The Recreation Center is operated by the City of Wheat Ridge Parks and Recreation Department. Please note it is the Renter s responsibility to inform all caterers, rental companies, musicians, etc. of the following guidelines. ROOM CAPACITY: The capacity of the Ballroom is 250 people seated banquet (reception) style or 300 people seated theater style. It can be divided into three sections that accommodate up to 75 people each banquet style or 100 people each theater style. Please note, due to parking issues, weekday rental groups are limited to no more than 150 people. HOURS OF AVAILABILITY: Monday Thursday 7:00am to 10:00pm Friday (September May) 7:00am to 4:00pm Friday (June August) 7:00am to 12:00am Saturday 11:00am - 12:00am Sunday 12:00 noon 8:00pm RENTAL RATES AND DEPOSITS - Individual Sections: Monday - Thursday (7:00am 10:00pm) Friday (7:00am 5:00pm) $45 per hour per section, $300 maximum per day per section (plus 3% tax) Rental hours must include time for setup and cleanup $100 damage deposit per section secures the reservation

Friday (5:00pm 12:00am) Saturday (11:00am 12:00am) Sunday (12:00pm - 8:00pm) $75 per hour per section (plus 3% tax) Rental hours must include time for setup and cleanup $100 damage deposit per section secures the reservation RENTAL RATES AND DEPOSITS - Entire Ballroom: High Season: May - September Friday (5:00pm 12:00am), Saturday (11:00am 12:00am), and Sunday (12:00pm - 8:00pm) $2,000 for all-day rental, or $225 per hour Low Season: October - April Friday (5:00pm 12:00am), Saturday (11:00am 12:00am), and Sunday (12:00pm - 8:00pm) $1,800 for all-day rental, or $225 per hour ADDITIONAL COSTS: Police Coverage Police coverage is required for Friday and Saturday evening events that run past 8:00pm, have more than 100 people and are serving alcohol. Coverage must be provided by a Wheat Ridge police officer designated by the Wheat Ridge Recreation Center. The fee for police coverage is $160.00. Liability Insurance - The City of Wheat Ridge requires special events liability insurance for any group over 100 people serving alcohol. The liability insurance must name the City of Wheat Ridge as an additional insured for the amount of $1,000,000 (one million dollars). Proof of this insurance is required two weeks prior to your event. Insurance may be obtained through your caterer or private insurer, or it may be obtained through the City of Wheat Ridge. If coverage is obtained through the City, the premium is $108.00 for groups of 100-150 people and $126.00 for groups of 150-250 people. The Facility Rental Coordinator will order the insurance and add the cost to your rental fee. This fee is non-refundable. Fundraising events at which alcohol is served must acquire additional coverage; see the FUNDRAISERS section below for details. BALLROOM RENTAL AGREEMENT: Renters using the Ballroom must complete the Ballroom Rental Agreement prior to use. Only the rooms reserved are available to the Renter. Guests must pay a facility admission fee to use other areas of the Recreation Center (i.e. gymnasium or pool). Additional information is available on party packages and group rentals utilizing the gymnasium, pool, climbing wall and other Recreation Center amenities. These packages require other guidelines. Please feel free to ask for specifics.

DAMAGE DEPOSIT: The damage deposit is due at the time the reservation is made. No reservations are confirmed until the damage deposit has been received. The damage deposit acts as a safeguard against damages incurred and also guarantees the reservation of the room. Damage deposits may be paid by cash, check or credit card (Visa, MasterCard or Discover). The deposit payment is processed immediately, is kept separate from the rental fee and is refundable within three weeks after the event, provided there is no damage to the facility or excessive cleaning required. RENTAL FEE: The total balance of the rental fee must be received two weeks prior to your event, as well as the completed Ballroom Rental Agreement, the Agreement for Serving Alcohol and proof of liability insurance (if required). Fees paid less than two weeks prior to your booking must be paid by credit card or cash. If fees are not paid ten days prior to the booking, the reservation may be cancelled by the City of Wheat Ridge. Rental fee includes setup and take down of tables and chairs by Recreation Center staff. The room setup may not be changed once the event has begun (with the exception of opening or closing the section walls). Please finalize your setup arrangements with the Facility Rental Coordinator at least two weeks prior to your event. LATE FEES: The room must be entirely vacated by the contracted ending time. This includes all guests, caterers and disc jockeys. If the room is not vacated on time, late charges are applied and deducted from the damage deposit at the appropriate hourly rate. Friday and Saturday rentals that are not vacated by 12:00am are charged a late fee of $350 per hour. ALCOHOL/LIQUOR: No liquor license is required to serve alcohol as part of your event. However, the following conditions must be met: The serving of alcohol is limited to five hours and must stop lat least one hour prior to event end time. Alcohol is limited to cans and bottles. Kegs are prohibited. Alcohol is allowed only within the Recreation Center rooms rented and in the fenced-in patio areas. No alcohol is allowed in the parking lots or lobby area. Alcohol must be provided by the rental group and served as part of the event; the sale of alcohol is not allowed. Alcohol is to be provided by event host only; guests may not bring in their own. Renters serving alcohol must sign an Agreement for Serving Alcohol. A caterer or responsible adult must be assigned to monitor the serving of alcohol. The hours for serving alcohol and the type of alcohol served must be noted. All after-hours Friday & Saturday rentals that are serving alcohol must provide a valid credit card number to be used in case of charges exceeding the damage deposit. Note: The City s representative cannot advise in regard to liquor consumption and the responsibility lies with the Renter to comply with Colorado Liquor Laws in regard to the dispensing of alcohol. The Renter is responsible for the compliance of all pertinent laws, statutes, ordinances, governmental and quasi-governmental regulations, without limitation, pertaining to liquor.

EQUIPMENT RENTAL: Each section of the Ballroom is equipped with an automated pull-down projection screen. The following items are available to rent: 50 or 100-cup coffee maker $10 DVD/VCR/television $35 LCD projection system $75 Easels with paper $15 Podium/microphone $25 Easels without paper $10 Lapel microphone $25 Telephone $10 Photocopies $.15 each FURNISHINGS AVAILABLE: 300 chairs 30 6 ft round tables (seat up to 10 people) 20 6 x 3 ft rectangular tables (seat up to 6 people) 1 Coat rack (will be set up inside Ballroom) CHECK IN/CHECK OUT: You must check in with the Facility Assistant at the front desk when you arrive. At the conclusion of your scheduled time, the Facility Assistant will note your departure time and any damages, and request your signature on the Check In/Check Out form. Failure to sign this form may result in the delay of the damage deposit refund. SETUP/DELIVERIES: The setup time needed for each event must be included in the actual rental time, with the exception of Saturday evening rentals. Deliveries for party rentals, caterers, decorations, etc. are to be scheduled during the specified setup time. The City will not accept responsibility for items delivered before or left after the agreed rental time. Deliveries may be unloaded from the curb near the catering kitchen. Vehicles must be promptly removed, as this is a fire lane and no parking is allowed. Actual setup/take down of tables and chairs is done by the Recreation Center staff. Tables or chairs may not be moved outdoors; however, you may bring rental furniture to place on the patio. SATURDAY EVENING SETUP: Saturday evening renters may reserve the room at no charge beginning at 11:00am for setup, decorating and deliveries. Setup time is to be arranged with the Facility Rental Coordinator. ROOM CLEANUP: We recommend you allow the last 30 to 60 minutes of the event for cleanup. Friday and Saturday evening events must end by 11:00pm and cleanup must be finished by 12:00am. In general, the facility is expected to be left in the condition in which it was found. Vacuuming the carpet and mopping the floors will be done by the Recreation Center staff. Responsibilities are also posted in the catering kitchen.

Wipe off tables, chairs and countertops. Dispose of all trash in the containers provided in the room or kitchen. Additional trash receptacles and trash bags will be provided by the Facility Assistant if needed. Liquor boxes and/or other delivery boxes must be broken down and laid out flat near the trash cans in the catering kitchen. All foods must be disposed of or taken. If you rent the coffee pot, please clean it out and throw the coffee grounds in the trash. All rental items or furnishings must be removed from the Recreation Center immediately following the event. MUSIC: Disc jockeys and recorded music are acceptable; however, amplification is to be used indoors only. Live music is acceptable, but may not be amplified. The overall level of music and noise will neither go beyond a level appropriate for the Recreation Center, nor beyond the limits acceptable to the City s representative. 110 voltage is provided; 220 voltage is not available. Generators are not permitted. DECORATIONS: Decorations are limited to tabletops and free-standing items such as arches and pedestals. Flower arrangements and potted plants may be used; however, water spotting must be avoided or you will be charged for damages against your damage deposit refund. All candles must be enclosed in glass for safety. Smoke/dry ice machines are not permitted, as they set off the fire alarms. You may not pin, tape, tack or otherwise affix anything to walls, ceilings, windows or woodwork. No lights, streamers, etc. may be hung from the ceiling or surrounding wood trim. No tape is allowed to secure cords to the wood floor or carpeted areas. Extension cords and cord protector strips can be checked out at no charge from the Facility Assistant. Helium balloons are acceptable, but must be removed at the end of the event. Piñatas are not allowed. Confetti, glitter, flower petals, rice, bird seed, hay bales, etc. are not permitted inside or outside the facility. Use of these types of loose decorative items may result in additional cleaning charges being assessed against your damage deposit refund. CATERING KITCHEN: There is a fully equipped catering kitchen with a curbside loading area adjacent to the Ballroom. The catering kitchen includes: microwave, electric oven with six-burner stove top, holding ovens, commercial refrigerator, freezer, dishwasher, ice machine, beverage station and a rolling utility cart. Please note that no actual food preparation is allowed in the catering kitchen. Food must be prepared at an outside location and brought in to be kept warm or cold only. You may select any caterer of your choice or provide the food yourself. Utensils, table service and linens are not provided; you must rent or provide your own.

SMOKING/OPEN FIRES: In compliance with Wheat Ridge ordinance #1584, smoking and/or vaping is strictly prohibited at the Wheat Ridge Recreation Center; including all outdoor areas on facility grounds (i.e. outside entrances, the patio, and parking lot). No fires are allowed on the patio, such as tiki torches, barbecue grills or candles. PARKING: The Recreation Center parking lot has 266 standard spaces and 13 handicap spaces. Carpooling is strongly recommended for large groups. The facility is typically open to the public, so parking may be limited. GENERAL CONDUCT: The Renter or representative of the Renter s group is responsible to remind all guests to be respectful of the facility and for keeping conduct and noise appropriate for the Recreation Center. The Renter is responsible for the conduct of the Renter s guests. The City s representative has complete authority throughout the event as to the suitability of the conduct of guests and reserves the right to ask disorderly guests to leave, and if the behavior persists, the police may be called. Use of the facility may be terminated at any time if the guidelines are violated or the conduct of the group or any of its members is abusive or dangerous to the Recreation Center, its furnishing, or any individuals therein. Decisions to terminate use are at the discretion of the City and if termination is deemed necessary, payment of the entire rental fee will still be required. SUPERVISION OF MINORS: Minors must be supervised at all times. Supervision must be provided by an adult at least 21 years of age for the entire rental period. ANIMALS: No animals are allowed inside the Recreation Center, with the exception of certified assistance dogs. INJURIES AND LOSSES: It is understood that the Wheat Ridge Recreation Center and the City of Wheat Ridge or its representative(s) are not responsible for any injuries or losses sustained to the person or property of any member of the Renter s group, and the Renter will hold harmless and indemnify the foregoing entities for any such loss arising out of the use of the Wheat Ridge Recreation Center by the Renter or any member of the Renter s group. In the event of the need to hire counsel for any litigation or for the purpose of collection, the Renter will pay all reasonable attorney s fees of the City of Wheat Ridge and the Wheat Ridge Recreation Center. VIOLATION OF GUIDELINES: The following set of violations has been established to clearly define for all Renters the importance of proper conduct within the Recreation Center. The Renter will be responsible for any violations of these guidelines by any member of the Renter s group during the rental event. A fine, to be determined by the violation, will be assessed for:

attendance in excess of room capacity refusal to abide with closing time use of nails, staples, tacks, or any type of decorations affixed to walls, windows, doors or woodwork unnecessary use of fire extinguishers improper disposal of trash disregard of cleanup procedures use of telephone for long distance calls failure to remove rental furnishings from the Recreation Center immediately following the event Any charges assessed are due and payable immediately. The damage deposit may be used by the City of Wheat Ridge to pay all or a portion of such charges. Notwithstanding these provisions, the City of Wheat Ridge will be entitled to all damages in accordance with the paragraph concerning damages. CANCELLATION POLICY: Notice of cancellation must be given at least six months prior to a Saturday event, or one month prior to a weekday/sunday event or the damage deposit will be forfeited. Deposits paid less than six months (Saturday rental) or one month (weekday/sunday rental) prior to the event date are nonrefundable if the event is cancelled. This policy applies to the damage deposit only; rental fees that have been paid will be refunded in full. REQUESTS TO USE THE FACILITY: You must be 21 or older to rent the facility. Organizations or groups may use the facility on a limited basis. Regular weekly or monthly schedules are not accepted for any individual, group or organization for a period exceeding three months without prior approval. The Facility Supervisor must approve exceptions. The Department of Parks and Recreation reserves the right to deny or cancel any request made for the use of the Recreation Center facilities. SALES TAX: Renters who are selling items during their event are required to pay sales tax according to Wheat Ridge City Code Sec. 22-57. Tax information and sales licenses can be obtained at the City of Wheat Ridge Sales Tax Office, 303-235-2820. FUNDRAISERS: Fundraising events are taxable according to the City Tax Code described above. If alcohol is served at a fundraising event, Liquor Liability coverage is required in addition to the Basic coverage as detailed in the ADDITIONAL COSTS section above. Liquor Liability coverage is required if liquor, beer or wine is available for consumption and money changes hands in any way, shape or form, between the event host and those who participate/attend the event (i.e. a donation, a ticket, a meal, a beverage, entry to the event). The premium for Liquor Liability coverage is $20.00.
