THE DATA CONNECTION Upcoming Policy Data Reporting and Proof of Coverage Changes NCCI continuously evaluates the policy data reporting requirements and the Proof of Coverage (POC) process to ensure their accuracy and effectiveness. Look for these upcoming enhancements: Enhancement Effective Date Description Elimination of Hold Conditions Starting Fourth Quarter 2016 NCCI will no longer hold POC Employer records that receive a Data Grade 7 for missing or invalid data. We will instead send the data to the POC states. We will continue to hold records for these exceptions: Unlinked Names Unlinked Addresses All names and addresses linked together with 10 or more names and 10 or more addresses reported Name Standardization For policies effective NCCI will no longer be splitting multiple names when reported on January 1, 2017 the same name record. State Nonrenewals and Starting Fourth Quarter 2016 NCCI will allow carriers to submit a nonrenewal for a specific state on a Reinstatements multistate policy. Previously when a nonrenewal transaction was reported for a multistate policy, the nonrenewal status would apply to all states on a policy. JULY 2016 2016 Data Educational Program Recap More than 300 data reporting customers almost half attending for the first time converged on NCCI s annual Data Educational Program (DEP), held January 26 29, at the Palm Beach County Convention Center. This year s theme was Your Blueprint for Data Reporting Success, with 34 training sessions offered on the reporting of Proof of Coverage, Policy, Unit Statistical, Financial Calls, Detailed Claim Information, and the Medical Data Call. The event kicked off with NCCI s Corporate Information Security Executive James Murray discussing today s expanding mobile world, the importance of cybersecurity, and preventive approaches NCCI has implemented within the mobile environment. Training Tip: Did you know that the presentation slides and user s guides for all classes covered at the January DEP are available on the Data Reporting page on ncci.com? HERE S WHAT SOME OF OUR CUSTOMERS HAD TO SAY ABOUT THE EVENT: I really enjoyed the new one-hour DEP short sessions relating to unique data topics. I was very enthused and impressed with the DEP sessions and the professionalism and knowledge of the speakers. This was my first time going, and I m also new to statistical reporting. I learned a lot, and it will make my job easier. NCCI received 98.6% of the expected Financial Call data on time up from last year s 97% result. Thanks to our data providers for working in partnership with NCCI to achieve this result. Data reported in the 2016 Financial Call reporting season is utilized in NCCI s state rate and loss cost filings made throughout 2016 and into early 2017. Page 4

JULY 2016 Requesting Data Reports Just Got Easier The enhanced Data Reports feature is now available through DCA Access Online, the Policy Data Collection tool, and the Detailed Claim Information tool. Request NCCI-generated and customer-generated reports through a single access point with simplified menus and descriptions. Take advantage of the improved display of error messages and identify what specific fields generated the errors. Highlights of the enhanced Data Reports feature include: Requests for NCCI-generated and customer-generated reports through a more simplified portal Direct links from ncci.com for convenient access Enhanced labels, filters, sort capability, and calendar features Customized selection criteria with specific options and dynamic fields for each report Mobile-friendly view The following are examples of how to access NCCI- and customer-generated reports: Select the NCCI Generated tab for access to all available Policy Submission Results Reports in all formats. Select Customer Generated to customize your report based on selected criteria. Finish the request by naming it and selecting the format. State Reporting Rhode Island Proof of Coverage Update (FYI-POC-RI-2016-01) Provided reporting requirements for the Unemployment Identification Number. Medical Data Call Reporting Changes for Pharmacy Benefit Manager and Medical Marijuana (MED-2016-01) Provided upcoming changes to medical data reporting requirements. Proof of Coverage (POC) State Guide (April 2016) Updates include reformatting the POC Data Reporting Requirements section of the guide for consistency in all states. THE DATA CONNECTION Data Tips Carrier Contact Information at Your Fingertips Have you ever tried to contact a coworker who reports a different data type but didn t know their name or how to reach them? The Carrier Information feature is a handy solution to that problem. The feature is accessible through DCA Access Online, the Policy Data Collection tool, and the Detailed Claim Information tool. For example, if you are responsible for Unit Statistical reporting and need to contact your company s Policy Reporting Contact to help you resolve an open Unit notification, it only takes three easy steps: Step 1: Access the Carrier Information tab: Step 2: Select the Contact tab: Step 3: All data reporting contacts are displayed, including Mary Reporter, the policy contact you want to reach. JULY 2016 Data Tips (Cont d) Reporting Vocational Rehabilitation Job Placement Expenses Vocational Rehabilitation includes many different expenses that must be allocated properly into the four Detailed Claim Information Vocational Rehabilitation Expense reporting fields. Job placement is an expense you should report in the Vocational Rehabilitation Education Expense Amount Paid field. There may be instances where you cannot separately identify job placement expenses. In these instances, you must report the expense in the Vocational Rehabilitation Other Paid field. The following table provides a high-level view of how to allocate these expenses: Vocational Rehabilitation Fields Expenses Included Vocational Rehabilitation Education Expense Education/training costs including tuition, books, Amount Paid and tools. Vocational Rehabilitation Evaluation Expense Testing and evaluating the claimant s ability, aptitude, and/or Amount Paid attitude in determining suitability for vocation rehabilitation or placement. Vocational Rehabilitation Maintenance Benefit Amount Paid Vocational Rehabilitation Other Paid Related expenses enabling the claimant to receive or participate in Vocational Rehabilitation services. Other expenses not included in Education, Evaluation, or Maintenance. Page 9

JULY 2016 Data Tips (Cont d) Medical Data Call Medical Marijuana Reporting Did you know that Medical Data Call reporting for medical marijuana is based on how the prescription was reimbursed? This includes separate Paid Procedure Codes (MM001 and MM002) for carrier reimbursements to the injured worker and to the dispensary. Medical marijuana reporting also requires using Taxonomy Code (175F00000X) and a new Place of Service Code (02) for Dispensary. Let s look at two medical transaction scenarios to see how these fields would be reported: Scenario 1: A claimant obtains a prescription for medical marijuana at the dispensary, and pays for it out of pocket.
