Introduction to Open Enrollment Each year during open enrollment benefits-eligible employees have the opportunity to update their Medical, Dental, and Vision plan elections; set aside pre-tax money into Health Savings Accounts(HSA), Health Care Flexible Spending Accounts(FSA), Limited Purpose FSA or Dependent Care FSA; make other elections or changes to life and disability benefits and additional benefits for the upcoming plan year. This User Guide is intended to help you get familiar with how to make your benefit elections in Workday. Please utilize resources available on the Benefits & Payroll website for important information that you will need to make your benefit decisions. Accessing Your Open Enrollment Action Item When the Benefits Department launches Open Enrollment on Workday, you will receive an email from the Benefits Department. Upon receipt of the email please follow the steps below: Log in to Workday (workday.simmons.edu). Click your name in the upper right corner of the screen. Choose Inbox from the list
You will see the Action Item Open Enrollment Change in your list of Actions. Click on it to open the Action item. Click on the double-arrow icon in the upper right corner if you would like to expand the Open Enrollment Action item to a full-page view. 2
There is important information on each page of your Open Enrollment Action Item! Be sure to read this information carefully before making your selections. Changing Your Benefits There are 7-8 steps, depending on your elections, for you to complete Open Enrollment Action Item. If you make no changes to your benefit elections, your current elections for most plans will carry over through the next plan year. All Flexible Spending Accounts (Health Care FSA and Dependent Care FSA), Health Savings Accounts and Charitable Contributions must be re-elected each year. Your coverage will default to waived if you do not actively make an election for these plans. You do not have to complete all of your Open Enrollment Elections at once. At any time, you can Continue to the next step, Save for Later, or click More to Go Back a step. Setup your Health Care Elections. This includes medical, dental and vision insurance plans. First, you must choose to either Elect or Waive each Heath Care Benefit Plan. If you are currently enrolled in any of these plans, your current elections will be displayed. Click on the pick-list icon in the Coverage column to change that plan s coverage (i.e. from Employee to Employee + ). 3
If you select Coverage for a plan that includes eligible dependents, you must Enroll the Dependents of that plan as well. Click on the pick-list icon in the Enroll Dependents column, click Create then Add My Dependent From Enrollment If you already have an Emergency Contact or Beneficiary setup in Workday, you can import their information into the Dependent Enrollment form. (If you do not, please go to page 6.) 4
After importing your Emergency Contact or Beneficiary, finish filling out the form and Click OK. 5
If you do not already have an Emergency Contact or Beneficiary setup in Workday, you must create a new Dependent. 6
Once you have completed your Health Care Elections, Click Continue. If you have set up new Dependents, you will enter the Provider ID (for HMO plan subscribers) and SSN of each Dependent. If you did not elect the HMO Plan, you will not be prompted to complete this screen. Click Continue. If you have chosen the PPO plan, you will have the option to Elect the Bank of America HSA plan and the HSA catch-up if you are eligible. Please refer to exclusions to PPO plan participation on the Benefits & Payroll intranet before you make this election. If you did not enroll in the PPO, you are not eligible to participate in the plan, click Continue. (Please note, if you would like the Simmons HSA contribution provided to PPO members, then you must ELECT the HSA plan. You are not required to put money into the plan yourself but you must at least ELECT the HSA, this way Simmons knows you would like to receive the Simmons HSA contribution) 7
Set up your Spending Account Elections. Click Continue. 8
Setup your Life and Disability Insurance Elections. Click Continue. 9
Set up your Beneficiary Designations. Add Contingent Beneficiaries if you wish. Click Continue. 0
Setup your Additional Benefits Elections. As a benefits-eligible employee of Simmons College, you are automatically enrolled in some benefits which have been included on this screen as a reminder. These benefits have been greyed out and you will not be able to edit them since these are automatically enrollments.
The last step of Open Enrollment is to review your Benefits Elections. Be sure to look at the Employee Cost (Monthly) column and Employer Contribution (Monthly) columns. Click on the symbol next to Waived Coverage and Beneficiary Designations to expand and view those areas. Once you have reviewed and confirmed your benefit elections are accurate, scroll to the bottom of the page and click the box next to I Agree indicating you have given your Electronic Signature. Click Submit. 2

Providing Evidence of Insurability Depending on your Life Insurance Benefits Elections, after submitting your FY8 Elections you may receive another Action Item in your Inbox to provide Evidence of Insurability (EOI). Please be sure to submit the EOI as soon as possible, but no later than 30 days of your election. Without approval of the requested limits EOI by the vendor (Liberty Mutual) your life insurance elections will default to the highest level available without an EOI. 4
Reviewing Your Open Enrollment Elections From your Inbox, click on the Archive tab to see the details of your Open Enrollment Elections Changing Your Open Enrollment Elections You can change and re-submit your Open Enrollment Elections as many times as you like until Open Enrollment closes on May 2, 207. From the Workday Home Page, click on the Benefits worklet 5
Click Change Open Enrollment. Follow steps as above through Submit. Print the confirmation form for your records. 6
