How to Access Our Commercial Lines Policy Administration System It all starts with accessharleysville Getting to accessharleysville//cl is easy. It all starts with accessharleysville, our agent portal, which is the single point of entry for all of your quoting, policy servicing and information needs. To log on, take the following steps: Go to www.accessharleysville.com. Add www.accessharleysville.com to your favorites. Agree to the terms of use. Enter your agent code no dashes or spaces. Enter your user ID Firstname. Lastname (e.g., Mary.Smith) Enter your current non-expiring password. Click Go or push Enter on your keyboard. Once you have logged on to accessharleysville, you simply click on the My Book of Business tab then launch into the commercial section of the site to begin your activity. Online Appetite Guide Check here first to see if we re a market for your prospect. The Appetite Guide can be found on the accessharleysville home page under Commercial Lines. You either can enter the known class code or enter a partial code or description and it searches while entry takes place. You also can choose one of the market segments listed and it will return all the classification descriptions in that segment. Roll your mouse over the to view class codes. For BOP or Harleysville CustomPak an indicator will display next to class codes; that are bindable via accessharleysville//cl. Any combination of these fields (GL/SIC/Description/Market Segment) will refine the search. If the risk class is in question or the search produces no results, contact your underwriter. 4

New Business Account Setup As you go through the steps, note the changes occurring to your progress. The step is not complete. The step is complete and locked from updates. Step 1. Set Up Account Enter business name and business address. Click Step 2. Verify account information Complete all required fields. Review and confirm information. Step 3. Use the Product catalog to see available products Enter primary classification and any additional classifications. Enter effective date and select State. Select the product(s) to be included under the insured account by checking the box next to a product. If a BOP, CustomPak or Package is desired, the product wizard will guide you through the selection process. Additional information may be required after selecting a product. Additional pricing considerations may be offered if more than one product is issued for an account. Step 4. Products Added This pop-up message confirms that Products have been added. Note: In order to reserve the account, at least one line of business must be quoted or application documents submitted; otherwise the account will be released on the next business day. Step 5. Quote Online 1 to reserve the account and receive a premium indication After closing the Products Added pop-up window, you will be taken to the Account Detail Screen to complete the rate/quote process. You may attach documents by browsing/ selecting the file and then selecting the Attach button in the Submit Documents for Harleysville Review section. Note: You must select and attach each document individually, then click Submit File. 1. Some products may not be available for online quoting at this time, in which case, documents need to be attached for us to provide a quote. 6

Rate, Quote/Bind and Issue Process These tips will help you rate (agent premium indication), quote/bind and issue business The NEXT button takes you to the next logical screen in the rating process. The BACK button takes you to the previous screen. Use the ACTION MENU button to go to the appropriate menu. The START WIZARD button returns you to the first screen in the process. After each quote, you ll return to the View Account Detail page to select another line. To complete the issuance of the policy(s), you must set up the billing for the insured account. Rate, Quote/Bind and Issue Process You can view detailed system tutorials and guides 24/7 via accessharleysville. From the home page select Training. 7

Billing Account Setup For your convenience at the end of the policy issuance process, accounts eligible for Direct Bill can be automatically setup with a 9-pay payment plan for any Direct Bill accounts regardless of premium. Click OK to accept and the system will automatically create the billing for the account and all available issued policies. Note: The automated 9-pay payment plan will default to Payer same as the insured. During the account setup process, if the Payer same as insured checkbox was unchecked under Optional Payer/Billing Address; it will be necessary for you to select Billing Options and complete the billing setup. If the account requires any of the following: Deposit Payment plans other than 9-pay Payer name or address information different from insured Click Billing Options to proceed to Billing Account Setup and follow instructions on page 9. My Book of Business My Quoted Accounts Account Detail Billing Billing Setup Note: Your policy will not be released until the billing information has been completed. If you have other policies to quote or issue for the same account, complete quoting/issuing all policies prior to setting up the billing. Policies you have issued within our rating system will appear in the left column. Billing account(s) must be set up to associate these policies with the correct mailing information. 8

Fields with * are required entry. Billing Account Setup Mail Insured Copy to Agent? If this box is checked, new business and renewal output will be mailed to the agency. Please note: In all cases, premium invoices/eft withdrawal notices will be sent directly to the insured. (If you have made a mail selection for your entire book of business through your branch office, this checkbox will not appear.) 9

10 Once the account is set up, you can click and drag the policies into the billing account section and save the billing setup.

When saving the Billing Account Setup, you will see the following window if any policies in the account have not been issued. Billing Account Setup You will receive the following message when the billing account information has been saved. 11

Printing Policy Documents View and/or print a copy of an individual form and/or the entire policy after it has been issued or renewed through accessharleysville//cl. This feature allows access to the Agent, Insured, Payer, Vehicle ID Cards, NY Vehicle ID Cards, and Bureau (Workers Compensation) copies of the policy. Step 1: Within the Policy Summary in accessharleysville, select Service Policy from the Action drop down menu, highlight the applicable policy, then click View. Step 2: Highlight the applicable Transaction, then click OK. 12

The Policy Information Policy tab will display. Click the Action Menu Printing Policy Documents Note: If a red checkmark displays next to the Policy Documents link, you will be unable to access policy documents, as a transaction is in process and must be completed. The Policy Action Menu will display. Under Documents on the Policy Action Menu, click Policy Documents. Once on the Policy Documents page, click the Reprint button. Reprint - Recipient Selection displays; you may select one or multiple recipients by depressing the Ctrl key and clicking on each recipient. Note: The Available Recipients will display selections applicable to all lines of business, not just the line of business for which a document is being reprinted. The Selected Recipients column lists all recipients added; click the OK button. Printing Policy Documents You will be prompted to open or save this file. Click Open. A PDF file will open with recipient(s) listed as a bookmark; click the plus sign (+) next to Insured Copy. Bookmarks for each individual section within the policy will display; you may scroll the individual pages as you do with any PDF file. Click Business Auto Schedule, and print the page(s) you need. Click the minus sign (-) next to Insured Copy to close this bookmark. Upon completing policy document print, close the PDF and then close the policy file. Note: You may print an individual coverage part and/or an entire file. You also may save and/or e-mail the file as an attachment, as you do with any other PDF file. If you are a member of ACORD and have ACORD vehicle ID card paper, this feature will allow you to access and print a vehicle ID card (states where required) in your agency! Follow the steps on page 14, selecting Vehicle ID Cards or NY Vehicle ID Cards. Click the plus sign (+) next to Vehicle ID Cards to open the file and then click Financial Responsibility Identification Card. Printing Policy Documents Policy Declarations You have access to documents created by transactions processed for all your agency s policies that either have issued or have been renewed through accessharleysville//cl, our commercial lines policy administration system. Under the Declarations tab within accessharleysville, our agent portal, you may view and/or print the actual declaration pages associated with several types of transactions, such as: new business, endorsement, audit, renewal and cancellation. Follow these simple steps: Step 1: Go to My Book of Business on accessharleysville s home page and locate the policy you need. You may search by name, policy number, and/or insured account number. Click the Declarations tab on the View Account Detail page for your account. Printing Policy Documents Step 2: In the Declarations section you will see all issued transactions listed in alpha-numeric order by Policy Number. Additional headings for the Issue Date, Product, and Declaration Type (transaction) also will display; you may click on and sort as applicable. Click the PDF file icon ( )and/or Issue Date for the Declarations you wish to view.
