CiraConnect Online Payment Tip Sheet for Homeowners Congratulations! Your community association has chosen to operate using a banking relationship that allows for flexible and efficient payments of your assessments through the options offered by Mutual of Omaha, your community s bank. Additionally, your management has partnered with CiraConnect to allow you a portal to not only make the payments, but manage your account. This Tip Sheet is designed to help understand the payment options and how to interface online to process a payment. We hope it is a helpful resource for you. What You Need to Get Started From your billing statement or coupon, you will find: Figure 1: An example of the top of a billing statement 1. Your unique Account Number, which is a 16-digit number beginning with the letter R. 2. A Check Digit, which helps verify the account number you entered. The check digit is always a single digit from 0-9. 3. The Community ID. Payment Options ACH / Auto Debit (** Recommended **) This is the easiest, most convenient way to pay! ACH authorizes a debit to your account for the amount you specify when your assessment is due. You can elect from the following options: Regular Assessment This will authorize a draft of the regular assessment amount(s) only. Pay by check, e-check or credit card! Open Balance This option authorizes a draft of the entire open balance (e.g., regular plus special assessments, miscellaneous charges, fines and/or late fees and finance charges). Other Selecting this option allows you to specify an exact amount (however, if the balance due is less than the amount specified, only up to the amount due will be drafted). þ echeck You can make a one-time payment using echeck (electronically debited from your checking account). þ Credit Card MasterCard, Visa, American Express or Discover are accepted. Please be advised the bank administers a $14.95 convenience fee if you pay via a credit card. This amount is subject to change with no notice from the bank. þ Check You can continue to write a check payable to your community association and mail it along with your statement remittance coupon to the address listed above. Please write your account number on the check. þ Your Bank s Online Bill-Pay If you pay your assessments through an online bill-pay service, please update the payee information of your community to include the 16-digit account number. Some Things to Know CiraConnect s integration with Mutual of Omaha allows you to securely process a payment quickly through the Mutual of Omaha website, but there are some tips that can make your experience easier: Make a One-Time Payment If you select Make a One-Time Payment on the Navigation Bar on the far left of your screen in the Resident Portal you can then select Pay with echeck or Pay with Credit Card. Use your mouse pointer to click on the button for the selection you choose. Pay with echeck Screen Once you make this selection you are diverted to a screen that integrates with the Mutual of Omaha Banking site. Some of the core information you will need will autofill based on what information we have on file for you, but you can edit any of it if you need to. However, we do not have all the information needed in most cases, so please be careful to review what populates there and fully fill in any missing information. Paying with a Credit Card This Mutual of Omaha screen looks a bit different, with a more traditional look to the fields that are mandatory. But aside from that, it will operate in much the same manner. And don t forget that there is a charge to process a credit card payment. Figure 3: The Make a Credit Card Payment Screen Setup Recurring Payments (Direct Debit/ACH) ACH stands for Automated Clearing House, which is the technical term for a recurring direct debit. As stated above, you have three convenient options to select from, but all of them will require you to enter your banking information, both routing and account numbers. As part of the requirements for all ACH enrollments, information entered once must be verified by a second entry. On paper enrollment forms, you are asked to provide a copy of a voided check, which serves as the dual verification. Online, this is achieved by entering the information twice. If you are uncomfortable or unsure of the information required, please do not hesitate to reach out to your local management office or CiraConnect at 855-877-2472, Option 1, and we will be more than happy to assist you. Mutual of Omaha does charge a fee for any drafts they cannot process, so we want to make sure you are set up correctly because that will reflect on your account otherwise. We can provide an enrollment form if you would rather have us assist you that way. Please be sure to include a copy of a voided check with the form. FAQ s Q. Do I have to have a CiraConnect Resident Portal account to make an online payment? A. No, you do not. You may elect to make a one-time payment via the Quick Payment link on the Resident Portal login page. You will need your account number, however. Figure 5: Quick Payment Button Q. I just made a payment. When can I expect it to show up on my account? A. Payments made electronically are fast and efficient, but they do not reflect on your account immediately. The timing can differ, based on several factors, up to and including weekends and holidays. Therefore, please allow three working days to reasonably expect the payment to reflect on your balance with the community. Q. I want to make a payment through my mobile device. A. Safari is not easily supported by the banking partner s interface, so if you are using an ios device, we would recommend downloading CiraMobile from the Apple App Store. Q. When will the ACH draft take place? A. ACH drafts only take place at the time the assessment is due. Therefore, if you have a balance owing and want to take care of it in the middle of the assessment period, we would recommend making a one-time echeck payment. Q. How do I know my routing number from my account number for my bank account information? A. Use this visual guide to assist you when looking at your check. Keep in mind that routing numbers are only nine digits long. Figure 6: A sample check Q. I own more than one property? Do I need to make separate payments for each? A. To ensure that they are correctly posted, yes, please do. Our recommendation would be to set up ACH payments for each property as the best way to make sure payments are applied correctly. Q.
