BT Managed Accounts Website User Guide Welcome to the new BT Managed Accounts Website. In addition to the normal daily, quarterly and annual PDF reports that the original website provided, the new Managed Accounts offers you the following functionality: } Up to date reporting on the value of your portfolio. } Customised performance and transaction reports where you are able to specify the start and end dates. } Access to commonly used forms. } Recent client communications. } A Frequently Asked Questions help guide about the product. } A Meet the Team section where you can be introduced to our Managed Accounts staff. Logging On to the Managed Accounts Website You can log on to the new BT Managed Accounts website by navigating to the Managed Accounts log in page located at https://managedaccounts.bt.com.au. You can add this URL to your internet favourites to enable quicker access in future. The passwords are case sensitive so please ensure you enter your password in the correct upper or lower case. Upon logging on to the website for the fi rst time, you will be asked to select a new password. New passwords must be between 8 and 16 characters long and in addition to letters the password must contain at least one number or one special character from the following characters: @ # $ % ^ & *! _ + 3
Landing Page Upon logging on you will be directed to your landing page. The type of information displayed is relevant to the type of access you have, as shown in the table below: User Type Client Information The Account Summary section contains the portfolio name, advisor name and contact details. The Portfolio Summary contains the portfolio type, latest portfolio valuation and links to a selection of valuation and transaction reports. The Market Commentary section has links to recent market updates and there is a Client Services section at the bottom of the page with contact details to the Product and Operations team. Adviser In the Portfolio Summary the Adviser landing page displays the number of clients and the total funds under management. 4
Main Menu Options Main Menu Option Home Account Market Tools Information Help Description The Home menu returns you to your landing page. The Account Menu option provides access to a number of reports: 1. Portfolio Valuations, 2. Transaction Reports. 3. Daily Reports 4. Quarterly Reports 5. Annual Reports This section contains the Market Insights page for general market updates, and a Client Communication section where you can fi nd market and performance updates, and personal communication specifi c to your portfolio. In the Tools section you can download relevant forms and provide feedback. You can also change your password. If you do not know your password, or have locked yourself out of your account, please ring BT Managed Accounts Client Services on 1800 222 790 to reset your password. The information section contains useful information about Managed Accounts and the BT Financial Group: } The Managed Accounts investment philosophy. } Managed Accounts contact details. } A Meet the Team section with a brief introduction to each of the team members. } A Privacy section that explains how we protect your personal information. } The Managed Accounts website terms and conditions. } A link to the BT Financial Group webpage. } A Frequently Asked Questions page on the BT Private, Aspire and Elect portfolio products. The Help menu provides useful help and assistance on using the website, including information on: } How to use the real time Positions Display (Portfolio Valuations, Performance Reports and Transaction Reports) } How to use the Reports Display, covering the Daily, Quarterly and Annual Reports. } A Frequently Asked Questions section with help regarding using the website and how to obtain new passwords. 5
Reports In addition to the normal quarterly and annual reports, you now have the ability to run reports. Types of Reports There are two reports you can run, detailed below. You can navigate to the Reports pages by selecting the Account main menu option, and then selecting from either Portfolio Valuation Reports or Transaction Reports. Advisers should be able to access all their clients portfolios. The reports are in Australian Dollars. To close the reports you can run a new report or use the menu to navigate to another page on the website. 1. Portfolio Valuation Reports Select the desired portfolio from the drop down menu, select the report date and click the Run Report button to open the report. For reports ran with historical business dates the Market Price and Market Value provided are the market prices at the close of that day and in Australian Dollars. If you select today s date before the close of trading, the market prices in the report will be as at close of business prior business day. Once you have run the report, the prices will not update automatically. You will need to run the report as needed if you would like to refresh the prices. There are differences in the valuation methodology between the live Portfolio Valuation Reports and the daily portfolio valuation reports in the static Daily, Quarterly or Annual Reports. The static Daily, Quarterly and Annual Reports will use the ASX market prices at the close of each business day and will include accruals for income earned but not received. The static Daily, Quarterly and Annual Reports also have a different procedure for obtaining the unit prices for the BT Wholesale and BT Diversifi ed funds. 6
2. Transaction Reports This report gives you the transactions for your portfolio for the period between two dates. The start date needs to be at least one business day before the end date. We do not recommend running reports covering periods greater than three years otherwise the time taken to produce the report may be excessive. You are able to export the transaction report into Excel if your computer has Excel installed. The columns can be sorted by clicking on the column headings (Code, Security Name, Date etc). Please note that currently the sorting works only with the page that has been loaded, it does not work for the remaining pages. 7
Daily, Quarterly and Annual Reports Display This page provides you access to the daily, quarterly and annual reports where you can view your portfolio valuation and tax reports. To access these reports, select the Account option from the main menu on your Landing Page, and then select either Daily Reports, Quarterly Reports or Annual reports. This will bring up a page showing the latest reports available. You will need to select the relevant portfolio from the drop down menu list, and select the desired year of the report for quarterly or annual reports. Select the Retrieve Report button to open the report. If you wish to review a prior year s report, select the desired year from the drop-down menu and then select the Retrieve Reports button. If you wish to receive an archived report that is not available through the website, please ring the Product and Operations Team on 1800 222 790. The daily reports are not audited and may not include any manual accruals for income due but not received, or adjustments to cash. The quarterly and annual reports are audited by the BT Taxation & Accounting Services Team. Report showing details of the portfolio fee calculation and the effective annualised rate. Report showing Australian and foreign sourced income including dividends, interest and distributions, and expenses including management fees. Report showing the PAYG including instalment income and GST taxes including fees and brokerage expenses. Report showing the performance split into net income and capital growth. Report showing the holdings and market values at a security level. Shows the holdings by asset class in a pie chart. Detailed report showing the income transactions by security and management fees. GST Tax invoice included on management fees. Detailed transaction report by date and security. Annual report showing cash from purchases, sales, income received and fees paid. Detailed statement of income and expenses. Report showing Australian and foreign sourced income including dividends, interest and distributions, and expenses including management fees. Reconciliation of reported income to actual income. Report showing the holdings and market values at a security level. Summary of gains and losses on the realisation of investments. Tax summary showing Australian and foreign sourced income including dividends, interest and distributions, and tax credits. Annual detailed transaction report by date and security.
Client Communication Page The Client Communication Page can be accessed through the Market menu option. You will be able to select the desired report type of communication from a drop down menu, or alternatively they can leave at the default All option. After selecting the desired date range, you can click on the Retrieve Content button to retrieve the list of reports. The reports are opened by clicking on the document icon in the right hand column. The reports will normally be in PDF (Portable Document Format). If your computer does not already have any Adobe Reader software installed, there is a link at the bottom of the webpage where you will be able to download it free: Through the Market menu option you will also be able to view the Market Insights webpage, containing market updates and commentary. 9
Change Password Page If you wish to change your password, you are able to do this online by selecting the Change Password menu option under the Tools main menu. You should receive a message saying Your password has been changed. If you have forgotten your password please contact the BT Managed Accounts Client Services team on 1800 222 790. New passwords must be between 8 and 16 characters long and contain at least one number or one special character. You can include any of the following special characters in your password for added security @ # $ % ^ & *! _ + 10
Forms Under the Tools menu, you can select the Forms page which provides a list of useful BT Managed Accounts forms. The forms will open in a new internet browser window. We will add relevant forms in future once they become available. 11
