All Participants Should Bring: Clothing for inclement weather (our Adventures take you outside, rain or shine) Camera to capture special memories (ask instructors where flash photos are permitted) Please feel free to bring snacks or additional food items for your group. Special diets are the responsibility of individual program attendees. Fee adjustments cannot be made for individuals on special diets. Overnighters Should Bring: Sleeping bag, pillow, and sleeping pad (please note: your group will be sleeping on the floor) Toothbrush and toothpaste Pajamas A flashlight (for use after lights-out to find the restrooms if needed, not on tour around grounds) Earplugs (optional- for your comfort if you are bothered by others snoring) Prohibited Items: Light up or blinky shoes- these can startle animals and hurt eyes at night. Duct tape will be provided to cover any lighted shoes. The use or possession of alcohol or drugs is not permitted during any Zoo Adventure. The zoo is a non-smoking facility. ARRIVAL AND PARKING Where/when do we meet our Zoo Adventures instructors? You will meet at 6:30 p.m. at the Education Center as shown on this map highlighting the SE corner of the zoo. You may park in the Hippo (South) Parking Lot. Directions may be found by following this link. Park as close to the Education Center as possible to unload your gear. After dinner, you will be moving your cars to the Otter (Inner North) Lot at the NW corner of the zoo. This is a secure, overnight parking facility and parking in this location is included at no cost during the program. For those wishing to take advantage of the free admission to the zoo the day after your Overnight Adventure, you can park in any of the zoo s parking lots in the morning and pay $6 at a kiosk or move your cars to street parking. Overnight Adventure Program: 6:30 p.m.-9:30 a.m. the following morning Evening Adventure Program: 6:30 p.m.-approximately 10:00 p.m. What if I arrive late? Late arrivals are disruptive to the program and other participants. Therefore, we strongly urge everyone to arrive on time. If you do arrive late due to an emergency, call zoo security at 206.295.0078. The Security Officer will make arrangements to meet you and escort you to your group. However, please be notified that late arrivals may be required to wait an undetermined/lengthy amount of time for Security assistance, due to our Security department s considerable after-hours responsibilities. What if I have to leave early during the Zoo Adventure? Early departures can best be facilitated during times the group is in the Education Center. Times for such departures are roughly: prior to 7:00 p.m., between 10:00 and 10:30 p.m., and between 6:30 and 7:45 a.m. Other departures would require the entire group escorting the person to the gate, which is disruptive for the program. There are no refunds due to early departures. Page 2 of 6
WHAT DOES THE ZOO ADVENTURE INCLUDE? Please note that Zoo Adventures do not include behind-the-scenes access to animal areas or close contact to animals other than those featured in the Animal Encounter. All Zoo Adventures include: A light dinner of pizza and lemonade, including coffee/tea for adults Opportunities to explore this large urban park at night and learn from experienced naturalists on a guided tour The opportunity to experience the zoo without fighting the crowds A hands-on encounter with a small animal such as a snake, gecko, skink, inland bearded dragon, tortoise or rat Free parking during your program Overnight Adventures also include: A light breakfast, such as oatmeal, fresh fruit and orange juice, as well as tea/coffee for adults The experience of sleeping over at the zoo A guided morning tour on zoo grounds to see the animals Free admission to the zoo on the morning after your Adventure is completed WHAT ANIMALS WILL WE SEE? There's no guarantee of what we'll see while prowling on zoo grounds. As in the wild, animals may choose to remain hidden, or may be off exhibit for a number of reasons. As a result, every Adventure is unique in the animals that are seen in exhibit areas. Because animals can often be more difficult to find in the dark, our evening tour will focus on experiencing the dark in a fun and safe environment. This is a great time to listen for animal sounds and learn more about nocturnal senses. The morning tour is generally the best time to see animals. GENERAL FAQ Where will we be sleeping? All parties participating in this event will be sleeping in either one of the classrooms or the auditorium in the Education Center, located at the South end of the zoo. Where are the bathrooms we will be using? There are some restrooms inside the Education Center as well as some outside the building that will be during large group zoo adventures. Can I bring extra unregistered participants to the Zoo Adventure? It depends on the registered size of the group and group capacity. Please call 206.548.2424 to confirm available space for additional participants prior to the evening of the adventure. Registration fees for extra participants will be collected at the beginning of the program. Can families contact us in case of an emergency? Absolutely. Your family should call Zoo Security s cell phone at 206.295.0078. What is the role of chaperones? Chaperones are expected to assist instructors in monitoring and maintaining appropriate behaviors while at the zoo. During the welcome program, your instructors will outline the program s Code of Conduct and other Page 3 of 6
important information. It is imperative that the chaperones also follow the code of conduct and behave as role models for the younger participants. Can I buy a Zoo Adventures patch or t-shirt? Absolutely! To remind you of your fantastic zoo experience, buy a Zoo Adventures patch for $1 or a glow-inthe-dark Zoo Adventures t-shirt for $15. Cash, checks and credit cards are accepted. Sizes may be limited to stock on hand. It is recommended to pre-order t-shirts and patches to guarantee the sizes you want are available. T-shirt orders must be placed at least three weeks in advance to guarantee sizes. To pre-order, please complete and return the order form at the end of this packet. Can I share pictures I take during our overnight with others? We encourage you to take pictures and enjoy them with your family and friends. However, any pictures taken behind the scenes may not be shared on public forums (Facebook, twitter, media outlets, etc.). PROGRAM SCHEDULE Please Note: Program elements and schedule subject to change without notice. Actual times may vary. If you are attending an event with multiple groups, the scheduled events will proceed once all parties and staff are ready. Evening Program Time Activity 6:30 p.m. Meet at the Education Center and check-in with instructors 6:45 p.m. Dinner 7:15 p.m. Move cars to the Inner North Lot for overnight parking 7:30 p.m. Night Tour, program activities and Animal Encounters 9:50 p.m. Get ready for bed 10:30 p.m. Lights out Morning Program Time Activity 7:00 a.m. Pack-up/breakfast 7:30 a.m. Morning Zoo Tour 9:30 a.m. Program ends, drivers move their cars back to pick up gear from the Education Center (free reentry to the zoo provided) CANCELLATION POLICY A minimum of three (3) weeks notice of cancellation is required for a credit or refund. Three (3) weeks notice is also required for a change of program date. Woodland Park Zoo reserves the right to cancel a program at any time. Should this occur in advance, a credit or refund will be issued. If the program is terminated due to poor conduct on part of the participants, no refund will be issued. Page 4 of 6
Final payment and numbers for your group must be received by the zoo a minimum of three weeks prior to your Zoo Adventure date. Contact the Class Registrar if you want to add last minute attendees. LIABILITY RELEASE The liability release will be given to all adults to sign as they check-in with the instructors the night of the event. Only the adults attending the event are required to sign the release. It is included here for your reference: I agree to hold harmless the Woodland Park Zoo and the City of Seattle for any costs or liabilities which they may incur as a result of my participation, or the participation of a child under my care in Zoo Overnight and Evening Adventures. To the fullest extent permitted by law and to the extent claims, damages, losses or expenses are not covered by insurance purchased by the Contractor in accordance with the insurance requirements set forth in this contract, the Contractor shall indemnify and hold harmless the Woodland Park Zoo Society and the City of Seattle from and against claims, damages, losses and expenses, including but not limited to attorney s fees, arising out of or resulting from performance of the Work, provided that such claim, damage, loss or expense is attributable to bodily injury, sickness, disease or death, or to injury to or destruction of tangible property (other than the Work itself), but only to the extent caused by the negligent acts or omissions of the Contractor, a Subcontractor, anyone directly or indirectly employed by them or anyone for whose acts they may be liable, regardless of whether or not such claim, damage, loss or expense is caused in part by a party indemnified hereunder. Such obligation shall not be construed to negate, abridge, or reduce other rights or obligations of indemnity which would otherwise exist as to a party or person described in this paragraph. In claims against any person or entity indemnified under this paragraph by an employee of the Contractor, a Subcontractor, anyone directly or indirectly employed by them or anyone for whose acts they may be liable, the indemnification obligation under this subparagraph shall not be limited by a limitation on amount or type of damages, compensation or benefits payable by or for the Contractor or a Subcontractor under workers compensation acts, disability benefit acts or other employee benefit acts. I have received and read the information in this Survival Packet concerning the rules and protocol for this program and understand that if I do not comply with them, I may be escorted off zoo grounds. If the program is terminated due to noncompliance, I forfeit my rights to a refund. Page 5 of 6
