transaction Menu
Transaction Menu From the Transaction menu, click View Transactions. You can search for a specific payment, filter by date range, or filter by resident. The Transaction list will give you all of the details for the payments, including: Transaction number, status, date the resident made the payment, amount, and type of payment. Clicking on blue links will give you additional details.
Transaction Status Statuses Explained! Processing PayLease is processing the payment, and it will be deposited soon Paid out PayLease has deposited the funds in your bank Cancelled Your resident cancelled the payment before it processed Returned The payment was declined by the bank. Deposit Menu
View Deposits You can search deposits by date range. The search results will give you the individual transactions and the deposit total. Clicking Re-Send Email will send the deposit report for that batch to your email address. The Managed Deposits menu only gives you summary data for the deposit batches.
Payments Menu
Payments Menu From the Payments menu, you have four options: One-Time Payment you can manually enter a single payment for your resident Create Fixed Autopay you can manually create a recurring payment for your resident View Fixed Autopays Cash Pay create, print and email Cash Pay cards for your residents and look up payment locations. Please note: It is always preferred that residents log in their accounts themselves and submit their payments.
One-Time Payment YOU MUST HAVE A SIGNED PREAUTHORIZED PAYMENT FORM BEFORE YOU CAN ENTER PAYMENTS ON BEHALF OF YOUR RESIDENT! Step One: Search for your resident by name and click Make Payment link Step Two: Enter the dollar amount of the payment and click Continue Step Three: Select Bank Account or Debit/Credit Card Please note there is an additional fee for credit card payments. This will be charged in addition to their payment amount.

Fixed AutoPay The steps for Fixed AutoPay are identical to one time payments with one exception: Payment Schedule Select the date for the recurring payment to start Select the frequency (monthly) And select the final payment.the final payment date should coincide with the lease end date. It is not recommended that auto pays be set up for: 1. Housing assistance recipients, as their portion can change frequently. 2. Residents at communities that have rent increases throughout the year
Fixed AutoPay View Fixed AutoPay will give you a list of existing autopayments. You have the option of skipping a payment, and editing and cancelling autopayments, but be sure you have something in writing from the resident before you do so.
Cash Pay
Cash Pay We do not, at any time, accept cash payments on property. With PayLease, your residents will now have the option of making a cash payment at a vendor location. To see what locations near you accept PayLease Cash Payments, click on Locations and enter your ZIP code and radius. All WalMart stores and Ace Cash Express locations are PayLease partners.
Cash Pay Your residents will need a Cash Pay card to make a payment at a vendor location. To print/email their Cash Pay card: Click Issue Cash Pay Card Select your resident Click on Rent/Lease Payments Select Dowload Payment Card or Click Email Card You also have the ability to search locations from this screen, as well.
Residents Menu
View Residents From the View Residents menu, you can: Edit their contact information View their payment history Print/email their CashPay card Enter a payment You cannot, at any time, add new resident accounts. Your resident data pulls automatically from OneSite. Also, only current residents not former residents or applicants can participate in PayLease.
Resident Self-Service
Resident Self-Service Affordable/Market properties: Your property website will be updated with a Pay Rent Online button. Signature properties: a link is added to your resident portal, but your resident MUST use the PayLease link for credit card payments. They cannot use the Pay Now button for credit card. When the click the button/link, they will be taken to the Richman portal page. New Users will need to select their property and enter a unit number, and click Proceed with Registration.
Resident Self-Service All household members names will populate. They will select their name, enter their email and create a password, and click on Create Account.
Resident Self-Service Once their account is created, they can: Make payments View their history See their current AutoPay schedule Change their payment methods (bank accounts/credit cards Update their profile
A Few Final Notes 1. Always make sure you have a SIGNED preauthorized payment form before you schedule a payment for a resident 2. You cannot take cash payments in the office 3. Only current residents can pay online via PayLease 4. Once your resident has 2 returned payments, they cannot make online ACH payments only credit card or cash pay. This will also automatically update in OneSite, the same as any other returned payment. If checks and ACH are blocked, your resident can still pay online with credit card or via cash pay at a vendor location. 5. All resident and payment data will automatically transfer into and out of OneSite. You will not need to do any payment entry! All PayLease batches start with 400 series numbers, and you can pull your deposit detail from OneSite as well as PayLease. 6. You will need to block payments in OneSite AND in PayLease the day before sending files to the attorney for eviction.
